Present: Elen Levitt-President; Dr. Dean Bacigalupo-Vice President; Joseph Pontecorvo-Trustee; Michael Schnall-Trustee; Jessica Koenig-Library Director; Lawrence Tenenbaum Attorney; Tricia O Leary-Clerk of the Board; Absent: Tom McCreight-Trustee; Michelle Schiavone-Treasurer Approval of Minutes by Trustee Joe Pontecorvo, seconded by Vice President Dean Bacigalupo to approve the minutes, from the May 7, 2014 Board Meeting. All aye. Motion carried Approval of Payroll, Bills and Financial Report by Trustee Joe Pontecorvo, seconded by Vice President Dean Bacigalupo to ratify/approve the Library s payroll dated: May 3, 2014 in the amount of $22,193.44; and May 17, 2014 in the amount of $22, Directors Report As well as the bills relative to the April 14, 2014 in the amount of $679.18; May 31, 2014 Warrant in the amount of $48, and June 11, 2014 Warrant in the amount of $25, And table the Financial Report dated May 31, ADMINISTRATIVE Island Park Faculty Association Book Dedication Ceremony The Ceremony took place today, it was very well attended. The four teachers that were honored are Anne Sulzbach Music Teacher, Catharine Garrity English Teacher, Marian Gold Computer Teacher, and Laura Moss English Teacher. 1

2 Meeting Calendar for The proposed calendar is attached for Board meeting dates from July 2014 through June Attachment A by Trustee Joe Pontecorvo, seconded by Trustee Michael Schnall to approve the meeting dates for the 2014/2015 fiscal year. FINANCIAL Budget and Trustee Vote Results The results of the May 20, 2014 vote were as follows: 339 Yes and 148 No. For the trustee election the results were as follows: 388 for Dean Bacigalupo, 2 write-ins for Gabrielle Libby. by Trustee Joe Pontecorvo, seconded by Trustee Michael Schnall to accept the budget and election results. Kropp Fifth Payment We have paid A.R. Kropp for the final FEMA project expense. We still have some outstanding items that we purchased from them outside of the large project, but the project itself is finally completed. We will now work on scheduling our FEMA closing meeting. Direct Access Payment We received a check in the amount of $ for use of our library by other libraries patrons. Attachment B by Trustee Joe Pontecorvo, seconded by Vice President Dean Bacigalupo to accept the Direct Access Payment. E-Rate Reimbursement We received a check in the amount of $1, for e-rate reimbursement for our Verizon data circuits. NLS files this paperwork on our behalf. Attachment C by Trustee Joe Pontecorvo, seconded by Trustee Michael Schnall to accept the e- Rate Reimbursement. PERSONNEL Part-Time Clerk The Director recommended the hiring of Matthew Ruiz as a Part-Time Clerk at a salary of $10 per hour as of June 19, 2014, pending Civil Service certification. Matthew is also resigning from his position as Part-Time Page in order to accept the Clerk position, effective June 18 th. Part-Time Page The Director recommended the hiring of Louise Cronolly as a Part-Time Page at a salary of $8 per hour as of June 19, 2014, pending Civil Service certification. by Trustee Joe Pontecorvo, seconded by Trustee Michael Schnall to accept the appointment of Louse Cronolly and Matthew Ruiz as a Part-Time Page and Part- Time Clerk respectively. Security In the past, Ed Dwyer has been on hiatus during the summer due to the fact that the kids are out of school and early on he was handling these types of problems. However, the problems we tend to be having lately have to do with patrons who are reluctant to leave the building at the end of the night. The Director recommended that Ed work through the summer and not go on hiatus. The Director noted that the budget for his services will be overspent by approximately $2,000, but felt that we would under spend in enough areas that we could absorb this over expenditure. 2

3 BUILDING Surveillance Cameras The surveillance camera work has been completed. The Director has been trained to access the feed should it be necessary. Fireplace Frank J. has completed the sheetrock and painting project. In addition, the tiles have been ordered and most are in. The stone for the base is expected this week and we can then schedule the work. Children s Doors P&M Doors completed their work on the doors including raising the saddle, a new door sweep and weather-stripping. The work looks good. Flag Drop-off The Director spoke with the Village and their flag collection box should be back within a few weeks. Electrical Rich McGinty is scheduled to install the flag light within the next two weeks. He will also be replacing our attic light at some point. Barrier at the Children s Department Entrance Often we have small children quickly running away from their parents and heading either towards the elevator or stairs or out the door. We ve been discussing the possibility of putting up a cute low fence or something similar. Discussion ensued and no action will be taken at this time. Closing Second Floor Early The staff has been having difficulties with patrons who do not want to leave at closing. Discussion ensued regarding closing the second floor early. The decision was made to close the second floor at 8:55. The Director will report back to the Board next month. CORRESPONDENCE 3D Printer - A patron has written a letter requesting that we consider purchasing a 3D printer. Although this is an exciting idea, there are costs to consider. The current cost for a small 3D printer from MakerBot is $1,375. The printer requires a dedicated PC with engineering software so the cost would actually be between $2,000 and $3,000. The printer uses multiple spools of colored plastic and each spool costs about $50. We do not know how long each spool lasts. The next factor is staff training. We have heard that it is a time-consuming and labor-intensive process for staff. The staff who get involved in it need to have training both in the printer as well as the software used to design the object. Also, each project takes 2-3 hours to print so there is a limit as to what could be printed during the course of a day. We would have to determine what to charge for these items and would likely have to limit how many objects any individual could print within a specified time period. Discussion ensued and the conclusion was that further research on these considerations must be undertaken before we could consider purchasing a 3D printer. Attachment D TECHNOLOGY Capira Mobile App The Nassau County libraries have begun a project which will result in a mobile app for the libraries. This means that when someone wants to search our catalog on a device, the screen will be properly formatted for a small device. This should go live in September or October. 3

4 OUTREACH South Pointe - We are delivering movies every week to the Recreation Director at the South Pointe Nursing Home (formerly Bayview) for her to show in the facility throughout the week. We offered to do a program with tablets there but they were not interested at this time. Village Recreation Tina Gonzalez is working with Village Trustee Matt Paccione to schedule story times at the beach for the summer. Schools - Meghan Ceglie and the Director met with the principals of LOMS and the Hegarty School. Both children s librarians went to Hegarty on June 10 th to speak to students about the Summer Reading Club. In addition, a flyer will be going home with the kids. The Young Adult librarian is scheduled to go to Lincoln Orens tomorrow. Street Fair The Library starts its summer hours on June 21 st (open 9-1) so will have a table for the rest of the day until 5:00. We will have a table on Sunday also. POLICIES Emergency Plans - The Director requested consideration of a consultant to work with us on our Emergency Response Plans. A proposal from Emergency Response Consulting Group in Rockville Centre was presented. The cost is $450. They have worked with other Nassau libraries including Garden City, Shelter Rock, West Hempstead and Plainview-Old Bethpage and have received enthusiastic reviews. In addition to the plans, they do emergency training and other libraries have used them for that as well. Attachment E by Trustee Joe Pontecorvo, seconded by Trustee Michael Schnall to approve the hiring of an Emergency Response Consultant. Annual Review - We have a number of policies, mostly financial, which are supposed to be reviewed every year. The Director suggested that they be reviewed at the August meeting, the month after the Reorganization meeting. Records Retention Discussion ensued regarding the retention of attachments to the monthly minutes. Because we keep all attachments, each large binder only holds 6 months worth of minutes and we are beginning to have a storage problem. The Director will work with the attorney on this issue and will report back to the Board. Attachment F PROGRAMS & PUBLICITY Program Statistics: Adult Programs 27 with attendance of 349 Adult Meetings 9 with attendance of 163 Total Adult Program Attendance: 512 Teen Programs 3 with attendance of 29 Children s Programs 17 with attendance of 292 Total Teen & Children s Attendance: 311 Grand Total 823 4

5 Program highlights this past month: Acrylic Painting with Frank Caprino was very popular! We ll be offering it again this summer and will continue to offer it throughout the year. Scrabble went very well. It will start up again in the fall and will meet weekly. Upcoming program highlights: 8 th Grade Award We have chosen the two 8 th grade students to receive our Consistent and Considerate Library Use award, Connor Dalton and Lawrence Tennant. The ceremony will take place on June 24 th. Elen Levitt and Dean Bacigalupo will attend and give out the awards. Movies Our new movie series will start this summer with Hitchcock films in July and Comedies in August. Summer Reading The Summer Reading kickoff party will take place Friday, June 27 th at 11am. Green Meadow Farms will be bringing cute animals for the kids to enjoy. The Summer Reading Clubs include some terrific prizes: Four tickets to the Bronx Zoo for the Children s Club, and a Kindle Fire for the Teen/Tween and Adult Clubs. EXECUTIVE SESSION: by Trustee Joe Pontecorvo, seconded by Trustee Michael Schnall to enter into executive session at 8:27 pm, to discuss Union Contract Negotiations. EXIT EXECUTIVE SESSION: by Trustee Michael Schnall, seconded by Trustee Joe Pontecorvo to exit executive session and adjourn the meeting at 9:13 pm.
