1 I. The name of this organization is Student Activities Programming Board (SAPB). II. III. Definition of Organization a. Vision: We strive to make SAPB Belmont University s premiere programming organization that is recognized and respected on campus. We will build the Belmont community by listening to the student voice, collaborating with other organizations, and producing quality programs. b. Mission: Belmont University s SAPB is a student centered organization dedicated to bringing the Belmont community together by offering diverse programs and events that will entertain, educate, excite, and engage students. c. Purpose: Created by the university to directly support and enhance the mission of Belmont University. Considered a direct extension of the University, chartered organizations principally exist to serve or represent the campus community. They provide significant contributions and programming to the campus community. Officers a. President- the president oversees SAPB, acts in the best interest of the organization, and works to achieve its mission and goals. The president will move the vision forward by working with the entire organization to engage the vision of SAPB in all aspects of programming. 1. Has served previously in an executive position on SAPB 2. Maintains minimum of a 2.5 GPA 1. Preside over executive meetings 2. Research new events for SAPB 3. Seek and establish partnerships with other organizations on campus 4. Maintain the SAPB 5. Serve as a liaison between SAPB and the chartered organizations 6. Update executives about events year to date and budget 7. Work with the Vice President to train SAPB members 8. Plan and implement SAPB retreats with the Vice President 9. Oversee and assist Vice President and committee chairs 10. Be a visible and supportive member of the organization 11. Work with the advisor on all board related matters b. Vice President- The Vice President will serve as the main administrative officer. The Vice President will serve as the president in his/her absence. 1. Maintains minimum of a 2.5 GPA 2. Priority in selection will be given to former members of the SAPB executive board 1. Serve as the Event Services Contact 2. Work with the President to train SAPB members 3. Maintain record of SAPB attendance at meetings and events

2 4. Enter SAPB events into BruinLink 5. Assist in the maintenance of the SAPB 6. Record meeting minutes at executive and general meetings and send to SAPB members and exec 7. Assist executive members 8. Be a visible and supportive member of the organization c. Treasurer- The treasurer will manage the SAPB budget and financial procedures. 1. Maintain a minimum 2.5 GPA 2. Have experience in, or be majoring in, Finance or Accounting 1. Create semester budgets with executive members 2. Maintain monetary transactions 3. Present budget twice a semester beginning of semester and middle of semester report 4. Alter budget through addendums with permission of advisor d. Committee Chairs - Committee Chairs will serve as event coordinators for events that fall under their committee. The committees are: Events and Convocation. 1. Served on a SAPB Committee 2. Maintain 2.5 GPA 1. Be responsible for the planning and implementation of events 2. Responsible for contacting catering for the events put on by their committee 3. Maintain the budget allocated to their committee 4. Lead individual committee meetings 5. Delegate event tasks to committee 6. Look for new events for their committee 7. Help develop new leadership within SAPB 8. Be a visible and supportive member of the organization e. Marketing Coordinator- Marketing Coordinator will be responsible for organizing and implementing all marketing strategies 1. Served on a SAPB Committee 2. Maintain 2.5 GPA 1. Create SAPB event posters 2. Serve as the primary Copy Center contact 3. Manage SAPB social media channels a. Facebook b. Twitter c. Instagram d. Pinterest 4. Contact the Bruin Breeze about upcoming SAPB events

3 5. Submit campus announcements to be posted on MyBelmont 6. Send Advertisements to Sodexo marketing director to be placed in the dining hall slide show 7. Design creative campaigns and develop promotional activities for each SAPB event 8. Delegate marketing tasks to general members who volunteer to help with marketing initiatives IV. General Requirements for All Executive Members a. SAPB executive board members must have and maintain a cumulative GPA of 2.5. b. An officer of SAPB is a full-time student. c. Executive board members must be in good standing with the University. This includes but is not limited to the following: i. Remain in good academic standing ii. Uphold the Community Commitments and ethical behavior as a student at Belmont iii. Should an SAPB Executive Board member be found responsible by the Community Accountability Board (Honor Court or Conduct) they will be immediately removed from their position on the board; membership within SAPB will also be removed for at least two academic semesters. A review of membership and Executive Board standing will be done after the two semester suspension. d. Each SAPB executive officer may have two unexcused absence from meetings (this includes both Executive and Member Meetings) each semester. V. Officer Removal a. Terms of Removal i. Each executive board member of SAPB can be removed from office for the following reasons: 1. The student is not fulfilling the stated responsibilities of his/her job. 2. The student s GPA has fallen below a The student has be found responsible of any offense by the Community Accountability Board 4. The student has not met attendance requirements 5. The behavior of the member/executive Board member is found to be incongruent with the ethical standards and Community Commitments of the University. b. Removal Process i. An executive member of SAPB will submit in writing the reason for removal of office of another executive member. The President receives this submission. If the officer in question is the President, the Advisor receives the submission. ii. The President and the Advisor meet with the officer in question about removal request. iii. The President then recommends to the appropriate repercussions, from

4 suspension to removal, to the Advisor. iv. If the Advisor determines that the call for removal is valid, the President presents the removal to the officer to the executive board and the executive board votes on the manner. v. To remove the officer in question, simple majority must favor removal. 1. The president is allowed to vote 2. The officer in question does not vote and is not present during the discussion and votes. 3. The advisor must be present. VI. VII. VIII. General Membership a. Program Board Committee members Committee members will be a viable part of SAPB. SAPB members will: i. Assist the Committee Chairs with the planning and implementing of events ii. Attend events for their committee as well as others iii. Contribute to SAPB by giving ideas, voicing opinions, following through with assigned duties, and attending meetings regularly iv. Be a visible and supportive member of the organization. General Requirements for Membership a. SAPB members must be in good standing with the University. This includes but is not limited to the following: i. Student must be in good academic standing (minimum 2.5 GPA) ii. If the Community Accountability Board finds a student responsible during their term in SAPB, SAPB will issue the student in question a membership suspension for that semester and the following semester. b. Abide by the policies and procedures set forth by Belmont University, Student Engagement & Leadership Development and the Bruin Guide. c. Meeting Requirements and Attendance i. Each member may have three absences per semester in order to remain in good standing with the organization. This includes both meetings and events. ii. In addition, all SAPB members are expected to show support for the organization by 1. Attending the events of the committee on which they serve. a. If a general member needs to miss a committee event, the member must give their committee chair prior notice (no later than 24 hours prior to the event) and the committee chair must approve the request. b. If a committee chair needs to miss an event, the President and Vice President must approve the request. d. If any of these requirements are broken or violated, the Vice President will provide written notification to the member of the violation of SAPB policies. The advisor and the President will meet with the member in violation. Meetings a. SAPB members must be available to meet at the regularly scheduled meeting time,

5 Wednesdays at 10am. b. Order is expected during the meetings, any executive member can call order to the meeting by asking members to pay attention or participate. c. Attendance will be taken at each meeting. IX. Committees a. Each committee will be responsible for planning quality events that benefit the student body and promote the organization and the university s mission and vision and upholds the values of the institution. Committee Chairs of the Executive Board lead the committees. b. The following committees are a part of Program Board: i. Convocation: Responsible for leadership series events, learning luncheons and Convocation programs. These will be in line with the strategic goals of the organization and SELD. ii. Events: Responsible for planning all events not within the purview of the Convocation Committee; examples include movie nights, Throwback Prom, End of the Year Carnival, and Pumpkin Palooza. X. Amendments and Ratifications a. The President receives all submitted changes to the constitution. The President will present the change to the rest of the Executive Board. b. After debate or discussion, SAPB will put the suggested amendment to a vote. To make changes the suggestion must receive a simple majority vote. (The President is a voting member.) c. SAPB presents the recommended change to the Advisor. The Advisor must give final approval for the amendment to be valid.
