2 Officers Responsibilities and Qualifications Qualifications As per the chapter constitution, the qualifications for a member to be elected as an officer of the Harvey FFA Chapter are as follows: 1. Be currently enrolled in at least 1 Agricultural Education class. 2. Have registered for an Agricultural Education class for the following school year. 3. Have earned the Chapter FFA Degree. 5. Have participated in at least 3 chapter service projects. 6. Have at least a 2.5 cumulative GPA Responsibilities This list of responsibilities may also be found in the Official FFA Manual President 1. Preside over meetings according to accepted rules of parliamentary procedure. 2. Appoint committees and serve on them as an ex-officio, non-voting member. 3. Coordinate the activities of the chapter and evaluate the progress of each division of the Program of Activities (POA) 4. Represent the chapter in public relations and official functions. 5. Serve as a member of the chapter s parliamentary procedure team. Vice President 1. Assume all duties of the president in necessary. 2. Develop the POA and serve as an ex-officio, non-voting member of the POA committees 3. Coordinate all committee work 4. Work closely with the president and advisor to assess progress toward meeting chapter goals 5. Serve as a member of the chapter s parliamentary procedure team.

3 Secretary Treasurer Reporter 1. Prepare and post the agenda for each chapter meeting. 2. Prepare and present the minutes of each chapter meeting. 3. Place all committee reports in the secretary s file. 4. Be responsible for chapter correspondence. 5. Maintain member attendance and activity records and issue membership cards. 6. Have on hand for each meeting: a. The secretary s file b. Copy of the POA, including all standing and special committees c. Official FFA Manual and the Official FFA Student Handbook d. Copy of the chapter constitution and bylaws 7. Serve as a member of the chapter s parliamentary procedure team. 1. Receive, record, and deposit FFA funds and issue receipts. 2. Present monthly treasurer reports at chapter meetings. 3. Collect dues and special assessments. 4. Maintain neat and accurate treasury records. 5. Prepare and submit the membership roster and dues to the National FFA Organization through the state FFA association office in cooperation with the secretary. 6. Serve as chairperson of the finance committee. 7. Serve as a member of the chapter s parliamentary procedure team. 1. Serve as chair of the POA public relations committee. 2. Plan public information programs with local radio, television, newspaper, and service clubs and make use of other opportunities to tell the FFA story. 3. Release news and information to local and regional news media. 4. Publish a chapter newsletter or website. a. Maintain the chapter Facebook and Twitter accounts 5. Prepare and maintain a chapter scrapbook. 6. Send local stories to area, district, and state reporters and to any school publications. 7. Send articles and photographs to FFA New Horizons and other national and regional publications and websites. 8. Work with local media on radio and television appearances and FFA news. 9. Serve as the chapter photographer. 10. Serve as a member of the chapter s parliamentary procedure team.

4 Sentinel 1. Assist the president in maintaining order. 2. Keep the meeting room, chapter equipment, and supplies in proper condition. 3. Welcome guests and visitors. 4. Keep the meeting room comfortable. 5. Take charge of candidates for degree ceremonies. 6. Assist with special features and refreshments. 7. Serve as a member of the chapter s parliamentary procedure team. Parliamentarian Historian Chaplain Advisor 1. Be proficient with parliamentary procedure. 2. Rule on all questions of parliamentary conduct at chapter meetings. 3. Serve as a participant or an ex-officio member of the parliamentary procedure team 4. Conduct parliamentary procedure workshops at the chapter level. 5. Chair of serve as ex-officio member on the conduct of meetings committee. 1. Develop and maintain a scrapbook of memorabilia to record the chapter s history. 2. Research and prepare items of significance of the chapter s history. 3. Prepare displays of chapter activities and submit stories of former members to the media. 4. Assist the reporter in providing photography for chapter needs. 1. Present the invocation at banquets and other functions. 2. Conduct reflections services at summer camps, conferences, and retreats. 1. Supervise chapter activities year-round. 2. Inform prospective students and parents about FFA. 3. Instruct students in leadership and personal development. 4. Build school and community support for the program. 5. Encourage involvement of all chapter members in activities. 6. Prepare students for involvement in career development events and leadership programs

7 Harvey FFA Chapter Officer Expectations As an officer of the Harvey FFA Chapter, you will be held to a higher standard of behavior and academics. Remember that members, school staff, and others in our community will see you as FFA officers whether you are in official dress or not. Here are the expectations you will be held to as an officer. Academic Expectations 1. Maintain a 2.5 cumulative GPA 2. Maintain at least a letter grade of B in all agricultural education classes 3. Have no more than 2 unexcused absences from school per semester If these expectations are not met, you will be given 2 weeks to come into compliance. If the expectations are not met within that time period, you will be subject to school eligibility penalties which may result in your termination as an officer. Behavioral Expectations 1. Refrain from the use of drugs, alcohol, and tobacco in and out of school 2. Be courteous to all teachers, school staff, and students 3. Keep out of trouble with law enforcement If at any time it is reported to the FFA advisor that you have exhibited any behavior unbecoming of an FFA officer, your term as an officer will cease. The first offence will result in a 6 week activity suspension as per Harvey Public School guidelines. The second offence will result in your termination as a member of the chapter FFA officer team. FFA Expectations 1. Keep abreast of upcoming chapter events and activities 2. Be present at all chapter events and activities 3. Assist other officers in their duties a. ex. Help the secretary send out mailings for the FFA banquet 4. Be an active member of the parliamentary procedure team and attend all team practices. 5. Attend 360 Leadership Conference in January 6. Attend the regional and chapter officer retreats in June and July 7. Assist with preparing and transporting projects to the state and country fairs 8. Assist with the annual FFA Alumni Ag Show in March 9. Make yourself available and be totally committed to your duties as an officer 10. If you are enrolled in only Co-operative Work Experience, it is expected that you are in contact with Mr. Anderson and/or Mr. Deck on a weekly basis about chapter happenings. Any non-compliance with these expectations will be dealt with by the advisor on a case-by-case basis.
