5 BLP s Board Meeting Minutes of May 15, 2016: Page 5 of 8 Ms. Oregon Leather / Petal did not submit an activity report prior to the May board meeting OLD BUSINESS: Leather Pride Planning for 2016: LEATHER BINGO: Stormy made sure that all of our titleholders have copies of the donation forms & guidelines. Folks are still actively collecting gift items. LEATHER FAMILY BARBECUE No news yet. We will probably only have to cope with a small assignment, such as condiments. LEATHER VEGAS Justin mentioned that we still need Texas Holdem dealers. Stormy knows that DeeDee is interested and has experience. Stormy will also try locating a second Texas Holdem dealer. CONTEST JUDGES are all lined up: o LE the American Leather Women 2015 o Beau King / Washington State Bootblack 2015 o Sister Sara Bellum / Portland Sisters of Perpetual Indulgence o Sir Klayton Pounder / NW Handler 2016 o and BLP s 4 current titleholders Micky asked what sort of preparation Judges need to know in order to become a good judges of our candidates. Tobin, Stormy and Bill discussed their personal perspectives as both former titleholders & as judges. CONTEST MARKETING -- Justin will put together some teasers & inserts into BLP s webpage and possibly on our Facebook page. BACK STAGE Justin has 1 runner lined up, but he has to get clearance from his work to accommodate the contest night into his schedule. CONTEST NIGHT -- Tobin will be coordinating the opening dance number among other duties. CONTEST WEEKEND -- Tobin was successful in securing a discounted price for a room package from the Jupiter Hotel for guests making reservations for OSL weekend. LEATHER PATCHES Justin will be contacting Rock Ranch Embroidery in Sandy, OR to see if we need to buy more raw leather to produce our leather patches for the 2016 titleholders. CONTESTANT DOCUMENT PACKAGES Justin is updating these forms online at our website. DEADLINES FOR CONTESTANT APPLICATIONS Board members agreed to set the deadline for handing in contestant applications at Friday, July 22 nd at 11:59pm. That will give sufficient time for Gary to run a background check with the State of Oregon or Washington before announcing the contestant s names to the public. ROSE & THORN AWARDS Justin has fine-tuned the nominations form on our website. We will open up nominations on June 1 st, and shut down nominations on Friday July 15 th at 11:59pm. That gives sufficient lead time for BLP s Board to select the winners in each category and order the engraved awards. Page 5
6 BLP s Board Meeting Minutes of May 15, 2016: Page 6 of 8 SUNDAY BRUNCH Nothing new to repot since everything was already confirmed by Martha for holding this at the Marriott Courtyard near the Convention Center. POSSIBLITY OF ADDITIONAL EVENT Stormy is exploring the possibility of adding an event to Leather Pride week (checking out venues, costs & hosts for the Wednesday night). This event needs to be nailed down before we hit the printing deadline for the OLP brochures. AD SALES Justin updated the form, and noted that we are using the exact same advertising rates as last year. This sponsor information will be posted on our website.. Titleholders are asked to be marketing ambassadors to local merchants, using a script that Justin developed, which also shows what ad sizes were chosen last year by each advertiser. Mr. Friendly Project -- Team Friendly Training: Cole just received an update today from Team Friendly headquarters! David Watt from the Great Lakes will be sending us a package of materials. Justin has already downloaded 4 of the training modules from Team Friendly s Facebook site to the BLP Yahoo Group file space, but there still are other training modules to wade through. Bootblack Pride Pins requested by Micky: Micky has received the new pins that were authorized last month. Pride NW Parade on Sunday June 19: Micky requested approval to waive her mandatory appearance at Portland Gay Pride Parade so that she can attend can the Northern Exposure weekend in Anchorage AK. All of the board members voted to waive this parade appearance requirement for Micky, and wished her well on her trip to Alaska. Justin will get a price quote for having a new banner made for Oregon Bootblack and Oregon Pup, to correctly have ALL of our titleholders carrying a banner. BLP already has one banner that says Mr OSL and Ms OSL Stormy made a motion to approve spending up to $200 to purchase a parade banner for Oregon State Pup & Oregon State Bootblack. Justin seconded. Justin offered to work with the existing banner to get as similar a style & type font as possible between the two parade banners. All of the board member were present & voted in favor of this authorized expenditure. There were no negative and no abstentions cast. MOTION APPROVED to authorize up to $200 to purchase a new parade banner. Justin went ahead and submitted the $100 parade registration fee to Pride NW (which is already included in or annual budget, so no extra board authorization was required). Our registration request was for the lowest entry rate, which includes One Vehicle at no extra charge. So far, no mention of any required training sessions for parade monitors. NEW BUSINESS: Domain Name Renewal: Page 6
7 BLP s Board Meeting Minutes of May 15, 2016: Page 7 of 8 Justin reported as an FYI that pursuant to our 2016 budget authorization, the website renewal fees will be paid in full to retain 2 websites that we control: BlackoutLeather.org and also OregonLeatherPride.org Yahoo Group Justin suggested that we open up a GROUP account with GOOGLE, and import all of our FILES into GOOGLE DOCS / GOOGLE DRIVE in light of the erratic problems that many people have been experiencing with logging into Yahoo, and the fact that Yahoo s corporation has an uncertain future. Board members noted that Google s GROUP system does not charge any fees, and that their corporate finances seem a lot more sturdy than Yahoo s. At this point, none of the board members know if we can save & move over all of our conversations from the Yahoo Group to the Google Group. Stormy made a proposal to convert from YAHOO FILES to GOOGLE DRIVE / GOOGLE DOCS. This will require that folks have a GMAIL account, instead of a YAHOO account. All of the board members present approved this non-monetary request without any dissent, and without any abstentions. Stormy offered to open up a Google Group for BLP on a trial basis with board members only, before making any formal switchover from Yahoo Groups. Problem with Bank of the West: For some unexplained reason, the paperwork that we submitted to Bank of the West s Cedar Hills Blvd office Beaverton in a timely fashion about our new officers has not been actually updated on our account records! Justin found this out when contacting the bank over the fact that Justin s debit card for our account had expired, without receiving a replacement card. Justin has been in contact with several people at the Beaverton office including Michael Monteleone, (the branch sales manager who handled our paperwork in April). Mr. Monteleone confirmed that our paperwork was intact, but not entered into their system as it should have been updated weeks ago! Justin will be contacting the bank on Monday to get a progress report. Gary offered to write a letter to state & federal banking agencies if Bank of the West cannot rectify this by the end of the week. Meeting Date Conflict with Pride NW Parade on Sunday June 19: Several board members noted a conflict between our normal meeting schedule for BLP s monthly board meeting on the Third Sunday of the Month and the mandatory appearance of our titleholders at the Portland Gay Pride Parade also scheduled on Sunday, June 19 th. All of the BLP members & titleholders present agreed to shift our June board meeting to Sunday June 12 th, and the same starting time of 1:15pm, at our regular meeting site at Embers on Broadway. The next regularly scheduled monthly board meeting of BLP will be RELOCATED to Sunday June 12 th at 1:15pm at Embers on Broadway in downtown Portland. Page 7
