1 Executive Board Meeting Assembly, Nittany Lion Inn June 9, 2017 I. Call to Order Alpha Alpha Pennsylvania State Organization President, Tracey R. Dusch, Psi, called the Executive Board Meeting of the 2017 Alpha Alpha Pennsylvania State Organization Convention (80 th Convention) of the Delta Kappa Gamma Society International to order on Friday, June 9, II. Welcome and Introductions President Dusch welcomed all members of the Alpha Alpha Pennsylvania State Organization to the gathering of Key Women Educators. President Dusch introduced the head table, officers, and Carol Hughes, Northeast Regional Director and our International guest for the convention. III. Rules for the Executive Board Meeting Royce Boyd, Alpha Beta Chapter, and Parliamentarian, reviewed the Rules for the Executive Board Meeting as found on page 5 of the Convention Program booklet. IV. Report of the Chapters Present Heather Lilienthal, Beta Pi Chapter and State Corresponding Secretary, gave a report of the chapters present: 32 chapters out of 57. A quorum was present for the meeting. V. Review of the Minutes Alpha Alpha State Corresponding Secretary, Heather Lilienthal presented the minutes of the June 10, 2016, Executive Board Meeting. The minutes of the June 10, 2016 meeting were read and approved by the Committee to Approve the Executive Board Minutes and a copy of the approved minutes was also available on the state website. Hearing no objections to the minutes, President Tracey Dusch declared them approved and stated the minutes will be filed. The committee members to read/approve the minutes for the Executive Board Meeting are: Loretta Baran, Alpha Iota Chapter Stephanie Fulena, Alpha Sigma Chapter Pat Crouse, Kappa Chapter

Correspondence Heather Lilienthal, Beta Pi Chapter, and State Corresponding Secretary, read two thank you notes from Dave Keller, Pat Shedlock s brother for expressions of sympathy. VII. International Update and Greetings Carol Hughes, Northeast Regional Director and Our International Society Representative, gave greetings from DKG International. VIII. Reports 1. Treasurer s Report Wanda Keller, Iota and Alpha Alpha State Treasurer, provided an all-inclusive report listing income and expenses. No questions were asked about the budget. See Attachment. 2. Finance Committee Joyce Kerrick, Alpha Zeta Chapter, gave an in-depth report on the budget of the organization. No questions were asked about the Finance Committee report. See Attachment. 3. Rules Committee- Louann Shrader, Omega Chapter, Chair of the Rules Committee, presented a proposal brought forth from The Finance and Leadership Development Committees to amend Standing Rules VII A2 and VII C3 to be voted on at the of the convention. 4. Nominations Committee- Kay Stuart, Pi Chapter, Chair of the Nominations Committee presented the slate of state officers for the biennium, to be voted on during the of the convention,
3 Executive Board Meeting Assembly, Nittany Lion Inn June 9, 2017 President Tracey announced that a vote will be taken on the Rules Committee proposal and reports of a series of committees will be given at the First General Session. IX. Announcements President Dusch highlighted that the committee reports have been made available on the state website and asked if anyone needed a hard copy. President Dusch asked for any announcements to be made for the general Membership. There were no announcements. President Tracey Dusch reminded Chapter Presidents to sign in at the First General Session with the State Recording and Corresponding Secretaries and to mark the number of members present. She also reminded those planning to attend the Northeast Regional Conference in Windsor, Ontario, in July to let her or Second Vice President, Eileen Little know so that plans for Pennsylvania Night can be finalized. X. Adjournment President Tracey R.Dusch adjourned the Executive Board Meeting of the 2017 State Convention and the 80 th year of Alpha Alpha Pennsylvania State Organization of the Delta Kappa Gamma Society International at 9:10 pm. 4 I. Call to Order Alpha Alpha State President, Tracey R. Dusch, Psi, called the First General Session of the 2016 Alpha Alpha Pennsylvania State Convention (80 th Convention) of the Delta Kappa Gamma Society International to order on Saturday,, at 8:05 am. The Presentation of the Flags was directed by Monique Lautenschlager, Phi. The flags were carried by Joyce Roof, Alpha Zeta, and Linda Stahlman, Psi. The Pledge to the Flag was led by President Tracey R. Dusch. The pledge was followed by the singing of the Star Spangled Banner led by Nancy Hills, Psi, and Chair of the Visual and Performing Arts Projects. II. Welcome and Introductions President Dusch welcomed all members and guests of the Alpha Alpha Pennsylvania State Organization to the gathering of Key Women Educators. President Tracey introduced the head table, the past state presidents in attendance, and the state committee chairs in attendance. President Tracey introduced International guest, Carol Hughes, Northeast Regional Director. III. Inspiration An inspirational message was provided by Greta Marie Taft, Psi, as she shared her DKG journey. IV. Rules for the Convention Royce Boyd, Alpha Beta, and State Parliamentarian, reviewed the Rules for the General Session as found on page 5 of the Convention program booklet. V. Report of the Convention Registrar Barb Tobias, Nu, and Convention Treasurer, reported 288 member reservations for the weekend, two guests, and 44 of 57 chapters in attendance.
5 VI. Report of the Chapters Present Heather Lilienthal, Beta Pi, and State Corresponding Secretary, gave a report of the chapters present: 40 chapters out of 57 and a total of 224 members present. A quorum was present for the meeting. VII. Review of the Minutes Alpha Alpha State Corresponding Secretary, Heather Lilienthal, Beta Psi,, presented the minutes of the of the 2015 State Convention held on June 11, A copy of the approved minutes was sent to each member of the Executive Board prior to the Convention, and the minutes were also available on the state website. Louann Shrader, Rules Chair, made a correction to the written minutes and stated that the minutes were correct on the website. President Tracey declared the written notes approved as corrected and stated the minutes would be filed. The committee members to read/approve the minutes for the 2017 First General Session are: Pat Crouse, Kappa Chapter Loretta Baran, Alpha Iota Chapter Stephanie Fulena, Alpha Sigma Chapter VIII. Correspondence State Corresponding Secretary, Heather Lilienthal, Beta Pi, reported that all of the State Scholarship and Enrichment Grant recipients of 2016 sent notes of thanks. Secretary Lilienthal read two notes of thanks for expressions of sympathy from Dave Keller, brother of Pat Shedlock. IX. Reports 1. Executive Board Report Heather Lilienthal, State Corresponding Secretary, announced the following items of business were acted on at the Executive Board Meeting on Friday, June 9, 2017: 2. Treasurer s Report Wanda Keller, Iota, and Alpha Alpha State Treasurer, provided an all-inclusive report listing income, expenses and a page of contributions by individuals and chapters. See attachment. There were no questions for the treasurer s report.
6 3. Finance Committee Report Joyce Kerrick, Chair, Alpha Zeta Chapter, gave an in-depth report on the financial status of the organization. See attachment. Louise Garverick,Beta Kappa, Past State President, brought forth questions about the cost of mailing The Keystonian. Joyce referred this question to Bonnie Barnes, Alpha Sigma,and The Keystonian Editor. Bonnie stated that it costs $3ooo dollars each year to mail The Keystonian to members. About 300 members have elected to get The Keystonian via .louise asked how many copies are mailed out of state or internationally. Bonnie replied that none are mailed out of state. Those international or out of state members are ed their copy. Louise then asked, if we have information available to let members know how to sign up for delivery. Bonnie stated that the information is on the state website and it is very easy to sign up for an copy. Louise announced that she would like to encourage members to go to the website and sign up for delivery of the The Keystonian. She then asked for a show of hands of members who already receive The Keystonian by and said, Kudos to you. No further questions were asked. 4.. Rules Committee Report-Louann Shrader, Omega, and Chair of the Rules Committee reported The Rules Committee and The Leadership Development Committee identified two proposed changes to the Standing Rules of the Alpha Alpha Pennsylvania State Organization of the Delta Kappa Gamma Society. A proposal to amend Pennsylvania State DKG Standing Rule VII C was presented to the members and voted on at State Convention in June. The following is the current language and proposed change: Current wording: S. R. VII C. Finances for Professional Development and Leadership Conference/Seminar 1. Expenses including mileage at the current rate, parking and turnpike fees, if applicable, meals, lodging at one-half (1 2) the rate of a double room, if applicable, gratuities at 15% (percent) for individuals and the current rate for a group check, and registration fees of state officers and Leadership Development Team shall be paid by the state organization. 2. The expenses of additional state committee chairmen who have been requested to participate in the conference as presenter shall be paid by the state organization. Allowable expenses are mileage at the current rate, parking
7 and turnpike fees if applicable, lodging at one-half (1 2) the rate of a double room if applicable, meals, gratuities at 15% (percent) and registration fee. 3. Limited finances will be available to the host chapter(s) for registration, programs, decorations, and favors. 4. The minimum/maximum registration fee for the conference will be set by the State Finance Committee. 5. The conference treasurer must submit a financial report to the State President and the state treasurer for the conference within thirty (30) days after the conference. The state treasurer will supply report forms. ===================================================== The proposal was amended by deletion and addition of new language as follows: S. R. VII C. Finances for Professional Development and Leadership Conference/Seminar 1. Expenses including mileage at the current rate, parking and turnpike fees, if applicable, meals, lodging at one-half (1 2) the rate of a double room, if applicable, gratuities at 15% (percent) for individuals and the current rate for a group check, and registration fees of state officers and Leadership Development Team shall be paid by the state organization. Expenses for State officers and committee chairs who have been requested to participate shall be charged to those applicable budgets. 2. The budget is set by the Leadership Development Committee in accordance with the approved state budget. 3. The state treasurer will compile a financial report to the Finance Committee, Leadership Development Committee, and the State President President Dusch asked for any objection to vote for both the amendment and deletion as one. Hearing none, she asked for discussion, and requested the vote. President Dusch declared the motion successful, and effective immediately as part of the Standing Rules of the Alpha Alpha Pennsylvania State Organization. 5. President s Report President Tracey R. Dusch, Psi, conveyed thanks for the love and support of the membership and thanked chapters and members for stepping off the platform in order to take full advantage of membership in DKG. President Dusch s full report and those of the respective committees, can be found on the Alpha Alpha Pennsylvania Organization State Website.

Purposeful Seminar Report Barbara Gasperini, Alpha Upsilon, and First Vice President, gave a summary of the Purposeful Seminar, September Barbara thanked Alpha Upsilon, Alpha Zi, Theta, and Phi Chapters for its success. 7. Creative Arts Retreat Report Grace Schauer, Pi, gave a report on the Creative Arts Retreat which was held at the Olmstead Manor Retreat Center, Ludlow, PA on April 21-23, X. International Update Carol Hughes, Northeast Regional Director, gave greetings from the International Administrative Board. Carol encouraged members to update their addresses with International. She spoke about the various benefits of DKG as she highlighted scholarships, grants, and networking. Director Hughes gave an overview of the upcoming Northeast Regional Conference in Windsor, Ontario. XI. New Business 1. Kay Stuart, Nominations Chair, Pi presented the nominees for Alpha Alpha State Offices. President: Barbara Gasperini, Alpha Upsilon 1 st Vice President: Eileen Little, Chi 2 nd Vice President: Royce Boyd, Alpha Beta Recording Secretary: Joyce Kerrick, Alpha Zeta Corresponding Secretary: Kristine Reynolds, Beta Kappa Finance Committee: Linda O Connor, Omega, Barbara Tobias, Nu Mary Wilhelm, Kappa Nominations Committee: Barbara Clark, Psi Carol Lane, Alpha Zeta Diane Whitaker, Omicron Chair Stuart and her committee moved that the vote be taken en masse for the candidates for state offices. The vote was taken and the motion was successful.
9 2. Cindy Reynolds brought forth a recommendation and motion to the membership regarding a change to the eligibility to receive the Rose Bud Award. Previously, it has been awarded to a member under 40 years of age with 3-5 years of membership in the Society. The recommendation was to remove the under 40 years of age requirement. A motion was made to approve this recommendation from the State Achievement Award Committee. Carolyn Sutton, Alpha Upsilon, Past State President, opposed the motion stating that we have many awards for older members and that it is good to recognize our younger members with this award. Cindy Reynolds responded to Carolyn Sutton s question by saying that the change was suggested because it was difficult to get members who fit the qualifications set forth by the committee, and it excluded new members who came into the Society already over the age limitation. President Dusch asked for a vote on this motion and it was passed. XII. Keynote Dr. Lyn Schmid, Chi, Immediate Past International President, introduced Sara Sweeney, Coordinator of Graduate Studies and Highlands Campus Manager for West Liberty University who gave the keynote address: Building the Strongest Connection. XIII. Announcements 1. President Tracey R. Dusch recognized Kristine Reynolds, Betta Kappa,for designing the new Alpha Alpha Pennsylvania State brochure. 2. Deb Kern, President, Nu Chapter, presented a check from Nu Chapter for the Free Little Library Project in memory of Pat Shedlock. 3. Alpha Sigma Chapter presented a gift to President Tracey R. Dusch of several packages of tissues. 4. Carol Herbert, Alpha Sigma, asked for a Point of Privilege to present President Dusch with a gift from Tracey s elementary school teacher, Ruth Johnson Age (95) who could not be present at Convention. 5. President Dusch asked for anyone planning to go to the Northeast Regional Conference in Windsor, Ontario to let her or Eileen Little know so that they can direct plans for Pennsylvania Night on Thursday, July 13.
10 She reviewed the Society workshops available following the First General Session, and asked for Chapter Presidents or designees to attend workshops of particular need for their members. XIV. Adjournment President Tracey R.
