1 TAU CHAPTER COMMITTEES Goals/Responsibilities/Guidelines Revised and Approved October 21, 2017 ADMINISTRATION: President Chairs FINANCE COMMITTEE: -Promote small fundraisers for recruitment grant -Maintain two recruitment $ each -Continue meals by committees for donation to recruitment grant TREASURER: serves on the Finance committee *Present an Annual Budget to the Executive Board in June then to the Membership to vote *Keep an accurate account of receipts and expenditures *Keep a file of receipts, bills, cancelled checks and bank statements *Receive and pay our all moneys belonging to the organization *Collect dues and fees of members *Present a Treasurer s Report at each chapter meeting *Submit an Annual Report to Delta State *File required tax reports *Submit for annual audit the accounts of the organization *Serve as an ex officio member (without vote if under remunerative contract for her services) on the executive board *Serve, ex officio, in the process of budget development and supervision of finances *Follow appropriate procedures to ensure the safety and proper handling of chapter moneys as established by the chapter Finance Committee *Maintain supply of necessary forms and supplies for chapter treasurer work NOMINATIONS COMMITTEE: -Encourage members to consider a leadership role in Tau chapter -Nominate a slate of officers to be presented at the even-year February meeting The process for nominating a slate of officers is as follows: *Nomination committee members determine which members of the chapter are best qualified for each position *Committee members contact the potential slate of officers to see if each is willing to serve ^If each is willing to serve, the list of names is presented to the current president ^If any of the contacted members do not wish to serve, the committee chooses another qualified member for the office and contacts them *The final slate of officers is presented to the current president *The slate of officers is presented to the membership for approval at the even-year, February meeting *The new officers are installed at the even-year, April meeting

2 Nominations Committee continued p. 2 *The new officers take office in the even-year month of June and serve for two (2) years *The officers include the President, 1 st Vice President, 2 nd Vice President and Secretary *The Treasurer and Parliamentarian are appointed by the current president RESEARCH/ BYLAWS: Parliamentarian Chairs -Update Tau Chapter Bylaws to comply with Delta State/International Bylaws *Draft by September meeting *Approve at February meeting -Inform members of revisions to Tau Chapter/Delta State/International Bylaws MEMBERSHIP Second Vice President Chairs MEMBERSHIP/INITIATION COMMITTEE -Remind members to consider nominating good future DKG members; -Through Tau Tales articles and at chapter meetings, encourage members to attend chapter meetings; -Educate current members on membership eligibility guidelines through TAU Tales and at chapter meetings; -Remind members that the Recommendation for Membership form is available on website -Promote the initiation of at least one new member from each school district that TAU represents each year; -February chapter meeting: Share all recommendations for membership; lead discussions and encourage endorsers to tell more about each recommendation; -April chapter meeting: Organize and assist in conducting the initiation ceremony of new members and the officer induction ceremony -Organize and assist conducting necrology ceremonies -House all items including TAU Treasures needed for April initiation and officer induction ceremonies as well as necrology services and Lady of Distinction award; make candle and rose purchases when necessary; coordinate the initiation certificate purchases with the president and/or treasurer CONTACT COMMITTEE: Member of committee serves as chair -Creates a Contact List each biennium; updates the list after April initiation ceremony -Keeps Contact List up-to-date with current telephone numbers and addresses -Contact members prior to all chapter meetings or as requested by the President; inform members of place, time, cost, program and due date. or call members (use method easiest for chair.) -Shares needed information with the membership about serious illnesses and other occasions when a card from the chapter is appropriate; notify the Courtesy Chair between meetings -Communicate the planned attendance for chapter meetings to the meeting hostesses

3 COURTESY COMMITTEE: p. 3 -Acknowledge special events and recognition; have cards available at meetings for immediate sharing or use -Acknowledge illness and/or bereavement; have cards available at meetings for immediate use -Send birthday wishes and other special contacts to reserve members; report mailings at chapter meetings -Encourage members to contact the Courtesy Chair any time a note is needed COMMUNICATIONS/PUBLICITY: Tau Tales Editor Chairs COMMUNICATIONS COMMITTEE: -Encourage members to send member-related articles to editor of Tau Tales - Watch for articles about Tau members in Lake Sun Leader, The Lake Today, Eldon Autogram-Sentinal, Eldon Advertiser, California Democrat and the Jefferson City News Tribune and send them to the editor of Tau Tales by when possible -Publish news of chapter activities in area newspapers (see above) when possible TAU TALES/PRESIDENT S DVD: Tau Tales editor chair -Gather officer and committee chairs reports 2-3 weeks before meeting -send completed edition of the Tau Tales to the webmaster for uploading on the website -Spotlight members 4 times a year -Coordinate with Communication Committee (photo for papers in Eldon, California, Lake area) -Submit Tau Tales to Delta State President and Communication/Delta State -Take notes on guest speaker -Show end of biennium DVD at the April meeting -Ask Webmaster or communications committee member to take photos when Editor is not present WEBMASTER: -Administers and edits chapter website -Publish Tau Tales on website with links to Delta State and International -Stay current with the latest website requirements from International -Monitor website and update at least quarterly HISTORIAN: -Make simple history of chapter s biennium (coordinate with TAU Tales chair) -Prepare history and send electronically to Webmaster for our website -House the Chapter Charter -House minutes of meetings collected by the secretary as included in Tau Tales publications -House TAU Tales, chapter newsletter -House Our Heritage Vols. 1 and 2 -House other chapter historical articles

4 PROGRAM and SERVICE: First Vice President Chairs p.4 PROGRAM COMMITTEE: -Survey the membership for program ideas and make an effort to use those suggestions (coordinate w/incoming president) *February & April: distribute incoming president s survey at meetings and through Tau Tales *April: collect incoming president s survey, use survey results at June executive board meeting for discussion and comment *July: share survey results/board recommendations -Decide and schedule varied program topics for each meeting -Provide beneficial programs that fall into one of the 7 DKG Purposes -Commend recent programs and those participating and highlight forthcoming program in Tau Tales SERVICE COMMITTEE -Survey the membership for service project suggestions/recommendations (coordinate with incoming president) -Incoming president will coordinate the following with the services chair: February: incoming president s survey June: use survey executive board Meeting for discussion July: share results/board meeting -Suggest and promote community service projects -Keep membership informed of service project happenings through Tau Tales prior to each chapter Meeting MUSIC COMMITTEE -Provide DKG songs for TAU Handbook -Lead members in singing for chapter meetings -Provide musical performances using talented membership when possible at chapter meetings; when possible, coordinate with the program chair for complementary musical performances EDUCATION ASSISTANCE (member chairs) RECRUITMENT GRANT (High School Senior Scholarships) -Communicate with the Tau Chapter Area high school counselors; provide updated scholarship information and applications with appropriate address for mailing; provide the application due date (place on the applications); present packets of all eligible applicants at the February Tau Chapter meeting for membership review (education major, required application information); after discussion and debate, final recipients will be the February TAU Chapter meeting -Communicate with the selected recipients with congratulations and invitation to attend the April TAU Chapter meeting w/mother for presentation of award

5 Recruitment Grant continued p. 5 -Introduce recruitment grant recipients and their mothers at the April chapter meeting; present scholarship money and certificate (prepare article for April TAU Tales to introduce the grant recipients) -Attend the schools scholarship presentation events to announce the TAU Chapter scholarship recipients; arrange for another TAU member to announce the scholarship recipients if unable to attend -Write articles for Tau Tales when appropriate SCHOLARSHIP (for DKG members) -Research and locate information prior to beginning of each year -Provide members with information pertaining to scholarships available through The Delta Kappa Gamma Society International and The Delta State Society -Provide application forms and assistance to members interested in applying for scholarships -Provide reminders of the application deadlines for scholarships in Tau Tales -Encourage all eligible applicants to apply -Promote information about Bradford Grant-in-Aid and share with Tau Chapter Recruitment Grantee WORLD FELLOWSHIP (for International members) -Report brief information about DKG International World news in Tau Tales -Continue to include $50 in the budget and insure that the International Group receives our contribution PERSONAL/PROFESSIONAL GROWTH (member chairs) PERSONAL GROWTH -Purpose: to enrich the personal lives of members -Inform members of local events that would be of interest (library programs, dinner theaters, community performing arts, community art shows, high school and university performing arts presentations, storytelling, etc.) -Encourage member participation in the arts PROFESSIONAL AFFAIRS -Support new teachers in our school districts and distribute appropriate items(s) to new Teachers in area schools with DKG information - (TTC project) -Study and recommend action on professional issues; keep membership informed of legislative issues both state and national that are in the interest of education and women in education (coordinate with newsletter chair) LEADERSHIP DEVELOPMENT -Encourage members to support early educators (S.E.E.) by donating their time and money -Help Tau members tune in to membership/leadership potential

6 Leadership-Make Woman of Distinction forms available and remind members at meetings to nominate -Encourage members to be familiar with Tau Chapter Standing Rules -Encourage chairs and committee members to work together in accomplishing committee goals (highlight one committee and its goals, responsibilities and guidelines in each Tau Tales; coordinate w/the committee chair and the newsletter chair) -Encourage membership to attend annual DKG Leadership Seminars -Encourage membership to attend Delta State Convention (April) -Write articles for Tau Tales as appropriate
