May is convention month President s Column - may 2011 Get your convention ticket and more importantly reserve your room for the convention if you haven t done so already. Good speakers, good companionship, good food and new fish what more could a person want. I m pleased to announce that most of the Executive has undertaken to go another round. Myself and Ann will remain in our current positions. Ken will become 2nd Vice, which allows to become 1st Vice. My thanks to Claudia Carthew and Dave Boehm who have decided to devote their energies to other things. I have had the privilege of working with them for the past two years and wish them all the best in the future. Noel was going to remain on as Corresponding Secretary but I have asked her to stand for Treasurer. So at the Convention, we will be electing a new Treasurer and a new Corresponding Secretary. If you are interested in either position or know someone who is please let know. At the Convention, we will be dealing with the issue of how many regular meetings we should hold, there are three options currently: status quo 10 Meetings per year, 5 Meetings with an electronic executive meeting in between and a hybrid which would have a meeting approximately every six weeks. Please give the alternatives some thoughts and if you have any better ideas, please bring them along. Also at the Convention, we will be discussing the venue for next year s convention. The executive is currently examining Markham, Niagara Falls and London as possible venues and the Aquarium Society of Winnipeg has expressed an interest in hosting. Winnipeg has requested that we do the Convention in conjunction with their annual function which is held Easter weekend. This would be a big departure for us but their weekend has been wildly successful on that particular weekend. See you in a couple of weeks. At least I hope so, I left a plastic bottle with some baby ancistrus on the counter this morning intending to bring it to work but I forgot and my wife took it to the gym and apparently drank at least one. Guess she ll have an algae free colon. So hope to make it till then. All the best. Bob Can't make a meeting in person but would like to attend via Skype. You can, just look up Ann Stevens our Recording Secretary and add her to your list. Search for user nov18angel and then let Ann know prior to the meeting, and she will sign on to Skype and accept your call.

To be given one to each club. The balance is a donation for the convention. At this point, no responses from any clubs for hosting next year s convention have been received. Since no applications were received, we will be hosting next year's convention. Possible locations for next year s convention were discussed. To check into Fanshawe, Niagara College (Niagara College.ca) and other hotels. Further discussion took place on whether to change the weekend. It was decided that next year, the dates are very limited and will stay as the Victoria Day weekend. Ann to check on Niagara College, Bob to check Fanshawe and hotels, Udo to check Best Western where Durham held the convention a few years ago. Bob will be visiting the Barrie club in May and will speak with them in regards to membership. Bob will send an to confirm. Noel and Dave both replied to the Wet Coast in regards to membership. Dave reported in regards to what the insurance covers. Third party liability will cover (details to be sent from Dave). Treasurer's report was read by Dave. Ann motioned to accept the report, Noel second. Carried Paul received a request from Jim Fowler for a replacement certificate he acquired in 1950's. It was decided that CAOAC was not formed then, so then it is not possible for us to provide something we have not provided and unable to verify data. 5 Matters Arising from Previous Meeting Treasurer s Report Dave updated on bank balances. He also gave a detailed report of the last month s expenses and income. Dave read a letter of resignation as of the end of this meeting. Looking to have someone else look after the annual reports. After some discussion Dave will stay on but does not want to be active. Charlie Drew had some ideas of catfish and invertebrates. It was suggested Peter talk to Jim Robinson. Binder An was sent in regards to responsibilities. Phil received what Char has completed. September 17 is still the auction but looks like no show. Nothing available for speaker either. St. Catharines Everyone welcome, Tropical Fish of Erie County April 19 awards dinner, Claudia to send info. Toronto Willowdale Sue Buchan from Hamilton will be speaking on frogs. Old Business Books from Harold Benn have been picked up. They will be available at convention. Bob has a proposal for Tim McCaskie to be voted on at annual meeting. Durham has donated $1000 to his trip. New Business Two motions are to be voted on at the annual meeting. Move Bob, Phil, Ann & Mike to move to meeting. Tropical Fish Hobbyists want to make available electronic version available for a reasonable price to all clubs. Notices of Motion for Annual Meeting Meeting Schedule for Moved: That we adopt one of the following models for the upcoming year. Option A: Satus quo - every third Sunday except for July and August, hold General and Executive Meeting. Option B: Hold General & Executive meetings every second month except July and August (Sept/Nov/Jan/Mar/ May) and hold Electronic Executive meetings in the intervening months. Option C: Hold General meeting and Executive Meeting every six weeks or so (eg. Sept 18, Oct 30, Dec 11, Jan 22, Mar 4, April 15, May 20) Page 6
7 for the funds. Selection shall be by a panel of the recipients of the CAOAC "Scientist" Award. The panel shall select proposals based on their scientific merits and their likelihood to promote knowledge of fishes and the hobby. Preference shall be given to proposals of members of CAOAC clubs. 8 2011 CAOAC ELECTIONS NOTICE Are You Interested in being a part of the CAOAC Executive Team? At each convention in May, CAOAC holds it s annual elections. You may run or nominate someone for one of the 6 positions available. They are; President, 1st Vice president, 2nd Vice President, Recording Secretary, Treasurer and Corresponding Secretary. Please see the general rules and procedures on the next page. A resume or bio for the nominated position should be sent to the CAOAC Steering Committee chair by no later than end of the April 17, 2011 business meeting. A list of candidates will be published in the May 2011 newsletter. The list of candidates and options for voting will be ed to each member club ASAP after the April 17, 2011 meeting. 9 GENERAL RULES & PROCEDURES FOR NOMINATIONS & ELECTIONS 1) The Chair of the Steering committee or his or her designate, hereinafter known as the Steering Chair, may appoint other committee members and shall enlist qualified applicants and accept valid nominations for all positions on the Executive, publish the slate, arrange for mail-in votes, as well as at least two scrutineers and all supplies needed to run the annual elections in accordance with the rules as set out in the Bylaws of the Corporation. 2) Nominations for the Executive will close at the end of the break at the regularly scheduled April meeting. If there is only one nomination to any position, the person so nominated will be acclaimed to the position for the following year. If there are no nominations, nominations will be requested at the Election at the Annual meeting. Each nominee must declare positions for which he or she will stand and may submit to the chair a resume/ platform no larger than a single page 8½" x 11". Any member in good standing of any CAOAC member club in good standing may nominate him or herself or any other club member in good standing. A nominee may run for more than one position but can be elected to only one. 3) The Steering Chair will contact all nominees and only those wishing to stand for election will have their names published. Only member clubs or societies in good standing at the end of the April General Meeting shall be entitled to vote in the Annual Elections. The Steering Chair will each member club's President the slate, resumes and one ballot for each vote entitled to the club not later than the end of the first week of May. The ballots will list each office in the order of voting and the candidates for each office alphabetically. 4) Clubs may vote at the Annual Election by either; using the mailed out ballot(s) which must be returned to the Steering Chair before the call to order of the Annual Meeting and must be properly filled out and signed by the club President and either the Club Rep or another Executive officer of that club, or by exercising their vote(s) in person at the Annual Election. 5) The order of voting shall be President, First Vice-President, Second Vice-President, Recording Secretary, Treasurer, and Corresponding Secretary. Ballots are to be marked in accordance with instructions provided by the Steering Chair with each ballot. Clubs should indicate their preference for officers by marking their ballot(s) with their choice for 1st, 2nd, 3rd etc. depending on the number of nominees. 6) The Steering Chair may declare any ballot which is improperly filled out or which is unclearly marked to be a "spoiled" ballot, which shall not be counted. The Steering Chair, with his or her scrutineers will retire to a private place after the call to order of the Annual Meeting. They will validate each ballot and then, commencing with the election of the President and following through the order of voting, they will tabulate the votes. Once a candidate is elected, his or her name will be stricken from any subsequent positions for which he or she may have run. Second & third choices for these positions would then move up accordingly. 7) Election will be by simple majority of the valid ballots cast. If no candidate receives a majority and there are more than two candidates for the position, the candidate with the least amount of votes shall be dropped and the second (or third or fourth etc.) choices will be tabulated. This process shall be repeated until one candidate receives a majority of the valid votes cast. 8) No vote counts shall be announced but the Steering Chair shall notify the Chair of the Annual Meeting when the results have been finalized. The results will be announced by the Steering Chair as the final piece of new business at the Annual Meeting. The Steering Chair will retain all ballots and materials of record in a safe place until at least the end of the September meeting or until any and all questions arising out of and concerning the elections have been resolved. In no case shall he or she release any information or data to anyone except as noted below. 9) Each candidate may ask for and receive the vote tabulations for any office in which he or she ran. If the candidate ran for more than one office, he or she may only receive the vote tabulations for those offices up to and including the one to which he or she was elected. 10) Each club may find out from the Steering Chair whether their ballot or ballots were received and whether they counted. If they were received and not counted, the Steering Chair will explain why. Page 9
