I. Preparation Before Semester Begins 1. Student Visa (D-2) Following the immigration law in Korea, all international students at KU must obtain student visa (D-2) before the semester begins. The student visa (D-2) must be acquired at the Korean embassy/consulate in the applicant s home country before the entry to Korea. A number of documents are required for the visa application, and some of them may take long time to be issued. Hence, prepare the requirements in advance to get the visa on time. It is the student s responsibility to obtain the student visa (D-2) before the beginning of the semester. Students possessing visa rather than student visa (D-2) that allows studying in Korea legally (Ex. F-type, E-type, A- 1, etc), do not need to apply for student visa (D-2). However, short term visas (B or C-type) are restricted from taking academic programs at the university. For the student who already possesses student visa (D-2) issued with the Certificate of Admission (CoA) from other university with same degree program at KU, he/she MUST make a departure and apply at the Korean embassy or consulate in his/her home country for new D-2 visa issued with the Certificate of Admission (CoA) from KU. Even Group Tourism (C-3-2), Medical Tourism (C-3-3), and General Tourism (C-3-9) visas CANNOT be changed to student visa (D-2) in Korea. Students entering Korea with such types of visa must make a departure as soon as possible, and obtain student visa (D-2) at the Korean embassy or consulate in their home countries. 4 The requirements for student visa (D-2) application may vary by individual and the embassy. It is advised to contact the Korean embassy or consulate in home country first before applying for the visa, to check if there is any additional document required. After having the passport back from the embassy, check if the issued student visa (D-2) is Masters (D-2-3), or Ph.D / MS Ph.D Integrated (D-2-4) under Korea University. If the student receives Associate (D-2-1), Undergraduate (D-2-2), or any other wrong type of visa, he/she must notify the Korean embassy/consulate immediately and correct the student visa (D-2) type to the appropriate one. 2. Alien Registration Card (ARC) Alien Registration Card (ARC) is a personal identification card for international students studying at KU, allowing them to stay in Korea legally. Once arriving in Korea with student visa (D-2), students must apply for Alien Registration Card (ARC) at Sejongno Immigration Office as soon as possible before the beginning of the semester. All international students at KU must go to Sejongno Immigration Office for visa and immigration affairs regardless of the place of residence. Immigration office is assigned by the student s home institution, rather than the place of residence. The Alien Registration Card (ARC) states the period of authorized stay (expiration date printed on the back of it). Please remember that the ARC must be always valid while staying in Korea. 7 2. Valid Period of Stay in Korea for Student Visa (D-2) Holder *The duration of coursework and the length of studentship may vary by major Terms about valid period for student status and student visa (D-2) a) Duration of Coursework - General period of study given for the course (vary by major) - The student can graduate within the duration of coursework by completing all the requirements for completion and degree dissertation for graduation b) Length of Studentship - Maximum length of study available for graduation set by KU c) Valid Period of Student Visa (D-2) - Maximum length of stay available for student visa (D-2) holders set by the immigration office Maximum valid period of stay in Korea for international students International students with student visa (D-2) MUST finish the study within the valid period of student visa (D-2) permitted by the immigration office of Korea. Since all international students in Korea are under the restriction of the immigration law of Korea, regardless of the length of studentship at Korea University, the students must finish their academic programs within the valid period set by the immigration office. Usually, the graduate students would receive 2 years of valid period of stay (vary by individual), and it is written on the back of Alien Registration Card (ARC). They can extend ARC starting 4 months before the expiry date. However, ARC extension can be done only within the valid period of student visa (D-2). It is impossible to extend the ARC after the valid period of student visa (D-2). 5
III. Reporting Changes in ARC Tel: ~4 As an international student with Alien Registration Card (ARC), it is important to make a report on the changes that occur while living in Korea. It is mandatory to report the change to the immigration office within 14 days from the occurrence. The report can also be done by online at HiKorea. 1. Personal Details That Must Be Reported Passport information - Name, sex, nationality, date of birth, passport number, date of issue, and date of expiration Place of residence 2. Reporting Period Within 14 days from the date of occurrence 3. Required Documents Passport & Alien Registration Card (ARC) Application form Additional documents that proves the change 4. Reminder If the above changes occur after making departure and while staying abroad temporarily, report them to Sejongno Immigration Office within 14 days from the arrival in Korea 5. In Case of the Change in Place of Residence Change in the place of residence must be reported within 14 days of the occurrence as well. It can be done at the nearest community service center (Dong or Gu Office) or Sejongno Immigration Office (available online). After the amount of period, it can be reported only at Sejongno Immigration office, and fine will be imposed as well. Required Documents a.) Proof of Residency - Living on-campus: Confirmation of Residence/Accommodation from CJ I-House office with signature, and dormitory payment receipt - Living off-campus: Submit the copy of rental contract * If the contract is not under the applicant s name, it is required to submit the copy of accommodation provider s ID card & Confirmation of Residence/Accommodation IV. Leave of Absence and Returning 1. Leave of Absence International students can also apply for leave of absence for a certain period of time. However, applying for leave of absence means invalidating the student visa (D-2). Students taking leave of absence must leave Korea within 15 days from the date that leave of absence is officially approved by their affiliated department office. To prevent any confusion over this issue, students can visit Global Services Center (GSC) and receive counseling before applying for leave of absence. *How to download the application form for leave of absence: go to registrar.korea.ac.kr 서식 click " 휴학원서 ( 학부 / 대학원 ) 6
2. Returning to University / Reinstatement International students must obtain new student visa (D-2) and Alien Registration Card (ARC) to resume the study at KU. They need to first submit the Reinstatement Form to affiliated department office (starting January/July). Once the reinstatement is approved by the department office, Global Services Center (GSC) will contact the students to issue the Certificate of Admission (CoA) for student visa (D-2) application. After the Certificate of Admission (CoA) is issued, they may apply for the visa with other requirements. It takes around 2 weeks~1month for the reinstatement to be accepted and the Certificate of Admission (CoA) to be issued. Even the requirements for student visa (D-2) may take long time to be prepared. Hence, the returning students should contact the Korea embassy/consulate in their home countries in advance to figure out and to prepare the documents needed for the visa application. Please be reminded that it is the student s responsibility to obtain the student visa (D-2) before the semester begins. *The application period for leave of absence/reinstatement starts 2 months before the start of semester (Jan/Jul). *How to download the reinstatement form: go to registrar.korea.ac.kr 서식 click " 일반복학원서 ( 학부 / 대학원 )" V. Int l Student Studying Abroad From the immigration office s perspective, participation in exchange or dual degree program (outbound) is considered as temporary discontinuation of the student s study in Korea. It is because the student is not physically residing in the country while participating in such programs. Participating in programs studying abroad will be reported to the immigration office during the departure from Korea. It leads to the termination of the student s student visa (D-2) regardless of the valid period of stay written on the back of his/her Alien Registration Card (ARC). Therefore, a student planning to participate in programs studying abroad (exchange, visiting, dual-degree, etc) must consult GSC ahead of joining the program and leave for a semester(s). 7
VI. After Coursework [Change of student status from admission to graduation] 1. Student Taking Extra Semester(s) Generally, graduate students will be given 4 semesters for coursework (8 semesters for MS Ph.D integrated program). During the duration of coursework, students can fulfill all the requirements for the degree and graduate immediately. However, sometimes the duration of coursework is not enough to finish academic program. Some students may take extra semester(s) ( 초과학기생 ) to acquire more credits and requirements requested by the affiliated department for 8
completion (not thesis). Students taking extra semester(s) may need to apply for Alien Registration Card (ARC) extension. It can be made either by visiting Sejongno Immigration Office in person or applying online at HiKorea. It can be done 4 months before the expiry date. It also required a number of documents to be submitted, and one of them is the Explanatory Statement for Extra Semester(s). In this form, the students must ask their department officers to fill in it and give a signature. Then, they have to bring the signed form to GSC for confirmation. 2. Completed-Research Student A student who has completed the coursework (acquiring credits, etc), but has not finished foreign/comprehensive exams or writing thesis for graduation is called a completed-research student ( 수료연구 ( 재학 )). A completed research student can also extend Alien Registration Card (ARC) and stay longer in Korea until he or she graduates. In this case, the student needs a number of documents for ARC extension. Among those, the Confirmation Form for Academic Advisor on Student Thesis Schedule needs a confirmation from GSC staff. In order to get a confirmation from GSC staff on Confirmation Form for Academic Advisor on Student Thesis Schedule, it is MANDATORY to bring Academic Advisor Statement to GSC. This form is to verify that the student is extending his/her stay in Korea for academic purpose. Again, GSC staff can't stamp on Confirmation Form for Academic Advisor on Student Thesis Schedule without getting Academic Advisor Statement. Always remember that all international students with student visa (D-2) MUST finish the study within the valid period of student visa (D-2) permitted by the immigration office of Korea, even though they are currently studying at KU within the length of studentship. Also, the student visa (D-2) and Alien Registration Card (ARC) will be terminated automatically if the completedresearch student does not register at KU continuously even for one semester. It is mandatory for all international students to register during the 1st regular registration period before the beginning of the semester (February/August). In case of leave of absence for completed-research student, the student visa (D-2) will be not issued again even after reinstatement unlike for coursework students. Since Global Services Center reports the student s status of registration to the immigration office in early September, all international students with student visa (D-2) are required to register for the semester during the 1st regular registration period (February/August). Otherwise, the student visa (D-2) will be terminated automatically. VII. Departure It is MANDATORY for all international students at KU about their departure to Global Services Center by or visit. It is to advise the students about the termination of student visa (D-2), and adjust or end the visa depending on their situations (leaving Korea permanently/temporarily). Departure for temporary stay abroad during summer/winter break does not have to be reported. Only the students leaving after completion of dual degree program, for employment abroad, dual or exchange program abroad, graduation, or for other personal reasons. Please be noted that it is mandatory to notify GSC at least one week prior to the departure date. Otherwise there may be an unexpected disadvantage in acquiring visa to enter Korea in the future. 9
VII. Part-Time Work International students with student visa (D-2) can do part-time work. However, it is illegal to start working outside the university without prior permission from the immigration office and GSC. Graduate students must first prepare Part-Time Work of Foreign Student Confirmation Form together with other supporting documents specified below. Graduate students taking extra semester(s) due to incompletion of credit requirement set by their majors can NOT do part-time work. Students from GSIS (English Track Program) can have TOPIK 4 waived and receive permission to work for 35 hours as long as they submit its proof from the affiliated department. Completed research students with TOIPIK 4 can receive permission to work for 30 hours per week during weekdays as well as weekends and winter or summer breaks.
