1 Marketing Club Constitution Membership By Laws This document outlines the laws, rules, and regulation, hereby agreed upon by the majority of its officers. It is imperative that the contents of said document are disclosed to all participating members, advisors, and affiliates to allow transparency and minimize ambiguity.
2 IUS Marketing Club Constitution Article I: Name and Mission Statement Section 1: Name The Marketing Club at IU Southeast Section 2: Mission and Vision Statements Mission Statement: To expand our knowledge and understanding of marketing and to network with other members, alumni, and local marketing professionals. Vision Statement: To motivate young professionals of IU Southeast to forge partnerships with like minded individuals who share a passion for marketing and to engage in networking activities via talented speakers in the marketing field from local firms. We seek to foster camaraderie among Club members and to offer various learning opportunities where Club members can learn up to date marketing knowledge and tools used by marketing professionals in the field. Article II: Membership: Membership is open to all registered students at IU Southeast. To become a member, you should have genuine interests in marketing, request membership on Grenadier Central, and complete the membership application on Grenadier Central. ~ 1 ~
3 Article III: Officers Section 1: Officer Qualifications Officers must hold at least a 2.5 GPA and be a minimum of sophomore standing. Also, all officers must be free of any club disciplinary actions (refer to Article VI). Officer memberships will last the term of the academic year (both fall and spring semesters). Section 3: Officer Roles/Responsibilities President As President, you are the Chief Executive Officer of the Marketing Club. You will work with our Cabinet of Officers to make policies and determine objectives. Your duty will be to make sure that the Club goals are being met. As President, you ultimately bear the responsibility for meeting the requirements and goals set forth by our members and the faculty advisor. You will preside at club member meetings, as well as oversee the operation of all of the club committees. Another key responsibility will be to obtain good publicity, grow our membership, and have good communication with other campus organizations through networking. You will need to ensure that all meetings are carefully planned and all important information is communicated to members. You will train and prepare next year s president for duties as the Club s next chief officer. You will encourage members to run for this position who show leadership skills. Be very observant of those you think can do well in taking the organization to the next level for the years to come. You will provide direction for Club officers, giving them clear understanding of their responsibilities throughout the year and managing their performance. ~ 2 ~
4 Vice President As Vice President, you are the Facilitator of the Marketing Club. You will work as an additional liaison between the President and our members. You will help in conducting periodic reviews of goals and expenditures. As the Vice President, you will also assume the presidential duties in his/her absence. You will be responsible for ensuring that all Club members are involved and informed both in meetings and on campus activities. You will provide regular fellowship opportunities for members through community/campus coordination. You will be the primary contact for all public relations matters and manage the service areas of the organization. You will train and prepare next year s Vice President for duties as the Club s next facilitating officer. You will encourage members to run for this position who want leadership experience. Be very observant of those you think can do well in leading large groups and maintaining major responsibilities for the years to come. Secretary The Secretary s key responsibility will be supporting the administration of the organization and monitoring the direction of the Club as a whole. A key role of Secretary will be taking the minutes and keeping record of events and meetings. You will help the Club officers to have productive meetings, while recognizing their efforts and accomplishments. You will maintain and manage the contact database of the Club members. You will notify members of events, meetings, and important club business via and on Grenadier Central. You will train and prepare next year s Secretary for duties as the Club s next reporting officer. You will encourage members to run for this position who have good organization ~ 3 ~
5 skills. Be very observant of those you think can do well with time management and record keeping skills for the years to come. Section 3: Vacancy in Office In the event that a member in an officer position leaves or cannot fulfill the duties bestowed upon them, the remaining officers and the faculty advisor will appoint an interim officer (with 2/3 vote) until the next election period. Interviews of possible candidates for office can be conducted to further the decision making process, with all (100%) of remaining officers needed being present. Section 4: Removal of Officer If an officer misses more than 3 consecutive meetings without just reasoning (Cabinet s discretion), they will be contacted by another member of office to discuss the situation. The impeached officer will then be given a chance to defend their position and reasoning behind their actions. The position will be brought in front of the other officers for discussion (with 2/3 vote needed for removal) and rendering of verdict will be made. If the impeached officer chooses to appeal their position, they will need to get a petition with at least (51%) of active members signatures to consider the re admittance request. Section 5: Addition of Officer Through expansion of the Club, a new officer position may become relevant to the success and growth we strive to achieve. With a member proposal and a petition, including signatures of more than half (51%) of the active members, said request can be brought to the officer board for a vote of approval. The new officer position petition will need to contain a detailed description of the duties this office will entail, along with a written statement of how this position will benefit the success and growth of the organization. ~ 4 ~
6 The officer board will vote on the request with a majority (2/3 vote) needed for approval of additional office. The rules of Vacancy of Office will apply to this position until next election period. Article IV: Elections Section 1: Election Process Election of officers will require a majority vote from the general, active membership. If a candidate fails to receive a majority of votes, a run off election will be held with the top two candidates that received the most votes. Members interested in becoming an officer should meet academic requirements as established by the Marketing Association Officer Board and must have a clean club record* (see Article VI). Elections shall be held in the spring semester before the year the candidates would hold term of office. Replacements of any current on duty officers will require a new majority vote election by members before or during the term of office. Section 2: Term of Office The term of office will be one full academic year from fall to spring. Article V: Meetings and Motions Section 1: Regular Meetings/Club Activities Club meetings and activities will take place approximately once per month on a specified day and location. (A minimum of six regular meetings per year Fall and Spring). s will be sent out to notify members of Club meetings and activities, as well as flyers placed in the School of Business building alerting members. Any regular club activities will be announced at least two (2) weeks in advance. ~ 5 ~
7 Section 2: Motions In order for a motion to pass, it is required that it is accepted by the majority (51%) of active members. In the event that a majority of members is not present or cannot be reached, the final decision will rest on the Cabinet of Officers. This decision must be absolute (100%) and it will be considered final. The faculty advisor has the ability to veto any motion if it is not in the interest of the Club. The faculty advisor will need to put together a document stating his/her reasoning and distribute the document to the officers. Article VI: Removal of Member Section 1: Member(s) Requested Removal Initial complaint should be presented to an officer by the complainant. The officer is to relate the complaint to the rest of the cabinet. At this point, a conversation will be initiated with the accused member in an attempt to resolve the issue/situation. If it is deemed necessary by the majority of officers, a verbal and/or written warning will be presented to the accused member. A warning makes the member ineligible to run for office for the following academic year. In the event that the offense is repeated, the accused member s membership status will be brought to the cabinet. The cabinet will then vote to revoke the member s membership. It is required that a unanimous decision is reached (100%). If a unanimous decision is not reached among the officers, a petition can be brought to active members. If 2/3 of active members partake in the petition, the revocation of the accused member s membership will pass. A member whose membership has been revoked may not reapply for membership for two (2) semesters (semester in which revocation occurs counts as first semester). After this elapsed period of time, the affected member may reapply for admission into the Marketing Club, pending approval from current officer cabinet. However, the affected member is ineligible to run for office indefinitely. ~ 6 ~

Article VII: Amending the By Laws Should the necessity to amend the by laws arise, active members should be notified of the intent and be made aware of the specifications of said amendment(s). Following the announcement, the amendment will be put to a vote among the officers. At least 2/3 of the officer cabinet is necessary to approve an amendment.
