The annual letter is required to be read as an item of new business, approved at the chapter meeting and forwarded to the state president before March 1. Chapter Bylaws Mail the chapter bylaws to Organizer Marilyn Staples-Sundt, SW Gardner Ct., Tualatin, OR 97062; peomarily@gmail.com. Please send any copies in WORD if they are to be ed. The template and tips are found on the current Oregon website on Forms & Documents/Local Chapter Committees. If there have been no bylaws changes please mark NO CHANGES at the top of the document. Amended bylaws are to be forwarded to the state organizer by the outgoing recording secretary before April 1. Chapter Yearbook **Note a new procedure. Two (2) copies of the chapter yearbook are to be mailed to Organizer Marilyn Staples-Sundt, SW Gardner Ct., Tualatin, OR The requirements are listed in the Standing Rules of Oregon State Chapter on the current Oregon website; the State Chapter Resources page click Forms & Documents/General. The Local Chapter Checklist for Chapter Yearbooks is on the State Chapter Resources page click Local Chapter Officers/President, scroll down the various documents. Proposed Amendments The deadline is January 15, 2018 for proposing amendments to the P.E.O. Constitution; Bylaws and Standing Rules of International Chapter; and Procedure for P.E.O. Chapter Meeting. The deadline is February 15, 2018 for proposing amendments to the Bylaws and Standing Rules of Oregon State Chapter. Proposed amendments are to be sent to Kirsty Wineland, PSP, DM chairman of the state Amendments & Recommendations Committee, 1425 Ptarmigan Ct., NW, Salem, or or ed to wineland8502@comcast.net. Chapter Contributions The OSC treasurer greatly appreciates receipt of contributions prior to January 25, 2018 in anticipation of annual reports in March. Please refer to the VP and Treasure s notes below. Remember the Sesquicentennial 150 Fund! Nominations for OSC Executive Board The state Nominating Committee invites local chapters to give thoughtful consideration to sisters in your chapter or area who might be interested in serving on the Oregon State executive board. The deadline for submission is February 15, Chapter recommendations and nominee information forms may be obtained from chairman Marita Talbott, PSP, FZ, 2181 Lake Isle Ct., Eugene OR 97401; maritatalbott@gmail.com,

2 Sesquicentennial Celebration Committee Has your chapter appointed a Sesquicentennial Celebration liaison yet? If so, please send her contact information to the OSC Sesquicentennial Committee so that we can stay in touch. If not, then please do so soon so that your chapter can be a part of the Celebration! Look into becoming a recognized Chapter by giving to the 150 Fund. Chapter or individuals donating $150 or more will be recognized at the Convention of International Chapter in For details see the International website or contact this committee. Celebrate the history of your local chapter and Oregon State Chapter with historical programming and archival & oral history preservation. Chairman Kathi Yenney; yenney@pocketinet.com will be happy to answer questions for you. Secretary Notes from Secretary Joyce Auenson Corresponding Secretaries Your chapter president will receive all 2018 Annual Report materials from International around January 15 th. Be sure to ask your president to notify you as soon as she receives them. There is much you can do in the six weeks prior to March 1 st that will make your Annual Report task easier. For assistance, please contact Secretary Joyce Auenson; peojauenson@gmail.com. Check that the addresses of all current active members are correct. If not, file the online Change in Membership Form to make the change. Do not use the Annual Report to make address changes. The Annual Report is only for Membership changes. Make sure all your initiates, reinstatements, and members who have transferred into your chapter by December 31, 2017 are listed on your Chapter Membership Summary. If not, please file a Change in Membership form to do so right away. Note: You will still list them on the Annual Report in March, but submitting the Change in Membership form saves your state officers a great deal of time. Check that members you know who have transferred to other chapters prior to December 31, 2017 are not on your list. If a member is still listed as an active member of your chapter, and you believe she has transferred, notify her immediately. It is possible that her new chapter has not reported her transfer, and this will give plenty of time to get it done prior to March 1. Check your list of Inactive Members. The Corresponding Secretary is the only chapter member who annually sees this list. Make sure addresses of these inactive members are correct. If an inactive member has passed away, report her death (and date of death) on the Change in Membership form. Check your list of Inactive Members who have been so for 25 years or more. If no one in your chapter knows where one or more of these inactive members are, declare Lost Contact. Be sure to ask your president to notify you as soon as she receives them. If you are new to the office of treasurer, go over the forms right away to make sure you understand what information you will be asked to provide and ensure you have all the financial information and documentation necessary to complete the forms. 2

3 Please MAIL your remaining chapter gifts to International and state philanthropies by January 25, At this time of year, the OSC treasurer is heavily involved with many donations and year-end details. Consequently, there is no promise that chapter or individual gifts to our philanthropies received after March 1 st will be processed in a timely fashion and may not be reflected in the yearly totals. Also, if your chapter wishes to have recognition as a Laureate Scholar Chapter or a Partners in Peace Chapter, these monies must be deposited by January 31 st. Please use the current Treasurer s Remittance Form dated 7/21/2017. The form is posted on the Oregon website on the State Chapter Resources /Local Chapter Officers/ Treasurer. Finally, assist your chapter corresponding secretary in verifying the accuracy of the 2018 Chapter Membership Summary. Your roll book should reflect all active members, including new transfers, initiates, and reinstatements. If your roll book differs from the Chapter Membership Summary prior to annual reports, there is a problem and it is more easily resolved prior to March 1. Work diligently to have all members pay their dues on time and be sure your chapter has addressed and is ready to send in the $5 per member assessment for 2021 International Convention. If you have questions regarding the above information, please contact Treasurer Bunny Lewis; bunnylpeo@gmail.com. **Note New Address: Bunny Lewis, OSC Treasurer 1012 Megan Lane Phoenix, OR Education Notes from Vice President Sonia Lamoreaux State Scholarship Information and Deadlines Our Oregon chapters are ramping up to begin the process of sponsoring qualified women for our Oregon State Chapter Charitable Trust scholarships. There are resources on the OSC website to use as chapters interview candidates and complete the application forms. The Oregon Marguerite Scholarship is given to women from freshman status to graduate level. Note that preference is given to women re-entering school after a significant break in their education, with a focus on women with dependents. Preference is also given to women successfully enrolled in school, over entering freshman. The Oregon Scholarship is only for students who have achieved junior status or above. To be eligible for both scholarships, the applicant must be an Oregon resident, enrolling in an Oregon institution. Again, refer to the detailed chart for further details. Kindly review the application forms for accuracy. Errors on the application forms may hold up an application. The completed application packet must be postmarked on or prior to the applicable date. The application packet should be sent by US Mail, Fed Ex or UPS. Please do not send with a signature requirement as this could delay receipt of the packet. Applications faxed or ed will not be accepted. Mail completed packets to: Sonia Lamoreaux, OSC Vice President, PMB 8295 POB 8000, Black Butte Ranch, Oregon The deadlines for receipt of the scholarship applications are as follows: (of course, sending early is wise and greatly appreciated by the Scholarship Committee). Oregon Marguerite Scholarship March 1 Oregon Scholarship April 1 Oregon Cottey College Scholarship March 1 **(February 15 as noted below) IMPORTANT: Chapter and individual donations are requested to be sent to the OSC Treasurer, Bunny Lewis as soon as possible. The 1 st of each year is the perfect time to allocate donations to our OSC Scholarships and to Cottey College. **Applications for the Oregon Cottey College Scholarship are requested by February 15 as Cottey College has requested notification of awards by March 1 to meet the US Federal Government Financial Aid forms deadline. It is requested that chapter donations NOT be sent with the chapter annual reports. This year, let's meet this recommendation by 100%! 3

4 Lastly, the number of scholarship applicants has increased over the years. The Scholarship Committee appreciates donations to the OSC Charitable Trust, Oregon Education Fund, (Undesignated) indicating that a chapter or individual donation can be used for either the Marguerite or Oregon Scholarship. Having this option gives the opportunity to balance the scholarship awards, pending the number of applicants for each scholarship in a given year. For further assistance, contact Sonia Lamoreaux, Vice President; peosonia@bendbroadband.com Membership Notes from Organizer Marilyn Staples-Sundt Try Something New The beginning of a new year is a great time to bring some extra vitality into your chapter by Trying Something New. What has your chapter chosen to do? It doesn t have to be a B I G idea; even a small change can bring new ideas and energy into your chapter. Here are a few ideas that other chapters have tried. Have each member present at a meeting write their name on a slip of paper. During Good of the Chapter, each member draws a name. The following month, each member arranges a coffee, lunch or time for tea with the member whose name she has drawn. Some quality one on one time with another sister can strengthen those bonds. Have a member of the Social and Membership Committees attend the Program Committee planning meeting. Plan specific programs and events that will encourage members to invite guests, involve non-participating members and let those BILs have fun together. Publish these events in the yearbook so they will be known and planned for well in advance. Join with another chapter in your area and work together on a fundraiser or social activity. Don t just invite members from another chapter to support your project or attend an event, rather make it a joint effort in both the planning and execution and create equal ownership for each chapter. Attach a social event to the Officers Transition Meeting in March; after working hard to set goals and plan, have some fun together and bond as officers. Plan for officers, Membership Committee and Education Committee members to attend the Area Workshop in April. Plan for lunch out together afterwards. Again, have some fun together and bond as officers. Your chapter s Something New will be written on ribbons and attached to chapter delegate s nametags at convention. Plan to share your chapter s Something New and get ideas from other chapters. As your chapter chooses your Something New, send an to peomarilyn@gmail.com and share ahead of time. It just might be featured in a future newsletter for other chapters to consider. Here s to Chapter Vitality! Stay tuned for more information. Remember that Area Workshops are open to all officers of local chapters, and you are always welcome to attend in an Off year. If you are unable to attend the workshop in your area but would like to attend a different workshop, you are also welcome Fall Visitations Though the year has just begun, your state officers are already planning for the 2018 Fall Visitations. Officers will be ing or calling chapter presidents during January to arrange the date and time to visit each of their assigned chapters during August, September, October or November. We hope this early contact will allow the specifics of the visit to be included in your chapter yearbook. While every effort is made to conduct the visit and Officers Leadership Conference on your regularly scheduled meeting day, it is sometimes necessary to ask a chapter to change their meeting to a different day. We ask your understanding if we make this request.
