3 Being Treasurer As a 4-H club officer you represent not only your club but also the 4-H program throughout the state. You are responsible for taking care of the club s money, bank accounts and/or other money matters. You will work with income and expenses and will be expected to stay organized and accurate.

4 General Duties of the Treasurer Meet with officers and advisors to develop budget Account for all money received and spent Pay bills Maintain financial records Keep accurate records in treasurer s ledger Balance Provide ledger reports Maintain inventory of property and equipment

5 At Club Meetings Report on all income and expenses Report on sub-account balances State the club balance Ask if there are any bills to be presented for payment Ask club to take action on bills requiring a motion to pay

6 The Treasurer s Role Attend Officer s training Follow all duties and responsibilities Make a checklist Beginning of the year Weekly Monthly At End of Year

7 Fundraising A fundraiser is a good way for your club to generate income for activities Remember funds are to be raised for specific purposes Fundraising for a club should be confined to one county or community Fundraisers are to be approved by the County Extension Director before they are undertaken Promote your fundraiser Keep it a learning experience and plan effectively Account for all money, keep records

Supply expenses Club awards Fundraisers (dues?)

9 At the End of the Year Hand in to the auditing committee for review: Check register Monthly ledgers All record reports Bank statements Copies of bills Receipt book Update annual inventory report Annual financial report Furnish copies of all year-end reports to club and ext. office
