1 Constitution of the Pre-Medical Society Updated: May 2015!1 Article I. Name and Purpose Section I. The name of the organization shall be The Pre-Medical Society of the University of Missouri-Kansas City. Section II. The purpose of the organization shall be to dedicate itself to students pursuing a career in medicine and other health career options. The society provides opportunities for the students to explore the various aspects of medicine. The society is also dedicated to provide the student body with health related knowledge and to serve people in need. Article II. Membership Section I. Membership shall be open to all duly enrolled UMKC students. Membership and activities are open to all currently enrolled students regardless of race, color, creed, sex, sexual orientation, age, national origin, disability, or Vietnam era veteran s status. Section II. Title of membership is represented by point accumulation through various participation within the society. Point system is described in the society by-laws Article I. Section I. Point System. Article III. Meetings Section I. A regular recommended meeting shall be held at least twice a month during the academic year, as designated by the President or the executive board. Recommended meetings will be held to discuss society business, organize events, accomplish society membership interactions, and prepare for the necessary steps in order to have a competitive medical school application. Section II. A regular optional meeting shall be held at least twice a month during the academic year, as designated by the President or the executive board. Meetings are held to invite guest speakers from the medical professional community to provide information to members. Meetings will be with medical schools, medical professionals, volunteer coordinators and any other professionals as deemed desired by membership. Section III. There shall be an Executive Board meeting at least twice a month, or as deemed necessary by the President. This meeting is to be presided over by the President, and should be attended by the entire executive board. The purpose of these meetings is to clear and arrange all administrative duties and responsibilities prior to the following meeting.
2 !2 Article IV. Officers Section I. The offices of Pre Med Society shall consist of: President Vice President Treasurer Secretary Public Relations Officer Volunteer Coordinator Medical School Liaison Graduate Liaison Officers of this organization must be chosen in an election format open to all current members. Every effort will be made to notify all members of said election and, further, to reasonably accommodate the needs of all members desiring to participate. Section II. Limitations. Officers must meet minimum eligibility requirements, including a cumulative GPA of 2.5 and six credit hours of current enrollment, and must not be on student conduct disciplinary or honor code probation. The requirement to be enrolled in six credit hours will be waived for Doctoral students who have completed their formal degree course work, have passed their comprehensive or matriculation examination, and are continuously enrolled in at least one hour of research in the Fall and Winter semesters. Article V. Elections Section I. All positions are for (1) year starting May 1 st and include one (1) meeting for training. Officers of this organization must be chosen in an election format open to all current members. Every effort will be made to notify all members of said election and, further, to reasonably accommodate the needs of all members desiring to participate. Elections for the officers of the Pre-Medical Society shall commence at the last regular meeting held in April. Former officers are to hand over any important information and new officers are to understand all the details that their position entails. Voting will be held online through and only members are allowed to vote
3 Elections must be publicized a minimum of two weeks prior to the date of elections. The election of officers shall proceed by voting on the officer positions in the order they are listed in Article V. Section 1. The candidates that receive the largest number of votes for the office for which they are running shall be declared the new officers. In the event of a tie vote, a run-off election will be conducted one week following the first election. Run-off elections must be publicized no later than one (1) week prior to the run-off election. All other elections guidelines shall be followed in the run-off election. Elections must be conducted in the event that one or more candidates are running for the position(s). Article VI. Advisors Section I. The advisor for this organization shall be decided upon by the executive officers of the organization. The advisor must be a UMKC faculty or staff member. Article VII. Finances Section I. Paying dues is not a mandatory requirement to be considered a member of this organization. Section II. The books of account shall be kept up-to-date and open to the inspection of the University auditor. Article VIII. Hazing Section I. Anti-Hazing. Hazing is strictly prohibited in the State of Missouri and by the University. Hazing is defined as any willful act, occurring on or off the campus of an educational institution, directed against a student or a prospective member of an organization operating under the sanction of an educational institution, that recklessly endangers the mental or physical health or safety of a student or prospective member for the purpose of initiation or admission into or continued membership in any such organization. Section II. Acts of hazing include, but are not limited to: Any activity that recklessly endangers the physical health or safety of the student or prospective member, including but not limited to physical brutality, whipping, beating, branding, exposure to the elements, forced consumption of any food, liquor, drug, or other substance!3
4 Any activity that endangers the mental health of the student or prospective member, including but not limited to sleep deprivation, physical confinement, or other extreme stress inducing activity. Any activity that requires the student or prospective member to perform a duty or task which involves a violation of the criminal laws of this state or any political subdivision in this state. Section III. Hazing is a class C Felony. Article IX. Amendments Section I. Amendments to the constitution will be carried by a two-third (2/3) majority vote. One half (1/2) of all members must vote for the ratification to be considered valid. Notice of amendment voting must be given to all members one (1) week before such action. This constitution must be reviewed every five years to ensure all information is applicable. Section II. It is further understood that if this organization desires at any time in the future to change in any way the provisions of this constitution, that before such action is taken, the organization will submit for approval to the Student Government Association and the Student Life Office every detail of the desired changes to be made.!4
5 By-Laws of the Pre-Medical Society Updated: May 2011!5 Article I. Membership Section I. Point System. Membership recognition is based on an earning of points throughout the semester. Point earnings is as follows: Attend Pre-Med Recommended Meetings: 3pts Attend Pre-Med Optional Meetings: 4pts Attend other school organization meetings: 1pt Wear Pre-Med T-shirt to other organization meeting: + 2pts (additional) Participate in Pre Med Society events set up: 1pt Attend Social Event: 1pt Attend 1hr of Pre-Med Community Service: 1pt/hr Participate in Society Intramural Event: 2pt Section II. Levels of membership. Accumulation of points determines level of membership. Description of membership earnings is as follows: Membership: Honorary & Distinguished Member: 70 or more pts Honorary Member: 51-60pts Distinguished Member: 50 or more pts Member: 49 or less pts The society recognizes members that have taken an active role in the society by awarding a certificate of active membership in a reception at the end of each year. All executive members are expected to be at the level of an honorary and distinguished member. All members will start at zero points at the beginning of each year. Not being in attendance at a recommended meeting will result in subtraction of one point. Members will be able to log onto the pre medical society web page to keep track of their points. Article II. Officers Section I. Officers of this organization must be chosen in an election format open to all current members. Every effort will be made to notify all members of said election and, further, to reasonably accommodate the needs of all members desiring to participate. Section II. Duties of the Officers.
6 !6 President: Preside at all meetings of the Pre-Medical Society Call regular meetings Prepare the agenda for meetings Represent the organization at official activities Make sure that all officers are fulfilling their duties Oversee any social, volunteer event and projects, and make sure these are successfully accomplished Assist the Volunteer Coordinator with the Vitals Workshop Coordinate any speakers that come to talk with the organization with the help of the Vice-President. The networks of all the officers shall be used to find appropriate and interesting speakers but the President & Vice-President shall coordinate their arrivals Vice President: In the event of a President vacancy, assume the duties of the President and serve as such until the next scheduled organization meeting Assist the President with the regular society duties Coordinate any speakers that come to talk with the organization with the help of the President. The networks of all the officers shall be used to find appropriate and interesting speakers but the Vice President & President shall coordinate their arrivals. Keep note of officers point accumulation to ensure all officers are fulfilling their duties and qualifications. AMSA Representative: Serve as a resource for members interested in AMSA Keep the organization posted on AMSA activities Coordinate travel to AMSA conferences, including the request of funds from Arts and Science Student Council, BSSG, and SGA. Take care of the hotel and travel arrangements. Coordinate one or more fundraisers to raise money for the Conferences Treasurer/ Refreshment Coordinator: Keep count of all club monies from A&S Council, BSSG (see section 3), donations, members dues, fundraisers, and others Request funding at A&S Student Council allocations meetings Request funding at BSSG allocations meetings Request funding from SGA when needed Submit all budgets to the officers
7 Order and/or purchase any refreshments for Pre-Medical Society meetings and events. Reserve the Pro-card from the Student Life Office for all meetings to make the purchase of refreshments Ensure that a vegetarian option is available Coordinate the arrival and presentation of refreshments Keep the books of account up to date and open to the inspection of the University auditor at all times. Return receipts to SGA within 48 hours of purchasing. Secretary: Keep a detailed account of each officer meeting s meeting including taking attendance at each meeting. Send the minutes to the officers Take notes during members meetings and send them to the listserv Keep track of membership and all other duties this position entails including the maintenance of a roster with the Student Life office Collect and distribute officer contact information to other officers Public Relations: Shall create and post flyers about Pre-Medical Society events Shall the listserv prior to a Pre-Medical Society event and meetings Shall post meetings and events announcements in the UMKC announcement that goes out every Thursday Shall distribute information regarding listserv membership Coordinate all Roo Fairs Announce meetings to prospective groups as the need arises Find someone to act as a WebMaster if this position is not filled after elections. If not, act as the WebMaster Volunteer Coordinator: Shall act as a resource for volunteer opportunities in the community, both health and non-health related Serve as a liaison between Pre-Medical Society and other organizations that hold volunteer opportunities Coordinate the vitals workshop every semester Create and/or coordinate at least two volunteer opportunities for members each semester Shall serve as the team leader for Relay for Life during the Spring Semester. Get a team together and coordinate this event Social/Recruitment Coordinator: Survey the membership for possible outside activities Organize outside activities and social events for the membership Promote general good relations amongst the membership!7
8 Develop strategies to recruit and retain members Organize study groups and other learning resources as pertinent and available to active members Section III. Officer nominees must meet certain qualifications: The President and Vice-President must be juniors and/or seniors when they assume office. All other officers may be sophomores when they assume office but may be freshmen for election purposes. Any candidate for office must have been an active, contributing member of the organization for at least one (1) semester before assuming office Section IV. Any committee approved by a majority of the officers may be created as the need arises. A committee chair will be appointed by a majority vote of the officers. Section V. Termination. An officer may be removed from office for failure to meet the responsibilities set forth by the Pre-Medical Society or for charges brought against that officer. All charges must be submitted in writing at a regular monthly meeting. Officers will be expelled from their office by a three-fourth (3/4) vote of the total membership to be held at the next monthly meeting. Section VI. Vacancies and Removals Vacancies: Vacancies in the officer positions shall be filled by recommendation from any member of the organization and a majority vote of confirmations by the officers. All vacancies are to be filled at the first regular organizational meeting immediately following the vacancy, or the President and Vice-President can mandate an emergency election to fill the vacancy. Removals: If it is felt by the President and/or Vice President of the Pre-Medical Society that an officer should be expelled for not fulfilling any duties or qualifications, the executive board will be notified and can determine if removal of the officer in question should be brought to vote. An equivalent point system (as for the members) will be applied to the executive board, (3 points). Officers can only be removed after the recommendations of the President and/or Vice-President or Advisor and the confirmation vote by three-fourths (3/4) majority vote of the officers. If an officer misses more than two of the officers meetings during their year as an officer or fails to fulfill their active duties (post warning), then the removal of that officer will be brought to a vote. Before the vote is taken, the officer in question must leave the room.!8
9 If the officer is removed, then his/her position shall be filled according to Article II. Officers. Section VI. Vacancies and removals. Article III. Finances Section I. Optional dues are presented to members of $10 per semester. Dues include the pre med handbook, pre med t-shirt, and shadowing opportunity. Dues will go to benefit the organization and support the activities our society intends to provide.!9
