1 1 Alpha Chi Nevada DKG State Convention (Draft) Agenda/Minutes April 30, 2016 Executive Board Meeting: 8:15 am - Hospitality Suite (A light breakfast was served) Attendance Meeting called to order at 8:25 Alpha Chi State Secretary, Cindi Supko, Delta Chapter President. Attendance: Number from Each Chapter: Past International President: Carol Mueller, Past State Presidents: Kay Savanelli, Dorothy Todd, Gwen Anne Thacker, Marlene Killion, Dr. Sharon Cathey, Karin Randle and Carol Mueller Alpha: 2 Beta: --- Gamma: 3 Delta: 4 Epsilon: 1 Theta: 3 Kappa: 3 Lambda: 2 Nu: 6 Xi: 1 Omicron: 1 Review Old Business Old Business: Standing Rules Update. President Maxine Emm gave a report on the following: Change in Finance Standing Rules. Reminder that State Executive Board will be reimbursed $140 ($175) this year. (This includes 1 st Vice- President, 2 nd Vice-President, Secretary, Treasurer, and Parliamentarian) for a total of $700. The State President has $1700 ($2000) for expenses. There will be no reimbursement for International or Regional expenses. There will be NO reimbursement for First Timers to International or Regional expenses. New Business: Rose of Recognition recipients to have Convention registration paid by Chapter. Exemplary Award recipient to have Convention registration paid by State. President Emm asked us to think about this and make a recommendation. We will discuss at fall Executive Board Meeting. Gold Key changes. President Maxine Emm asked the Executive Board to consider adding the following to the Gold Key Criteria. For Key Points: Chapter submitted an article for the Fall and Spring NVGram Chapter Yearbook and brochure submitted to the Chapter President by December 1. Chapter Necrology and Membership Report submitted to State Membership Chair by February 1. Chapter invited at least one guest to a meeting or Chapter activity during the year. For Polish Points: Chapter membership represented at the State Convention. Chapter initiated new members. For Gold Key Applications: documentation submitted for Key Points and Polish points to help determine what level of award the Chapter will receive. Carol Mueller Leadership Chair informed us that we needed to find a date for our fall Leadership and Executive Board Meeting.
2 2 Gwen Anne Thacker moved that we hold the meeting in Eureka on August 5-6, 2016: seconded by Ardynne Sprinkle. Sandra Bull, our representative from Texas talked to us about the Officer Booklets. Each chapter was presented with copies. President Maxine Emm gave a report on the following: Gift for outgoing International President, Lynn Babb. Request from Beverly Helms, Ed.D. Immediate Past International President. It has been a long-standing custom in the Society to present a monetary gift to the outgoing international president at the close of the international convention. The gift of appreciation is financed solely by voluntary contributions from state organizations wishing to participate. As a recipient in 2014, I was humbled, honored and extremely appreciative even though I was surprised because I had forgotten about the custom. Amount Paid before June 1, Make check payable to: The Delta Kappa Society International Note in memo line: Honorarium for Dr. Lyn Babb Schmid. Heidi Chadwick (California), past Southwest Regional Director would like to purchase a gift for our outgoing Southwest Regional Director. If you would like to contribute, please send your contribution to Heidi Chadwick, 1328 Millich Lane, San Jose, CA The gift will be presented in Nashville. Amount Paid before June 3, Make check payable to: Heidi Chadwick, Note in memo line: Gift for Outgoing Southwest Regional Director, Beth Scheiber. Are there any changes or corrections? Carol Mueller brought to our attention that she was not the chair of the Leadership Committee, but instead was a consultant/advisor. Minutes were accepted as amended. SOCIETY BUSINESS Committee to Approve Minutes of State Convention appointed. 1. Dorothy Todd NU 2. Karin Randle NU 3. Membership (Each member contributes $40 to International and $11 to the State Budget.)Total Chapters: 11 Total Members: 213, Reserve 14 Number of New members initiated this year: 17 Members Dropped: --- In Memorium 1 Alpha Chi Treasurer. Betsy Sweeney, Kappa Chapter Treasurer. (Betsy Sweeny was not at the meeting, President Emm gave the following report.) General Fund: $3, Permanent Fund: $1, Annie Webb Blanton Rotating Scholarship: $8, Martha Schulz Scholarship: $33, Expenditure report. See Alpha Chi Proposed Budget Finance Committee. Linda Getschman, Past Alpha Chi State Secretary, Nu Chapter. Linda gave a report as well as a copy of the Alpha Chi State Proposed Budget Cindy Frazer, State Webmaster and State NVGram Editor Communications Awards will be presented at the Luncheon. Cindy asked the membership to continue to use the website:
4 4 If any chapter wants to build their own website, she will help with either a free route or through the Society ($36/yr). Cindy asked that we make sure that all members make sure they have the correct in the state data base that will allow all members to receive s from DKG. She said that this will also make it easier to make sure that this info is received and help in the dispersing of this info in hard copy format for those with no access to the internet. Carol Mueller, Past International President, Theta Chapter. Leadership. Carol Mueller brought to our attention that she was not the chair of the Leadership Committee, but instead was a consultant/advisor. Carol suggested that we merge the Leadership and Executive Board meetings to cut down on expenses for all. Leadership would be for a day and a half and the Executive Board would meet for half of a day. The Meeting will be changed to the first weekend in August, the 5 and 6 if possible. Carol asked for any input from the membership about the meetings and asked all to let her know about attendance in August Leadership Team Members: Gwen Anne Thacker, Kappa Chapter; Susan Capistrant, Theta Chapter; Ilene Wagner, Gamma Chapter; Susan Kramer, Alpha Chapter; Cindi Supko, Delta Chapter. Nominating Committee. Gwen Anne Thacker, Past State President, Kappa Chapter. (Outlying Nevada) Karin Randle, Past State President, Nu Chapter. (Northern Nevada) Zelma Cooper, Epsilon Chapter. (Southern Nevada) Plan for slate of officers for next year s State Convention, Kappa Chapter. The Nominating Committee asked the chapters to consider nominations for State Officers for the next biennium. The nominating committee needs an officer slate of potential officers ready for the Spring NVGram. SOCIETY MISSION AND PURPOSES Historian, Claudia Small, Nu Chapter. History table will be set up at the Convention. Each Chapter was asked to bring a current scrapbook. Chapter Brochures will be displayed. State Banner will be displayed. Claudia reported that we need more stuff for the state scrapbook. Claudia reported on NU chapter projects. We need to send our stuff to Claudia for the state scrapbook: csmall6342@charter.net President Emm reminded us that she has a Store All in Stagecoach for chapter memorabilia. Maxine has also created a scrapbook from the items that she has received from the chapters. Doris Nachtsheim informed us that she called International, Nita Scott, to find out about saving stuff electronically. At the same time, Doris found out that there is money available at International for our state to help with recruiting new members. Educational Excellence. Nevada Chair, Ilene Wagner (International Committee, Educational Excellence)
5 Ilene encouraged all chapters to fully participate in working toward a Gold Key Award. She has compiled a recording tool to make sure that everyone knows the requirements and wants all chapters to send in their participation to her. 6 Gold Key Awards and 3 Honorable Mention Awards will be presented at the Luncheon. Alpha Chi Member Awards. Pat Geoppinger, Gamma Chapter President. Rose of Recognition Awards will be presented at the Banquet. Pat asked that the Rose of Recognition nominees be submitted by February 15. With that in mind, she has suggested that chapters start thinking about nominees for the award in the fall and vote early to be able to meet the February 15 deadline. Standing Rules for Rose of Recognition will be submitted during Old Business. Exemplary Award will be presented at the Banquet. Kay Savenelli, will be presented with the Exemplary Award and a 50 year pin from her Chapter at the Banquet. Pat is working on making our criteria for the Exemplary Award be more in line with those of International. She is creating new forms to cover nominations and ballots. A committee of three (consisting of north, south, and outlying representation will be established to review qualifications before an official ballot is sent out to members. Standing Rules for the Exemplary Award will be submitted during Old Business. Martha Schulz Doctoral Scholarship. Karin Randle, Past State President, Nu Chapter. Laura Austin, Delta Chapter, completed her doctoral degree and recognition has been placed on the Banquet program. Laura did not apply for the Martha Schulz Doctoral Scholarship; however, the State would like to recognize and congratulate Laura on her efforts. Karin encouraged all members to apply if working on their doctorate. Annie Webb Blanton Rotating Scholarship. Marlene Killion, Omicron Chapter President. Jennifer Bergenheier will be receiving a certificate for receiving the Annie Webb Blanton Rotating Scholarship and will be reporting what she did with the scholarship at the banquet. Marlene informed us that that we will be awarding this scholarship at the banquet, congratulations to Jennifer! World Fellowship. Ardynne Sprinkle, Theta Chapter. Report from Chapters (State Report). Ardynne shared the following information with us: Alpha: $75 Beta: --- Gamma: --- Delta: --- Epsilon: --- Theta: $75 Kappa: donated to their own community Lambda: $252 Nu: donated $650 / $345 was raised at a silent auction Xi: --- Omicron: $50 Kathy Rothchild spoke to us of our last World Fellowship scholarship awardee, Munasir Kamal, Bangladesh. She told us of what can be done to support NU chapter in their effots to support children in Shandeepon and a list of items needed. Also, information for Kay Savenelli to contact if we want to help. Sandra Bull spoke to us about World Fellowship and how it works. 5
6 6 Arts and Humanities Jury- Nevada Representative. Ardynne Sprinkle, Theta Chapter. Report on selection of poems submitted by Judy Merz, Epsilon Chapter, that will be showcased in May on the International Website on the Arts and Humanities link. Congratulations to Judy Merz for submissions and acceptance. International Director Sandra Bull from Austin Sandra spoke to our leaders - A big thank you to : President - Maxine Emm, Treasuser Betsy Sweeney, Web Master/NVGram Editor Cindy Frazier Carol Mueller past International President Our region is what it is because of her! She detailed all of Carol s past accolades and again thanked her for all of her endeavors! Judy Merz and all of her accomplishments, Ilene Wagner and her work. Sandra talked to us about the new DKG website DKG has spent the past year and a half adjusting and revising the new website. The main difference with this new website is that it is password protected. To log on, you need your membership number as well as a password. You can now go in and update your own information, join communities and navigate the website (easier to use, more information, less clicks). Sandra talked about our International Convention in Nashville: She told us some of the hot topics, especially about the new member initiative. Invited all of us to attend! Changes to 2.0 Organization: for Standing Rules, seconded by Nancy Fitzgerald. Motion carried!
