3 The Initiation Program: An Overview The primary purpose of the Initiation Program is to prepare Initiates for active membership in Phi Sigma Pi. The Initiation Program is a time of learning for the Initiate, as well as an opportunity to gather information about what each Initiate may contribute as part of the Chapter once a Member. As Initiate Advisor, the successful implementation of the Initiation Program is your responsibility. The success of each Initiate who enters the program will depend largely upon how well you impart the information they must know to succeed as an Initiate, pass the National Exam and become a contributing Member of your Chapter. It goes without saying that your role is one of great importance that directly impacts the future of your Chapter and the Fraternity. According to the National Constitution (Article IV, Section 5), your program must require Initiates to meet the following National expectations in order to become a Member: Coordinate an event that represents the ideals of Phi Sigma Pi Learn Phi Sigma Pi history (National and Chapter) Know the content in The Scholar s Province, the governing documents of the Fraternity and Chapter Learn to sing the Fraternal songs Attend at least one Chapter meeting to understand how meetings are structured Pass the National Membership Exam with at least an 80% Ensuring the success of Initiates requires a thoroughly planned and thoughtfully implemented Initiation Program based on best practices. The success of each Initiate relies on your ability to offer a comprehensive learning experience that imparts the values of our organization and the expectations of Phi Sigma Pi Members. Any aspect of your Initiation Program that deviates from the approved program as described below must be discussed with the National Office. Pre-Pinning Meeting Upon receiving and accepting a bid to enter the Initiation Program, an Initiate should be provided information about what to expect at the Pinning Ceremony, including when and where to arrive, proper attire and expected behavior. Post-Pinning Meeting The first meeting of Initiates following the Pinning Ceremony should cover the basics of Initiation Program requirements, as well as the Initiate Bill of Rights and Phi Sigma Pi's Anti-Hazing Policy. This is also an opportunity to communicate the Initiation Program schedule to ensure that all Initiates will be able to attend each weekly meeting. Weekly Initiate Meetings The approved Initiation Program consists of five weekly meetings that engage Initiates in the history and values of the Fraternity while sharing the opportunities that being a lifelong Member of Phi Sigma Pi will offer. Midway Review (Mid Review) Each Initiate must receive feedback on their progress at least once during the Initiation Program as required by the National Constitution. This should occur around the midway point of the program to provide Initiates an opportunity to make improvements. Making decisions about whether or not an Initiate should continue in the program at this point is a violation of their due process rights.
4 Preparing for the Initiation Program Before the Initiation Program begins you should begin planning to ensure that you are prepared to offer Initiates a meaningful and complete experience. The following is a list of tasks that you should complete prior to the start of the Initiation Program: Set meeting dates and communicate them to Initiates and any Members you plan to have attend Submit room reservations to ensure that you are able to secure a space that is suitable for weekly meetings and includes the necessary technology Order copies of The Scholar's Province through the National Office so that you can give them to Initiates at the Post-Pinning Meeting Establish a means for communicating with Initiates leading up to the Initiation Program and throughout Closed Facebook Group Group Message Review the materials contained in this Curriculum Guide, including weekly meeting agendas and presentation outlines, to familiarize yourself with the required content Read The Scholar s Province to refresh your knowledge of the information included Explore the Initiate Advisor folder on the Resource Center for additional resources to help you excel in your role as Initiate Advisor Once the Initiation Program begins, you will have weekly tasks to complete to ensure that you are prepared for meetings with Initiates. If you are well-prepared, you will feel more successful in your role and Initiates will have a better experience. Before Weekly Meetings Review resources Practice presentation Gather necessary supplies Make copies Plan activities Send meeting reminder to Initiates Arrive early to set up the room and test technology During Weekly Meetings Provide name tags Take attendance Introduce guests Review requirements Teach content Assess learning Answer questions After Weekly Meetings Send follow-up communication to Initiates with important dates, homework, reminders, etc. Invite Members who will attend next week Review all materials for next week's meeting, including agenda, presentation, outline and additional resources
5 Initiation Program Resources The Scholar's Province This is the official guide around which the Initiation Program is built. Initiates should be provided a copy prior to the start of the Initiation Program and be required to bring it to each weekly meeting. The content contained within will be referenced throughout the presentations each week and much of it will appear on the National Exam. Presentations PowerPoint presentations have been created to help you stay organized when covering the information that Initiates need to know to pass the National Exam. Each presentation includes a title slide, agenda, content slides, homework and a quiz review. When The Scholar's Province is referenced, the content on those pages should be reviewed with Initiates following along. Agendas Weekly agendas have been provided to help you stay organized throughout the Initiation Program. The Agenda lists tasks you should complete before, during and after the meeting, supplies you will need, available resources and the homework assigned to Initiates. Presentation Outlines Each week's presentation has been organized into an outline with pictures of slides and notes about what should be discussed. Notes may include highlights from the slides or additional information to supplement the content presented to ensure that every Initiate has the knowledge they need to pass the National Exam. The Resource Center A ton of great resources have been created to make your job of teaching Initiates about Phi Sigma Pi easier. While the Curriculum Guide is complete as presented, there are a number of additional resources that may be used to make weekly meetings with Initiates more engaging.
