11 WHAT IS THE JUNIOR CLASSICAL LEAGUE? The National Junior Classical League is an organization of junior high and high school students sponsored by the American Classical League. It is composed of local and state chapters made up of students of Latin and classical humanities and is the largest classical organization in the world today. Its purpose is to encourage an interest in and an appreciation of the language, literature, and culture of ancient Greece and Rome and to give students some understanding of the debt of their own culture to that of classical antiquity. HOW DOES A SCHOOL ESTABLISH A JCL CHAPTER? Affiliation with both the state and the national organization is required, and the Latin teacher/sponsor must be a member of the American Classical League. DUES 1. A chapter must have a sponsor or sponsors who belong to the American Classical League. The $65 membership fee per sponsor may be included with the Indiana fees, or it may be submitted online at or mailed directly to: American Classical League 860 NW Washington Blvd., Suite A Hamilton, Ohio In order to join the Indiana JCL, a chapter must affiliate with the National JCL. The combined chapter dues for NJCL and IJCL are $10 until November 15. After November 15 until January 15, combined chapter dues are $20. From January 16 until March 15, combined chapter dues are $25. From March 16 until July 1, combined chapter dues are $35. Individual member dues are in addition to the chapter dues and are $4 per student member. After January 15, the charge for members (including to add members to an existing club) is $8 each. 3. 12 BENEFITS 1. Benefits of membership in the ACL include the publication The Classical Outlook, the right to attend the ACL Summer Institute, and access to teaching aids through the Teaching Materials and Resource Center ( 2. Each club receives one printed issue per sponsor of each edition of the state newspaper, Veritas et Scientia, which is also available on in PDF format. It contains news sent in by individual chapters, current affairs on the state level, important information about State Convention, and other items. Each school should send local chapter news items to the IJCL Editor at by the deadline listed in the calendar for each issue. 3. Other benefits of IJCL include individual membership cards and a club certificate of membership in the IJCL, the right to use the name Junior Classical League, the right to attend and participate in the annual State Convention, Certamen meets, biennial Italy trip, and other events. In addition, club members may attend meetings of the IJCL Executive Board at which policies are set and decisions are made. 4. Benefits of NJCL membership include the right to attend and participate in the annual six-day NJCL Convention, four editions of the national newspaper Torch: U.S., the opportunity to participate in national online exams, and an NJCL membership card for each student. WHAT IS A LOCAL JCL CHAPTER? A local chapter is a club made up of 5 or more students attending one school or more than one school with the same teacher. Having a JCL chapter in the school helps to increase interest in Latin and increase enrollment in Latin classes. Teachers interested in starting a new JCL chapter can contact the Mentorship Chair at mentor@ijcl.org for guidance in navigating the process and managing the many options JCL offers for schools to get involved. HOW DOES ONE START A NEW CHAPTER? The teacher should set up a meeting of students and any interested parents for the purpose of organization. At this meeting, the goals of the club should be determined, suggestions for the club activities and plans for the year should be discussed, and ideas for a constitution and club officers should be reviewed. A specific time and place should be set for initiation of members, and plans should be made for a membership campaign if necessary. The amount of chapter dues per person may be set at this time to help defray expenses throughout the year. IJCL Handbook page 12

13 HOW DOES A CHAPTER BECOME SUCCESSFUL? Much of the success of a JCL chapter is dependent upon the originality, variety, and overall quality of meetings and programs. Usually clubs try to incorporate some type of Latin or Roman influence into meetings; however, this is not necessary for every meeting. Each club should hold a few party or just-for-fun meetings. No matter what the officers have in mind, they should use their imaginations! HOW ARE MEETINGS CONDUCTED? Many clubs open each meeting saying the Pledge of Allegiance in Latin, singing the JCL Song, or saying the JCL Creed (see page 11). Business items and announcements are often next. Any Latin-related or educational activity is usually early in a program, followed by fun or recreation. An inexpensive policy is to appoint groups of students to furnish refreshments rather than using chapter funds for this purpose. HOW IS A ROMAN ATMOSPHERE ATTAINED? In many JCL clubs, members wear some kind of Roman costume to special events. This is important because it adds a touch of realism, sets the mood, and makes for more authentic and festive meetings. Costumes may be homemade so that the cost is not prohibitive. Details are available from the ACL Resource Center ( WHERE ARE MEETINGS HELD? Depending upon the size of the chapter and the activities planned, a club may decide to hold the meeting at school or at a member s home or local attraction. WHAT ARE SOME IDEAS FOR MEETINGS? 1. Ideas that have been successful for other chapters a. Roman banquet in the style of ancient Rome b. Olympika track and field events; award ribbons c. Initiation ceremony example available from ACL Resource Center d. Study of various phases of classical culture e. Latin crossword puzzle original or available from ACL f. Latin bingo g. Spelling bees in Latin, of course h. Classical skits written by students or available from ACL i. Films on ancient Rome, etc. available from media centers j. Guest speakers college professors, etc. k. Construction of a float for Homecoming parade l. Construction of a Roman chariot or catapult m. Roman games learn to play tali, trigon, and other ancient games n. Greek dancing lessons o. Construct cardboard and duct-tape boats for classical naval battles in the swimming pool IJCL Handbook page 13

14 p. Fun with food mosaics from M&M s, gingerbread monuments, cookies shaped like Italy to be decorated with maps of ancient sites in frosting and sprinkles, etc. 2. Some just-for-fun ideas a. Field trips museum exhibits, scavenger hunt at the zoo, etc. b. Trip to an amusement park c. Swimming party d. Pizza party e. Picnic in a park include mythology-themed games f. Roller skating or bowling party can be fun to go in togas! g. Play, concert, etc. contact local universities for classical themed shows h. Olive-eating contest, etc. 3. Holiday themes A program designed around a central theme such as a Roman holiday works well. Examples are celebrations for the Lupercalia, the Ides of March, or the Saturnalia. Latin Christmas carols are often interesting. For Halloween, decorate pumpkins with mythological themes and invite attendees to dress in mythological costume. 4. Multi-language activities Another suggestion is to combine with other world language clubs in activities such as an International Day during which each club member may wear the costume of his/her language; a World Language Festival, which may include games, contests, and other activities; a banquet at which each club supplies food appropriate for its language; or a basketball game with another club. The possibilities are endless! 5. Service projects Make pro bono publico a reality. Every community has needs that your club can fulfill and find rewarding. Your IJCL and NJCL officers will send out information about state and national service initiatives in which your club can take part. Be sure to submit your service projects for the Sharon Gibson Community Service Award! a. Visiting a nursing home b. Fundraising for the Red Cross c. Visiting a children s hospital d. Collecting goods for a food pantry e. Offering a local scholarship f. Mentoring/tutoring younger students g. Reading to younger students h. Summer Latin Camp for younger students, taught by JCL members i. Recycling activities j. Adopt a Highway IJCL Handbook page 14

15 HOW IS MONEY RAISED? Raising money is important to any organization. Although most of the activities of a JCL chapter can be done at no cost, there will be a few things that cost money. A chapter can cover some expenses such as state and national dues by charging each member annual or semester dues. It is necessary to use some imagination in money-making projects. Remember, there are two things important to success: get every student involved and publicize each project well! Listed below are ideas that have worked well for other chapters. 1. Request a table at the State Convention Bazaar, where each school may sell items to convention attendees 2. Bake sale 3. School dance 4. Car wash 5. Swim-a-thon or walk-a-thon 6. Raffle 7. Sale of candy, popcorn, etc. 8. Rummage or white elephant sale 9. Sale of Christmas cards, ornaments, candles, etc. (may be homemade) 10. Movies during lunch, after school, and in the evenings 11. Sale of carnations or singing Valentines on Valentine s Day 12. Pizzas make and deliver them or sell kits 13. Sale of school spirit buttons, hats, pom-pom shakers, etc. 14. Concessions at athletic events (contact your school s parent organization or athletic department about working these events) 15. Coat-check at games 16. Show a fun, classical-themed movie such as Hercules; charge admission and sell concessions, too! 17. Students hire themselves out to do odd jobs There are many companies that specialize in helping organizations raise money by providing them with products and sales programs. These companies frequently send literature to schools for teachers to review. HOW DOES A SCHOOL PUBLICIZE ITS CLUB? Promoting and publicizing a chapter should not be overlooked, especially for beginning clubs. The goal is to let people in the school community know that the club is a worthwhile organization. In addition to increasing JCL chapter membership, it will help build good will toward Latin and increase awareness of Latin in the entire community. Getting information to younger students at the elementary and junior high schools will also help increase Latin enrollment. There are many methods to obtain free publicity. Write articles about each JCL activity for the school newspaper. Keep the local newspaper(s) informed, especially when the club does something unusual or significant. Many radio stations provide time for community announcements at no charge. If the school has a radio station, present a JCL-related program. Many chapters throughout the IJCL Handbook page 15

16 nation have an annual Latin Week. They put up posters announcing what they are doing that week and schedule various activities and attractions with a Latin or Roman theme. If well-planned, this can be very successful. For example, conduct a poster contest. Give awards to students who create the best posters. Poster themes can encourage others to join JCL, take Latin, participate in Latin Week, etc. You may also try a record-breaking stunt, hold a fund drive, or participate in a community service project such as cleaning up a local park or collecting donations for the Heart Fund or the American Cancer Society. 17 WHAT ARE THE IJCL BEHAVIORAL EXPECTATIONS? Because a person s behavior broadcasts to others what kind of a person he or she is, an IJCL member is expected to be respectful of others and not to put others in embarrassing situations. Any person observed in the following will be subject to disciplinary action, ranging from verbal reprimand to being sent home. 1. No use or possession of alcohol, drugs, or tobacco or the wearing of apparel promoting such products. 2. No driving of cars by students between arrival and departure of activity unless authorized by sponsor and Co-Chairs. 3. No leaving activity without prior approval of sponsor and Co-Chairs. 4. On overnight activities, no leaving room or loud noise in room after curfew until 6 a.m. 5. On overnight activities, no member of the opposite sex in the same room without the door being wide open and other people being present. 6. No sitting or lying on one another. 7. No engaging in extended or suggestive kissing, hugging, or touching (hands must be visible at all times). 8. No engaging in sexual activity or anything that looks like it (e.g., two persons under a blanket). 9. No using profane or crude language (this includes off-color jokes and stories). 10. Students must recognize that clothing that is form-fitting, revealing, and/or in disrepair is not appropriate for JCL activities. Students must be covered from shoulder to mid-thigh. The exhibition of excessive skin and/or undergarments (at sponsor/chaperone s discretion) on the following areas of the body will not be permitted: midriff and waist (both front and back), shoulders, chest, and legs. No halter tops, spaghetti straps, strapless garments, or see-through garments of any kind are allowed. Tank tops with 1-inch straps will be considered as covering the shoulder, as long as undergarments are not visible. 11. All electronic devices, including but not limited to cell phones, mp3 players, laptops, etc. must be powered off and stowed during all contests. Any infractions will be reported to the sponsors, chaperones, and state Co-Chairs. At their discretion, parents may be called to pick up the offending students. In addition, those students and/or schools may be banned from future activities. IJCL Handbook page 17

18 WHAT ARE THE STATE OFFICES? Each chapter may choose delegates from among its members to run for the following state JCL offices: 1. President 2. First Vice President 3. Second Vice President 4. Secretary 5. Parliamentarian 6. Historian N.B.: The editor of the state newspaper, Veritas et Scientia, is appointed by the state Co- Chairs. The webmaster is also appointed by the state Co-Chairs. A. CANDIDATES FOR STATE OFFICE Candidates must complete the digital application for state officers at which will generate a multi-page form that must be signed by the candidate, his or her sponsor, and his or her parents, and submitted to the parliamentarian by the deadline indicated in the calendar at the front of this Handbook. After submitting the application, candidates should visit the Campaign Corner page at for a timeline of the next steps in running for office. The number of voting delegates is based on the number of members in each club, with each chapter getting a minimum of two voting delegates. Five voting delegates is the maximum number. The state co-chair will inform each club of the number of its voting delegates at State Convention. B. GUIDELINES FOR OFFICERS 1. Each officer is expected to attend every executive board meeting unless an emergency should arise, in which case one of the state Co-Chairs should be notified either by or by phone. 2. Each officer is expected to submit an officer s report by noon on the Monday prior to each board meeting to the secretary by , to be compiled for review and discussion at the board meeting. It should contain a list of completed IJCL jobrelated duties since the prior board meeting. 3. Each officer will correspond with fellow officers and board members as necessary to complete his/her responsibilities. 4. Officers are expected to participate in regularly scheduled virtual officer meetings. 5. Officers will be doing presentations and therefore expected to attend the following events: Leadership Development Academy, Fall Latin Day, Certamen invitationals, and State Convention. Issues with fulfilling this obligation must be discussed with the Co-Chairs as soon as a conflict is identified. IJCL Handbook page 18

19 6. Each officer will an end-of-month (EOM) report by the 1 st of the subsequent month to the Co-Chairs and IJCL President, with a copy to his/her local sponsor (e.g., October s report should be sent by November 1). This report should detail all of the officer s IJCL work done in that month. 7. The term of office is June 1-May 31 for all officers except historian (August 1-July 31). 8. The president, second vice president, parliamentarian, and secretary have duties that require them to attend the NJCL Convention during the summer. 9. Any bill over $5.00 must have prior approval of the executive board. In case of an emergency, contact Jeremy Walker, state co-chair. 10. All bills are to be submitted to Jeremy Walker, state co-chair, for approval. C. JOB DESCRIPTIONS 1. PRESIDENT a. Presides at all activities of the state organization. b. Chairs the Indiana delegation to the NJCL Convention. c. Acts as a voting delegate to the NJCL Convention. d. Represents the state organization when necessary. e. Submits an agenda for each executive board meeting to the state Co-Chairs three weeks in advance. f. Submits the approved tentative agenda to all board members and chapters two weeks in advance of all board meetings to request feedback and additional agenda items. g. Once the final agenda is approved, sends it to all board members and prepares it for distribution at the meeting. h. Prepares membership brochure or flier to submit to the Co-Chairs by July 1 for approval, and after approval, makes copies for August board meeting. i. Handles the year-long Helen Wampler Spirit Contest. d. Plans for the state items to be sold at the bazaar/agora at NJCL Convention (done as officer-elect). e. Organizaes the bazaar/agora including assigning shifts at NJCL Convention. f. Designs the state T-shirt (done as officer-elect) for NJCL Convention. g. Follows the themes of the year s NJCL Convention to prepare spirit accordingly (done as officer-elect) and leads the spirit at NJCL Convention. h. Organizes any service projects. i. Recognizes Indiana Latin Week participants. j. Plans themes for Indiana Latin Week. k. Prepares bazaar/agora reports for fellowship at NJCL Convention and final reports at the board meeting following any bazaar/agora session. l. Generates, prints, and sends membership cards and certificate to schools in a timely manner and maintains accurate records of this process. g. This reminder should include a reminder of the timelines for submitting the officer and committee chair reports. h. Sends reminders of the timelines for submitting the officer and committee chair reports when the submission window opens. i. Handles any correspondence assigned. j. Sees that board meetings are operated under Robert s Rules of Order. b. Assists the president as a voting delegate at the NJCL Convention. c. Provides an updated copy of the constitution at the May board meeting (following State Convention). d. Makes sure that an up-to-date constitution is available for each chapter and has it available during state board meetings. e. Secures candidates for state offices and handles their applications according to the constitution. f. Presides at the Nominations Committee meeting at State Convention. g. Presides at the candidates speeches at State Convention. h. Presides at Candidates Open Forum and has questions approved by Co- Chairs and Constitution Chair in advance. i. Collects the ballots for the election at State Convention. j. Proposes amendments to the Chapter Handbook and IJCL Constitution and Bylaws. k. Works with Jeremy Walker, IJCL co-chair, and Megan Grundtisch, IJCL Constitution Chair. 6. HISTORIAN a. Is the only officer whose term does not begin June 1. The term is from August 1 to July 31. b. Plans and prepares a scrapbook of state events from one NJCL Convention until the next one, following guidelines for Traditional or Digital Scrapbooks as listed in the Graphic Arts section. 22 c. Collects memorabilia at NJCL Convention and on the Bus Trip or secures someone to perform this duty if not attending NJCL Convention or the Bus Trip. d. Solicits contributions from the chapters for the state scrapbook. f. Sends photos of completed scrapbook pages each month with the EOM report. g. Takes photos of newly elected IJCL officers at State Convention for use in the next year s scrapbook, website, and Veritas et Scientia. h. Sends photos to the NJCL Historian for inclusion in the national scrapbook. i. In addition to the state Co-Chairs, the sponsor of each state officer shall serve as a member of the executive board. Represents the ISCL and reports on their doings at the IJCL board meetings. b. Monitors ISCL checking account. c. Attends ISCL Executive Board meetings. d. Serves as mentor to ISCL. e. Cares for state-owned Certamen materials. 4. CONSTITUTION CHAIR a. Works with IJCL Parliamentarian to make sure all protocols and bylaws are followed. b. Assists IJCL Parliamentarian with recruitment of candidates for state board positions. c. Oversees collection and distribution of candidate applications. d. Oversees constitutional amendment proposals. e. Coaches IJCL Parliamentarian in proper procedure for running elections at State Convention. f. Assists in counting votes at State Convention. g. Updates constitution and bylaws when amendments are made and provides updated copy to Technology Chair, Co-Chairs, Parliamentarian, and Webmaster. 5. TECHNOLOGY CHAIR a. Mentors the IJCL Editor and helps to complete the state newspaper, Veritas et Scientia, three times a year. This includes final layout editing, proofing, and delivering a print-ready document to the Co-Chairs for final proofing and approval. The Co-Chairs will then print and deliver the issues to the Editor with labels, seals, and postage for final preparation and distribution. b. Mentors the IJCL Webmaster and helps to ensure all information on the organization's website, is updated and properly maintained. This includes contact information, documents, news, and executive board access. c. Mentors the IJCL Historian and helps to ensure completion and delivery of the annual scrapbook. d. Posts announcements and information about IJCL events on the IJCL social media outlets (i.e., Facebook, Twitter, and Instagram). e. Maintains an electronic copy of the IJCL Handbook. f. Makes necessary revisions to the Handbook each year, including: i. Calendar of Events IJCL Handbook page 24

Brings printed copies of the revised Handbook draft to the August executive board meeting for review, and incorporates the board s recommended changes by the September 15 deadline. h. Sends an electronic copy of the IJCL Handbook in PDF format to all chapters and Executive Board members. i. Sends an electronic copy of the IJCL Handbook to the Webmaster for publication on the IJCL webpage. j. Provides a PDF copy of forms from the Handbook for publication on the IJCL webpage. k. Sends printed copies of the Handbook to any chapters or individuals who request it. l. Provides technical guidance as needed for IJCL initiatives. m. Attends all board meetings and submits updates for each meeting. 6. ITALY TRIP CHAIR a. Appointed by the board at the conclusion of each completed Italy trip for a term of two years. b. Solicits feedback for what teachers would most like to see for the next trip. c. Using that feedback, develops a proposed trip. d. Solicits feedback about the proposed trip. e. Sends the proposed trip (revised using feedback) to at least two companies for pricing. f. Selects a company to use for the trip with feedback from the Co-Chairs and previous Italy Trip Chair. g. Develops promotional materials and promotes the trip at all IJCL events (in person or via proxy). h. Works with the Co-Chairs to manage the financial side of the trip. i. Works with participants and sponsors to host meetings and prepare participants. j. Works with parents of participants. k. Communicates frequently with representatives of the company running the trip. 26 l. Leads the trip. m. Wraps up the trip with follow-up communications, summaries for the website/social media, etc. n. Attends all board meetings and submits updates for each meeting. 7. MENTORSHIP CHAIR a. Identifies new teachers within the state and periodically encourages them to create a chapter or attend a non-member event. b. Reaches out to newer teachers via the Indiana Classical Conference (ICC) to offer support. c. Creates a network of support for newer sponsors. d. Works closely with newer sponsors to help answer questions on a monthly basis. e. Uses feedback from newer sponsors to continue to refine and improve the IJCL offerings/systems. f. Attends all board meetings and submits updates for each meeting. g. Submits registration costs for ICC events to the board for reimbursement to facilitate attendance at such events. 8. PUBLICATIONS CHAIR a. Proofreads and edits official and internal publications of the IJCL, including: i. Veritas et Scientia ii. Website iii. Scrapbook iv. Chapter Handbook v. Minutes vi. 27 EXECUTIVE BOARD REIMBURSEMENT POLICY Members of the Indiana Junior Classical League Executive Board will be reimbursed for State Convention attendance if funds remain after bills are paid, based on the following criteria: Attendance at State Convention (50%) Attendance at Leadership Development Academy (5%) Attendance at Fall Latin Day (10%) Attendance at Hoosier Certamen Invitational (as a player or worker) (10%) Attendance at Indiana Certamen Invitational (as a player or worker) (10%) Attendance at the August board meeting (5%) Attendance at the fall board meeting (5%) Attendance at the May board meeting (5%) Reimbursements will be made only if the following criteria are met: If the convention bill has been paid, 30% of the convention bill must remain in the account. If the convention bill has not yet been paid, the cost of the previous year s convention plus 40% of that cost must remain in the account. Anything over those amounts will be available for reimbursement. If that amount is not sufficient to fully reimburse everyone requesting funds, the reimbursement amounts will be prorated accordingly. WHO SERVES ON THE IJCL EVENT COMMITTEES? Two committees are appointed annually to plan the Leadership Development Academy and Fall Latin Day. Each committee works with the Co-Chairs and consists of an adult board member, a non-board member Indiana Latin teacher, a non-board member Indiana Latin student (freshman, sophomore, or junior), and the incoming IJCL president once elected at State Convention. Each committee s charge is as follows: 1. Communicate regularly with the Co-Chairs throughout the process 2. Review the feedback from the previous event 3. Propose a location and date to the Co-Chairs 4. Develop an agenda for the event for approval at the May board meeting 5. Develop promotional materials for the event 6. Develop a registration process for the event 7. Work with Co-Chairs on logistics for the event 8. Develop a press release to to attendees after the event 9. Actively promote the event via social media, website posts, and sponsor s 10. Develop the feedback tool for the event 11. Generate a thank-you list for the IJCL Secretary 12. 28 WHAT IS THE IJCL STATE CONVENTION? State Convention is an annual gathering of Indiana JCL members. It includes individual and chapter competition and social activities. State business, including the election of officers, is also conducted at the convention. A typical convention includes a Roman banquet, general assemblies, colloquia, contests, and other competitions as listed below. Students also have the opportunity to make friends from all over the state. A. RULES FOR ATTENDING It is important that convention delegates be well-chaperoned so that all participants may enjoy themselves. Each delegation must have at least one adult chaperone per ten delegates. It is preferable that the chaperones be in addition to the sponsor. Students will be housed four to a room by gender; adults will be housed two to a room by gender. Married adults may be housed together if they so choose. Students and adults will not be housed together. Students of the same gender from different chapters may be housed together to maximize the use of space. This also holds true for adults of the same gender from different chapters. Anyone wishing to have a single room must pay the additional surcharge and indicate that request when registering. Sponsors and chaperones have an obligation to supervise members of their delegations and to assist in the success of the convention. Assignments will be made to ensure adequate assistance in all events. Delegates are expected to represent their schools well by participating actively in the convention. This includes taking a minimum of four academic tests and participating in at least one other contest. Contests available at convention are listed below. It is strongly suggested that sponsors not bring students who have no plans to participate. (In addition, all delegates must sign and abide by the.) These rules will be enforced by teachers, chaperones, and SCL members. Any infractions will be reported to the sponsors, chaperones, and state Co-Chairs. At their discretion, parents may be called to pick up the offending students. In addition, that student s school may be banned from future conventions. B. CONTEST LISTING 1. ACADEMIC CONTESTS Students have an opportunity to demonstrate their proficiency in the classics at their respective levels of study by taking tests in any or all of the following subjects: a. Handicrafts e. Photography f. Scrapbook 3. CREATIVE ARTS CONTESTS a. Costume contest b. Dramatic interpretation c. Latin oratory d. English oratory e. Sight Latin reading f. Modern myth (pre-convention) g. Slogan (pre-convention) 4. CERTAMEN 5. DELEGATE SPIRIT CONTEST C. DENNIS M. BARTLOW PACKET AWARD As a way to honor the memory of Dennis (Denny) M. Bartlow, long time co-chair of the Indiana Junior Classical League, the IJCL Executive Board has created the Dennis M. Bartlow State Convention Packet Award. This is an award that began in August 2012, when Denny suggested the executive board grant one teacher packet and two student packets for those chapters who were new to IJCL or had not attended an IJCL State Convention in the last five years. Denny was especially proud of being able to offer this opportunity for the first time at the 2013 IJCL State Convention as it was held at his alma mater, Indiana State University. We are continuing to offer this award to new convention attendees in Denny s memory. Teachers may chair@ijcl.org to apply. Members and friends of the IJCL who wish to donate to this scholarship fund may do so at IJCL Handbook page 29

30 D. BAZAAR During the convention, a bazaar venue is set up in which each school may man a table to sell items to convention attendees for fundraising. Schools often sell such items as T- shirts, buttons, bookmarks, magnets, etc. with JCL logos or Latin phrases printed on them. The ISCL and IJCL provide items for sale as well. Sponsors may contact chair@ijcl.org to request a table at the bazaar. A Pinterest board at provides ideas for projects clubs could make and bring to sell at the bazaar. E. THAT S ENTERTAINMENT That s Entertainment is a variety show held during a general assembly at State Convention. Students may indicate their intent to audition for That s Entertainment on the convention registration form. Auditions of pre-registered acts are held when indicated in the convention program. F. ROLL CALL During the convention, a roll call of chapters in attendance is conducted. Traditionally, each chapter creatively presents the number of delegates, chaperones, and sponsors it has brought in the form of a song, skit, or cheer, with a time limit of 90 seconds. The roll call presentation is included in the scoring of the delegate spirit contest. WHAT ARE THE RULES AND CRITERIA FOR CONVENTION CONTESTS? ACADEMIC CONTESTS All students are required to take at least two tests during each testing session. First-year students compete with first-year students, second-year with second-year, etc. Ribbons are awarded for first through third places, and certificates are awarded for first through tenth places. Ten placements may not be awarded if the student s score is lower than the tenthplace score of the level below his. For example, a third-year score of 35 would not place if the tenth-place score for second year were 36. Students are encouraged to complete as many tests as possible in the time allowed. No one will be allowed into the testing area after the period begins. A #2 pencil will be provided. Instructions on how to fill out the answer sheet will be given in the testing area. If the answer sheet does not have the correct information on it, the test will not be graded. Students who take two years to complete the first year of Latin (e.g., in a middle school program over grades 7 and 8) may take first-year tests for two years, but no more than two years. Students who take multiple years to complete the first-year Latin curriculum (e.g., in a middle school program over grades 6, 7, and 8) may take first-year tests for each year that they have registered as first-year students. All other students may take IJCL Handbook page 30

31 first-year tests only one time. Students must take second-, third-, and fourth-year tests one time only. Only at the fifth-year level can a student participate more than one time. A student who does not continue Latin at any level must still advance a year in the competition. GRAPHIC ARTS GENERAL RULES Read this section; then also read the rules under the specific categories you are entering. Category rules are given after the General Rules section. General Graphic Arts Information 1. Categories will be judged in a Lower division consisting of grades 6-9 and an Upper division consisting of grades We reserve the right to combine divisions or contests if there are too few entries. 2. The following RULES apply to all Graphic Arts Contests. Failure to follow the general rules OR the rules specific to each category can result in disqualification. To enter projects in the Graphic Arts Contests, you must Be present at and properly registered for convention. 2. Have done all the work on the project yourself and completed it since the last State Convention (not before March 9, 2018). 3. Not display your name or school name anywhere on the project, except in Scrapbooks. If it was originally a school project, erase, white-out, or tape over your name. 4. Enter as many Graphic Arts Contests as you wish, but no more than one project per category (e.g., one watercolor, one cartoon, one ink, etc.). It is the entrant s responsibility to report the correct media used. Projects entered in the wrong category may be disqualified. If a delegate enters more than one project in a category, all will be disqualified. 5. Not enter group projects in any category other than Scrapbook (chapter) or Chapter T-shirt. 6. Not cover a project with glass or plastic or lamination. If a project is framed, the frame will not be considered during the judging process. Projects will be disqualified if they Do not have a recognizable classical theme. 2. Do not adhere to size, dimension, and other specific requirements as listed in the category rules that follow. See the table following this section for a summary of requirements. 3. Use computer-generated materials. These are permitted only in the following contests: a. Computer-Enhanced Photography b. 32 e. Games (you may print the rules but should not use any other computergenerated materials) 4. Use copyrighted characters or ideas. a. You may enter such projects only if you submit a copy of written permission from the holder of the copyright. b. If the work or idea you want to use was first published after 1922, it is probably protected by copyright. You must obtain permission in writing and submit it with your project. We will accept a printout of . Start early. It sometimes takes months to get permission. If something published after 1922 is NOT copyrighted, we need written proof of that, too. c. For more detailed explanations, see: Before convention, you should Read the rules for the specific categories you are entering, which follow this General Rules section. a. Note that criteria are listed in order of importance for the judging process. Your project will place better if you make sure it does well in the first few criteria. b. If the judges do not feel all entries are worthy of recognition, first through fifth places may not be awarded in some areas (due to the fact that those placements earn sweepstakes points for the school). We encourage teachers to be selective as this is a state competition, and we expect high quality work to be entered. 2. Label all entries with the IJCL Graphic Arts registration card, securely attached. a. We prefer that you print out the registration label available from and tape it to an index card (or print on cardstock), then attach the card with TAPE to the lower right corner of your project. To speed up the registration process, please prepare your label in advance of convention. b. Complete all fields on the registration card: Title, Date Completed, Category, etc. Your ID number may be obtained from your sponsor or IJCL membership card prior to convention, or you can find it on your convention nametag when you check in. c. Translate any Latin used in your project on the card. d. Add any information that may be needed by the judges (i.e., kit used, source of picture, map, chart, etc., and items used, such as patterns or purchased parts). e. Photographs: In addition to the above information, your index card must state the date and location where the photo was taken. In Computer- Enhanced Photography, you must also attach a written description of the enhancement process. Without this information, your photograph will be disqualified. IJCL Handbook page 32

33 The index card should be prepared prior to arrival at convention to ensure ease of registration for yourself and others. Some supplies will be available on site for those who have lost cards or who do not have cards prepared but you must complete and attach your cards at the prep table before proceeding to the project check-in line. 35 Categories of Graphic Arts Contests DRAWING AND PAINTING 1. The artwork must have a recognizable classical theme. If judges cannot find something obviously classical about the artwork, they may disqualify it from judging. 2. All Drawing and Painting are two-dimensional on one piece of paper. 3. There should be no paste-ons, labels, stickers, or other three-dimensional elements. 4. Only eight media will be considered in the area. They are as follows: a. Acrylic or Oil b. Black Pencil c. Colored Pencil d. Chalk or Pastel e. Charcoal f. Ink (Black Ink and Colored Ink have been combined in one category; this includes block printing) g. Watercolor (may include water markers done with brush) h. Mixed Media (any combination of these specific 7 media, no matter how minor any one element may be) N.B. Introducing an 8 th medium does not constitute Mixed Media. i. Each medium counts as a separate category. Students may, for example, enter both Black Pencil and Ink, but may not enter more than one Ink project. Be sure to read the section titled Graphic Arts General Rules. The specific rules for Drawing and Painting are: 1. All Drawing and Painting entries must be two-dimensional on one piece of paper. There should be no paste-ons. 2. Do not enter groups of pictures, as they cannot be judged fairly against a single picture. 3. All entries not mounted on matboard or other stiff backing will be disqualified. Acrylic and Oil and Mixed Media are permitted to use canvas. Matting should be no larger than 1 beyond the actual edge of the art. 4. Pictures (excluding the mat) must be a maximum size of 16 x 20 inches. Canvas must be a maximum of 20 x 24 inches. 5. Projects entered as Mixed Media may combine only the 7 media listed above. Projects incorporating other elements, such as collages, 3-D compilations, or other media such as crayon, will not be judged. Criteria for judging the above Drawing and Painting categories are: 1. A delegate may enter one cartoon and one greeting card. Be sure to read the section titled Graphic Arts General Rules. The specific rules for Cartoons and Greeting Cards are: 1. Cartoons may be either a single panel no larger than 6 x 6 inches, or a strip no larger than 4 x 8 inches, exclusive of matting, to avoid disqualification. Beware of plagiarism and copyright laws; the humor must be your own, not copied from a cartoon you found online. All entries must be backed with a stiff mat board. Entries not matted will be disqualified. 2. Greeting cards must be exactly 5 x 7 inches when folded to avoid disqualification. They may be serious or humorous and written for any occasion. They must use only Latin words. A translation of the Latin used must be on the registration card, as well as an explanation of any unusual techniques used. We regret that we must disqualify all entries that do not adhere to the above rules and size restrictions. Criteria for judging the Cartoon and Greeting Card categories are: 1. Adherence to Rules 2. Adherence to Classical Theme 3. Correct Latin/English 4. Accuracy/Authenticity 5. Effect of Humor/Message 6. Originality/Creativity 7. Overall Effect 8. Design and Color 9. Neatness CHARTS, ILLUSTRATED QUOTATIONS, MAPS Delegates may submit up to one entry in each of the three categories one chart (drawn or constructed), one illustrated quotation, and one map (drawn or constructed). Charts, Illustrated Quotes, and Maps may use standard poster board that measures 22 x 28 inches or smaller, or standard foam board that measures 20 x 30 inches or smaller. Entries on other materials, such as fabric maps, are permitted as long as they meet size IJCL Handbook page 36

37 requirements. Entries in these categories may be flat or three-dimensional, depending on the category. No entries larger than these limits will be judged! Remember CHARTS TEACH AND MAPS SHOW WHERE! Be sure to read the section titled Graphic Arts General Rules. The specific rules for these categories are: 1. CHARTS must measure no larger than standard poster board (22 x 28 inches) or standard foam board (20 x 30 inches) to avoid disqualification. They TEACH! Depictions of Hades and other fictional places (because they teach mythological concepts rather than mapping a real place) and floor plans (because they teach the arrangement of rooms) are classified as charts, rather than maps. Please cite source(s) on the registration card. There will be two subdivisions; entrants may enter either one but not both: a. Drawn Charts must be flat with nothing glued on and drawn entirely by hand. b. Constructed Charts may be three-dimensional and/or may have material attached to them, e.g. stickers, computer-generated pictures or text, construction paper, photographs. Be sure to credit all programs and nonoriginal sources on the registration card. 2. ILLUSTRATED QUOTATIONS must measure no larger than standard poster board (22 x 28 inches) or standard foam board (20 x 30 inches). They should be hand drawn and illustrate a recognizable Latin or Greek quotation from an original classical source. This may be, but is not restricted to, the 2019 convention theme, Apes non sunt solitaria natura, Bees are not of a solitary nature (Varro, De Agri Cultura 3.16). The Latin or Greek quotation must appear on your illustration. The English translation and source must be noted on the registration card. 3. MAPS must measure no larger than standard poster board (22 x 28 inches) or standard foam board (20 x 30 inches); may vary in media (e.g., textile reproductions). They SHOW WHERE! Be consistent in the language(s) used for labeling place names: Either Latin, Greek, or English should be selected, unless the entrant intends to use both languages chosen on every labeled item. A map must depict a real place; depictions of mythological sites such as Hades are classified as charts, but journeys of mythological heroes to real places, e.g. tracing the routes of Aeneas or Odysseus, are maps. There will be two subdivisions; entrants may enter either one but not both: a. Drawn Maps must be drawn entirely by hand and flat with nothing glued on. b. Constructed Maps may be three-dimensional with material attached to them, e.g., stickers, computer-generated pictures or text, construction paper, photographs. Overall Effect 7. Originality/Creativity 8. Degree of Skill 9. Neatness HANDICRAFTS Every article must illustrate a clearly recognizable Classical theme or subject. To assist the judges in fairly assessing your work, we recommend that you include photos of your classical sources if possible. Photos of your process in creating the handiwork are also appreciated, to help judges verify that the work was done entirely by hand. The 10 categories are: 1. Decorative Stitching and Textiles; 2. Dolls; 3. Games; 4. Jewelry; 5. Models Large; 6. Models Small; 7. Mosaics; 8. Pottery; 9. Sculpture; 10. Weapons and Armor. (The categories for Glass and Miscellaneous Handicrafts are no longer offered. Projects that do not fit into the above 10 categories will not be judged.) Be sure to read the section titled Graphic Arts General Rules. The source of pictures, kits, patterns, or purchased parts must also be listed on the registration card for entries in the following categories. The specific rules for Handicrafts categories are: 1. Decorative Stitching and Textiles a. No kits or patterns should be used unless major changes are made. b. Embroidery, needlework, weaving, batiks, and sewing are included in this category. Screen-printed T-shirts in this category should be your own handiwork, not ordered from a printing company. (Chapter T-shirts may be professionally printed, however.) c. Work should be neatly done, flat, not puckered, with even and uniform stitches, and with no knots or dark threads showing through from the back. In cross-stitch, all stitches should cross the same way. d. Textiles may be framed to keep the work flat but may not be behind glass or plastic. 2. Dolls a. Only handmade dolls may be entered; in order to support and validate the entrant s creativity, no purchased kits or patterns should be used without major changes. b. Delegates may enter a single doll or a group of dolls; dolls may be monsters as well as recognizable historical or mythological figures. IJCL Handbook page 38

39 c. The workmanship and neatness are essential aspects considered by the judges. d. Entrants are urged to complete as much stitchery as possible by hand. 3. Games a. Entrants are encouraged to make as many elements of the game as possible by hand rather than using purchased game pieces or pieces from common board games. b. All writing must be typed or written legibly in ink. c. Rules may be printed, but there should be no other computer-generated graphics or materials. d. Must be in a box or container, which complements the game board, with a list of equipment (so pieces don t get lost). Games lacking a container or equipment list will be disqualified. 4. Jewelry a. Must be hand-made only. b. Jewelry may be inspired by classical themes (e.g., symbols of gods/goddesses) or by actual examples of ancient jewelry. Identify sources on the registration card or include a source photo with your project if possible. Judges also appreciate it if you can include a description or photos of the steps you took to create the jewelry. c. Workmanship and neatness are essential aspects considered by the judges. d. Jewelry should be mounted on a sturdy base to protect your art. 5. Large Models a. Must be larger than 12 in height, width, and/or depth, but no larger than 36 in height, width, and depth. b. Must be more accurate and intricate in detail than smaller models. c. More credit will be given to projects with a majority of handmade elements. 6. Small Models a. Must be 12 or smaller in height, width, and depth. (Should be able to fit into a 12 x 12 x 12 box.) b. Models must be actual three-dimensional representations of objects, not flat pictures. c. More credit will be given to projects with a majority of handmade elements. 7. Mosaics a. Should be made on a firm background not cardboard, unless made with paper tesserae. b. Mosaics should measure no larger than 28 inches in height or width. c. Whatever type of tesserae is used, the entire space should be covered, including the background, but only by one layer of tesserae. Do not build up or overlap tesserae. Do not leave spaces between the tesserae or blank areas of the background. d. Tesserae should be approximately the same size and thickness throughout to give a fairly level finished product. e. Tesserae should be individual, separately colored pieces, and firmly attached. f. Lines drawn to place tesserae should not show. IJCL Handbook page 39

40 g. There should be no lines painted on the surface of the finished mosaic. h. Remember that Roman mosaics were usually floor surfaces and were meant to be walked upon. They were not just pretty pictures. A mosaic should be sturdy and have a flat surface. 8. Pottery a. Must be handmade only no molds. b. Must be a container of some sort (vase, jar, urn, sarcophagus, etc.) c. If modeled on a specific classical example, please describe your source on the registration card or include a picture if possible. 9. Sculpture a. Must be handmade only no molds. b. Must be a figure of some sort, either done in the round or a relief cut from a flat surface. c. Should have a sturdy base to protect the art. 10. Weapons and Armor a. Projects should replicate the weapons or armor of ancient Greece or Rome. b. Weapons should be blunted rather than have sharp edges or points. c. More credit will be given to projects with a majority of handmade elements and created with authentic techniques, which students should highlight on their registration card. d. No kits or patterns should be used without major changes. e. Must be no larger than 36 inches in height, width, and depth. Criteria for judging the above Handicrafts categories are: 1. Adherence to Rules 2. Adherence to Classical Theme 3. Accuracy/Authenticity/Handmade Elements 4. Design and Color 5. Overall Effect 6. Originality/Creativity 7. Degree of Skill 8. Neatness PHOTOGRAPHY There are two distinct categories in Photography: Traditional and Computer-Enhanced. A student may enter one photograph in each category. Be sure to read the section titled Graphic Arts General Rules. The specific rules for both Photography categories are: 1. The photo must have a recognizable classical subject that is apparent without accompanying text. 2. An entry must be a single photograph no larger than 8 x 10 inches (or 80 square inches for panoramas). IJCL Handbook page 40

41 3. Matting protects and enhances your photography. Entrants are strongly encouraged to mat all photography projects. They may be framed but must not be under either plastic or glass. 4. A date printed on the picture will detract from the overall effect of the picture. 5. All entries must be printed on photographic weight paper, including Computer- Enhanced entries. 6. Entries may be either color or black and white. 7. The registration card must state the date and location where the photo was taken. 8. An entry must be the sole and original work of the entrant, taken since the last convention. 9. The following photos are unacceptable: a. Anything taken from the Internet, CD-ROM, or other electronic sources. b. Slides c. Copies made from commercially produced slides or prints, including copies of pictures in books, museums, computer-produced photos, etc. 10. Specific rules for each category are: a. Traditional Photography i. The goal of the traditional photography contest is to present a classically themed image that captures a moment in time. The photo should be a realistic representation of the subject matter and demonstrate the entrant s ability to capture a compelling image through the viewfinder. ii. This category is for photographs taken either with a film or digital camera. iii. Participants may apply basic image manipulations to the image either in the darkroom or in an image-editing program as long as the final image is a realistic representation of the subject matter. If using a computer, these effects must be limited to adjustments that could be obtained in a darkroom, such as contrast, levels/curves, lighten/darken, dodge/burn, sharpen/blur, stitch, or add/remove noise. iv. NOTHING may be added to the picture after it is printed. v. If any special effect is used in the taking of the picture or in the darkroom or image-editing program when printing it, this should be noted on the registration card. Participants may also attach a copy of the original source photo to the back of their entry. b. Computer-Enhanced Photography i. Computer-Enhanced Photography entries start with one or more conventional photos and apply significant manipulations and adjustments through computer software to produce a new image. Examples of modifications may include changing or inverting colors, adding a new background, superimposing one photo over another, introducing new textures, etc. ii. Entrants must attach a copy of the original source photo(s) to the back of their entry. In addition, entrants must list the name of the software package used to create the image and must describe IJCL Handbook page 41

42 every step of the enhancement process including any significant filters or processes used on the registration card or on a typed sheet of paper. iii. All materials must be the original work of the entrant. You may not use material from any source other than your own digital photographs. iv. N.B.: Computer-Enhanced Photographs must still be printed on photographic weight paper. 11. The judges reserve the right to categorize the entries and award prizes accordingly. Criteria for judging the above Photography categories are: 1. Adherence to Rules 2. Adherence to Classical Theme 3. Technical Execution 4. Content of Photo 5. Composition 6. Visual Impact/Creativity CHAPTER T-SHIRTS T-shirts should be submitted to Graphic Arts during Graphic Arts registration or at the sponsors & chaperones orientation meeting, but no later than the scheduled time for Graphic Arts judging. Chapter name (not just initials) must be clearly identified on the shirt or attached registration card, but it is not necessary to fill out the entire registration card or submit the shirt under a student s ID number. Sweepstakes points will be awarded to the winners. Awards will be given for the best entry overall by a composite of scores based on the following criteria: 1. Creativity 2.
