1 MEMO TO STATE PUBLICATION PROGRAM LIBRARIES August 31, 2004 There were no monographs for the enclosed shiplist; therefore, you will not receive the Monograph (Part 1) of the enclosed shiplist. Memo From Marci Notice the Digital Archive Shiplist (Part 3) There are no monographs in this shiplist so you are receiving lists for serials (Part 2) and digital archive items (Part 3), but no list for monographs (Part 1). This is the second Digital Archive shiplist we have sent out this year. The first one was sent in conjunction with shiplist Many of you have already incorporated those records into your OPACs. These records on the Digital Archive shiplist should be treated as any other OCLC record that you use for cataloging State Documents. Simply download the OCLC records into your catalog. Your patrons should then be able to access the full text state documents from your OPAC. No shelving or labeling involved! However, in order for all this to work your OPAC must be web accessible and have the 856 link turned on. For those of you who don t use OCLC records, but who do have a web accessible OPAC and have the 856 field link turned on, cut and paste the Digital Archive url, found in the State Library s online catalog Salsa, into the 856 field of your cataloging record. You can search Salsa off of the State Library s homepage at using the title of the document. Of course, things, particularly technical things, do not always work the way they are supposed to, so please let us know if you have problems downloading these records into your catalogs and/or if you have problems then accessing the documents through your patron OPAC. On this second digital archive shiplist, we have, again, included just a few digitally archived monographs in the ship list. No depository libraries are required to add these items to their collections, at this point, as part of their depository obligations. However, we are still very interested in those of you who do add them to your collections and how it works so please contact Patricia Hewitt or me with what you experience. We have already spoken to many of you regarding your experiences- most libraries report considerable ease in incorporating the digitally archived documents in to their catalogs. Annual Meeting Friday October 29 th - You will receive a tentative agenda in mid-september as well as a formal invitation. If there are issues or subjects regarding the depository program in general, your library in particular, or on any aspect of state documents- their contents, distribution, cataloging, maintenance etc- that you would like to talk about or have addressed at the annual meeting, please or call me with those ideas and issues so that we can include them in the agenda. Three items are of particular interest in this shipment: Constitutional Amendments Proposed by the Legislature in 2003 and 2004: Brief Analysis and Arguments For and Against by the Legislative Council Service briefly discusses the three constructional amendments that will appear on this November s ballot. They deal with Veteran s property tax exemptions, municipalities and run-off elections and the New Mexico school for the visually handicapped. Also on line at For Fair goers- participants or visitors- look at EXPO New Mexico State Fair 2004 Premium Book is a listing of all events, locations, entries and everything you d want to know before going to the State Fair.
