1 Upland Terrace Community Council Meeting Meeting Minutes 09/12/2014 I. Call to Order Joe Wood called to order the regularly scheduled meeting of the Council at 1:45 pm on 09/12/2014 in the Media Center at Upland Terrace Elementary School. II. Roll Call Roll Call is conducted via pre-printed sign-in sheet for councill members and any attending guests. All attendees must sign (or print) their name acknowledging attendance. Approval of Minutes From Last Meeting All council members review, approve, and acceptt final meeting minutes via . During the summer break the Upland Terrace School website has reverted back to some point in time and all of 2014 data has gone missing. This is an immediatee action item discussed in the Sign-Inn Welcome portion of our meeting. community/community-council/ We will locate archives and rebuild the council archives by the end of September Agenda (actual times used) 1. 1:45 1:50 Sign in & Welcome May 9th 2014 meeting minutes (Need sign in pagee & reports ) o Madhu provided all materials in hard copy from the lastt meeting SCCC web page review & updates most of 2014 missing? o All council members should take a quickk tour of the school website and report any missing or outdated items as soon as possible to Jennifer Reed and/or Jennifer Buck. ACTION ITEM(s): Joe will scan documents and repost May s final meeting minutes. Joe checked with Andy Carbaugh via on 09/09/2014 to see if he had anyy thoughts on the missing website data. Jennifer Buck is searching the Web Archivess for missing 2014 minutes and will report back to Joe. Jennifer Reed double checked the thumb drive used to exchange documents from Andy Carbaugh. BY 09/30/2014 the group should have all of 2014 reconstructed and have a clean slate moving forward. Joe requested that each council member review the school website and provide input on outdated/missing items. 2. 1:50 2:05 Jennifer Future Plan Due Dates ( Land Trust Budget, SSAP, SNAP,, etc.) Budget has been turned in. If any moves needed, council can approve. SSAP due Oct 31st w/bully plan. Add to our agenda in Oct. SNAP due in SPRING Council might review earlier if time permitss on any upcoming agenda. 2 Parental solicitation from the District (teachers & students as well) via will occur at the end of October SSAP plan changes/formats are expected and have been communicated from the district to principals. Writing achievement plan goal in our current SSAPP has 3 budgett allocations totaling $ The group discussed combining category 1 (Salaries & Fringe) intoo category 2 (Professional Services). This gives the faculty more flexibility in the coming year for the already approved budget, most felt this was simply a miss classification. Council Vote to combine: all present were in favor. ($ (3750, 500, 1000)) Jennifer Reed will combine the 3750 & 500. Hands On Sciencee WEB page ACTION ITEM(s): Jennifer Reid to adjust the budget categories. All other points are informational and drive future council agenda s. 3. 2:05 2:10 Cheryl 3145 East Safety Update Letter to parents from JR High & SR High, stressingg this is a LEGALL place to cross emphasize awareness with parents. ACTION ITEM(s): Cheryl will provide the council with updates in the future if needed :10 2:22 Group SCC Elections, 3 open parent positions, declarations, planning, communication Madhu, Mindy, and Lynette s parent positions aree expiring; none have submitted a declaration of candidacy. Jennifer Reed shares with the group, 4 parents that have declaredd their candidacy. (attached below) o Rick Miller, Jessica Kerr, Elmay Welsh, and Amy Call Cheryl Phadnis has announced that she is willing to vacate her position immediately according to council guidelines, parent members can appoint an agreed upon replacement. ACTION ITEM(s): Joe will the 4 declared parents and offer Cheryl s remaining 1 yr term. First come, first served. This must be resolved by 09/16. The other three will simply assume the standard 2 yr parent positions at the next regularly scheduled council meeting. It would appear that an election may not be necessary. *** Update: On 09/13/2014, 11:01am, Amy Call has accepted Cheryl s vacated 1 yr term and on all parent members have approved the transition via by 8:44pm the same day ****. 2:22 2:51 Group planned programs a. Reading (Specialist Michelle James), Reading A Z site license Reading A Z teachers have logins b. Math Tutoring (Lori Schmidt) & IXL IXL usage low Lori Schmitt started this on the September 8 th, it iss expected to grow significantly after SEP s c. Science Hands On Science (HOS) Grades 3 6 Sue Leeflang runs the entire program, Cheryl Phadnis is a lead parent, we are stilll drawing knowledge, experience, and lessons from Sue Dickey Teachers suggested the units, grades 3 6 will receive 6 units Web page, schedule, encourages volunteers and sign ups Funding Sue Leeflang is still an open issue? Writing Achievement PLC Development Camille Gambles, Spelling City, Authors Finalizing plans for all the above Writing Samples from students are being taken now for measurements/success ( before & after) ACTION ITEM(s): Each item will have it s own follow up and progress check throughout the year :51 2:52 Paul/Group Fundraiser 1.5 hr meeting occurred last week, kick off assembly set In this second year, we have a 7 person committee, primarily faculty (6 members) and 1 parent member. Donations in, sponsors in, water bottles ready, all good.
