1 SaddleBrooke Fine Arts Guild Board and Committee Meeting Minutes August 20, 2018 Present: Kathleen Brodkin, Tom Costner, Jenni Long, Jim Morris, Jeanne O Meara, LaVerne Kyriss, and Gail Kolenda. President, Kathleen Brodkin called the meeting to order at 10:00. Approval of July Minutes A motion to approve the minutes was made by Kathleen Brodkin and seconded by Tom Costner. The motion passed. Treasurer s Report-No report-the treasurer was absent President s Message- Kathleen Brodkin-Kathleen has someone to discuss computer art for the October meeting. This meeting will be promoted to the community as a way to find out about the Guild. Chair Reports Spring Art Show-No one has stepped up to chair the show so it will most likely be canceled. Education- Gail Kolenda- Gail has a nice variety of classes scheduled for fall and spring with some new instructors. There has been a problem with the summer classes. People have registered but not paid and then didn t show up. A statement will be added that payments for classes must be in hand one week before the class. If not enough have signed up by then to have the class, it will be canceled. There was a discussion about having mentoring classes where students could work on their own projects with a mentor observing and making suggestions. A small fee would go to the mentor. Gail will look into getting the class schedule on the screen in the MountainView Clubhouse. She will also utilize the HOA 2 club message to promote the classes. Old Business-Kathleen Brodkin-The mural project for DesertView is just about done. It will be installed in October and there are plans to have celebration for the unveiling. It was decided that Plexiglas shelving in the window outside the Topaz room would not support the weight of the art work so the glass shelves will remain. H OA 2 maintenance will help the changeover if needed. The estimate for the new mirror has been submitted. Tom Costner fixed the overhead projector so there isn t a need for the new one that had been proposed.

3 SaddleBrooke Fine Arts Guild Board and Committee Meeting Minutes July 16, 2018 Present: Allen Kientz, Jenni Long, Kathleen Brodkin, Tom Costner, Gail Kolenda and Renee Pearson President, Kathleen Brodkin called the meeting to order at 10:04. Approval of June Minutes A motion to approve the minutes was made by Allen Kienitz and seconded by Kathleen. The motion passed. Vice President s Report- Tom Costner Tom suggested the possibility of an art council made up of a representative from each art group. He has been working on a new brochure and showed us a mock up. Allen moved to go forward with the design, Kathleen seconded and the motion was approved. Treasurer s Report-Allen Kienitz The Guild has a bank balance of $ President s Message- Kathleen Brodkin-Kathleen is working on speakers for the membership meetings and has someone to discuss computer art for the October meeting. She is also looking into a framing program. Kathleen is in discussions with 2 upscale hotels to display Guild art. This will increase our customer base. There was a discussion of what is fine art. There is a definition in the by-laws and details in the Art Show information on the website. She has been approached by a couple of the other art clubs to have combined meetings. Chair Reports Galleries- Renee Pearson- There was a changeover in the Activity Center on July 14. Renee reported that it went well and enough paintings were brought in to fill the spaces. Spring Art Show-The Guild is still looking for a chair. Kathleen is going to send out an asking for members to chair and/or work on the show. She will stress that if no one responds; there will be no art show. Education- Gail Kolenda- Many classes are scheduled for the summer and anyone can attend, not just members. The hope is that they will increase membership. Gail brought up having a yearlong journaling class that would encompass most art mediums. The board was very enthusiastic. Hospitality- Renee Pearson- The October membership meeting will be a welcome back get together with wine and h dourves.

So far, the members who are working on the project are Joanna Voisine, Kathleen Brodkin, Gail Kolenda and Wayne Ufford. The project is bigger than anticipated but it will be beautiful when done. Gail and Kathleen are meeting on July 17 with HOA 2 to discuss the mirror and shelving for the Topaz Room. New Business- Tom made a motion to investigate the purchase of an overhead projector and pull down screen for the Topaz Room. Allen seconded and the motion passed. The meeting was adjourned at 11:16. 5 SaddleBrooke Fine Arts Guild Board and Committee Meeting Minutes June 18, 2018 Present: Allen Kientz, Jenni Long, Fred Flanagan, Jim Morris, LaVerne Kyriss, Kathleen Brodkin, Tom Costner and Renee Pearson President, Kathleen Brodkin called the meeting to order at 9:58. Approval of May Minutes A motion to approve the minutes was made by Allen Kienitz and seconded by Fred Flanagan. The motion passed. Vice President s Report- Tom Costner is putting together an outline for board members to oversee the different committees. He would also like to update the by-laws. He will organize a committee for that purpose. Treasurer s Report-Allen Kienitz The Guild has a bank balance of $ A debit card has been activated to be used for Go Daddy, the website software, only. Allen presented a forecast for this year. Kathleen made a motion to approve and Fred seconded. There was a discussion and clarification. The motion passed. Allen will put together a budget for this fiscal year. Chair Reports Galleries- Kathleen asked about artist waivers to exhibit in the galleries. Renee explained that there is a book for each gallery that contains permanent waivers and when new artists present their work for display, they are asked to sign a waiver to be kept in the permanent collection. Jim suggested that each gallery have a new list each time there is a new hanging. The artist will sign including the number of pieces that will be hung. Kathleen asked about the Annex and how those artists were chosen. Jim explained that usually the artist is chosen to honor artists who have done extraordinary work for the Guild. Sometimes, there is a contest. Spring Art Show-The Guild is still looking for a chair. Kathleen is going to wait until the part time residents return to continue her search. Artist of the Month-LaVerne Kyriss- LaVerne reported August is ready for print and she will have the articles done for the rest of the year by the end of August. Education- Kathleen Brodkin- Gail Kolenda is working on a few summer classes. Old Business-Kathleen Brodkin-The mural project for DesertView is still waiting on HOA2 approval. Supplies have been purchased.

11 SaddleBrooke Fine Arts Guild Board and Committee Meeting Minutes Monday, April 16, 2018 Present: Gail Kolenda, Allen Kienitz, Fred Flanagan, Kathleen Brodkin, Bruce Brodkin, Renee Pearson, Tom Costner and Jim Morris. President Kathleen Brodkin called the meeting to order at 10:00 am. March Meeting minutes: Minutes for March board meeting were approved unanimously. Treasurer s report: Allen reported that the guild has a bank balance of $ not including allocations of $1000 towards a new Topaz room mirror and $500 allocated towards the school supplies purchase planned from sales of the Coloring Book. Website expenses from Go-Daddy are paid up to 2025 although there may be small update costs. The treasurer s report was accepted. President s report: There was a general discussion revolving around how to find volunteers to fill various committees. Kathleen and Tom need copies of the job descriptions of committee leaders which were created several years ago. Jim and Allen will search records and also ask Gail if she has those documents. Committee reports Education: There is a need for more beginners classes. Jim Morris mentioned the I Can t Even Draw Stick Figures classes the Guild had in the past. Gail will check with past Instructors. Tom proposed the possibility of round table discussions during the summer. Jim described free or inexpensive classes to promote new member s interest. Coloring book: The board is still looking for outlets to sell the coloring book. Kathleen indicated the Golden Goose could not by law be an outlet for Coloring Book sales. Tom will check with his contacts in the SaddleBrooke Gift Shop to see if they might become involved. New Business: Tom expressed a hope that signage could be created with Guild information to accompany the art work displayed at all the temporary galleries we have in both HOAs. Currently the HOA rules regarding signage vary at each location. Tom will produce a prototype which could be used for discussion with the HOAs. New name tags for members were discussed. Tom has volunteered to make them. Going forward the board would like to have monthly Guild meetings for the membership, even in the summer if possible. Kathleen and Tom hope to meet with the General Manager of HOA#2 in order to familiarize themselves with the relationship of the Guild to the HOA. The meeting was adjourned at 11:20 am. 12 SaddleBrooke Fine Arts Guild Board and Committee Meeting Minutes Monday, March 19, 2018 Present: Gail Kolenda, Allen Kienitz, Fred Flanagan, Eileen Aird, Kathleen Brodkin, Bruce Brodkin, Renee Pearson, LaVerne Kyriss and Howard Cohen. President Gail Kolenda called the meeting to order at 10:05 am. February Meeting minutes: Allen Kienitz moved to approve the February minutes, Fred Flanagan seconded the motion. Motion carried. Treasurer s report: Allen reported that the guild has a bank balance of $9, Expenses of $3,181 for spring class teachers are outstanding. This leaves an available balance of $6,000-plus. Allen also reported that an analysis of the members shows a pretty even split between HOA 1 and HOA 2. One half of the 2018 dues for Ranch members will be returned, due to the ending of the reciprocal agreement between the two communities. The treasurer s report was accepted. President s report: Gail discussed the mural project that was requested by the fitness staff at Desert View for the cycling room. One submission has been received so far. Deadline is April 3. The committee overseeing this project will determine the final design and share that with HOA 2. The HOA will provide paint. The mural will be painted on panels and then attached to the wall above the mirrors. Gail distributed information to committee chairs about new members and their interest in volunteering for various tasks. Committee reports Facilities: Gail will work with incoming guild president Kathleen Brodkin to get the mirror and shelving installed in the Topaz Room. The flooring issue is not yet resolved. Education: Eileen reported that April classes are scheduled and offered recommendations for the timing of future classes, including offering short, introductory classes in the fall. Gail thanked her for her three years of service in this position. Gail volunteered that as she is leaving the board and has previously served as Education chair, she would take this position, as long as she didn t have to attend board meetings. Meeting participants gratefully accepted her offer. Art show: Follow-up discussion on the spring art show included a safety issue related to the grid walls and the need to avoid handing anything on the short perpendicular end pieces to avoid having grid segments become unstable and fall. The board agreed that this is one of the rules and must be followed to prevent injury to people or art pieces. A note was made that art must not be stacked on the floor in the booths as it presents a tripping hazard. The participant s guide is being updated by Mary Kopp and Gail. Additional new volunteers will be solicited for several art show tasks, previous volunteers having served for several years. The board also discussed the possibility of raising the entry fee. The current fee is $60 per artist. Costs to run the show break out to about $100 per artist, with 41 artists participating. Commissions to the guild amounted to $1,800 from show sales. Entry fee will be decided at a future board meeting. Next year s show is currently scheduled for March 15 and 16, A chair and

13 committee need to be identified. Gail will send individual thank-you letters to sponsors with a copy of the Thank you ad that ran on page 2 of the March issue of the SaddleBrooke Progress. Coloring book: Discussion was held on the status of the coloring book. So far, 105 have been sold with 95 remaining. Memorial Day softball tournament was suggested as a possible venue and will be investigated. Bruce volunteered to sell some at Basha s. His offer was gratefully accepted. Proceeds from the coloring books will be used to purchase art kits for the school in Catalina, based on needs identified by their teachers. The board suggested that next year s book be less costly in production, perhaps eliminating the spiral binding, thus increasing the funds available for charity. A proposal was made to take $500 from available funds in the treasury and use to purchase the art kit materials, not waiting for the rest of the proceeds from the coloring book sales. Allen moved that this action be taken. Fred seconded the motion. Motion passed. Programs: The April 3 member meeting will be held at 5 pm in the Mesquite Grill and will be used to welcome new members. Everyone will need to RSVP with their meal choice. The meal will be subsidized from the Guild treasury as previously approved by the board. Galleries: Thanks are due to Kent Banta for spearheading efforts to increase hanging space outside the Roadrunner Grill at HOA 1. Publicity about this increased space will be sent to both newspapers and to both HOAs for their news. Artist of the Month: All slots for 2018 are filled. Interviews have been completed through August. Recruiting for 2019 will begin in the fall. Webmaster, Hospitality: Several members with relevant skills and interest were identified. Their names were provided to the appropriate chairs. Communications: My Grove will be used to distribute notices about events and activities. We will not use My Grove for class registrations and payment at this time. Outreach: The board discussed continuing to underwrite refreshments at a cost of about $60 per session for the UA Art lecture series- held in the Mountain View ballroom. Most attendees are not Guild members and it s a good way to help meet our goal of sharing art information with our community at large. Allen moved that this support continue. Fred seconded the motion. The motion carried. Non critique: Continues to be well received and has attracted several new members. Old Business: Gail and Kathleen will review budgeting process and board procedures and responsibilities. Allen and Kathleen will complete banking requirements to get her added to the signature card so she can sign checks when Allen is out of town. New Business: Gail was thanked and acknowledged for her leadership during these last two years. Specific mention was made of several significant projects that were undertaken and successfully completed. A motion to adjourn was made by Allen and seconded by Fred. 14 SaddleBrooke Fine Arts Guild Board and Committee Meeting Minutes Monday February 15, 2018 Present: Gail Kolenda, Allen Kientz, Jenni Long, Fred Flanagan, Jim Morris, Eileen Aird, Mary Kopp, and Peg Wells. President, Gail Kolenda, called the meeting to order at 10:05 Approval of January Minutes A motion to approve the minutes was made by Allen Kienitz and seconded by Mary Kopp. The motion passed. Treasurer s Report-Allen Kienitz The Guild has a bank balance of $ plus $ in checks from the art show. There is approximately $ in outstanding expenses. President s Message-Gail Kolenda A nomination committee has been selected. Joe Voisine, Karen Brungardt, and Wayne Ufford will serve on the committee. Gail made a motion to host a general membership meeting in May with an emphasis on welcoming new members. Each new member will be assigned a mentor for the evening. The food will be heavily subsidized by the Guild. Jenni Long seconded and the motion passed. Gail brought up a proposal to paint a mural in the cycling room at Desertview. She made a motion to accept the challenge and it was seconded by Allen Kienitz. The motion passed. Gail will check on the dimensions and then send out a message to the membership to submit sketches. No fee was offered but the HOA Board will pay for the paint. Chair Reports Facilities-Gail Kolenda There is still no date for the floor being fixed in the Topaz Room. Gail is hoping that they will wait until summer when there are no classes. The HOA has offered $ towards the overhead mirror. The board decided to accept the offer and then pay the difference so that we can choose the mirror that we want. The HOA has also agreed to replace the glass shelves in the showcase with acrylic shelves.

15 Education-Eileen Aird The new Chinese painting class has been very successful. A second one is in the works which will accommodate new painters as well as those from the first class. There was a discussion about how much non- residents should pay for the classes. The current additional is $10.00 for both residents and non- residents not belonging to the guild. There was a motion to increase the nonresident fee to $20.00 by Allen Kienitz and seconded by Fred Flanagan. The motion passed. The rest of the discussion was tabled until we find out if non- residents can attend classes and who would be liable. Art Show-Mary Kopp and Peg Wells 41 artists participated in the Spring Art Show. The total sales for the show were $18, Thirty-five artists filled out the evaluation form and the board discussed the results. It was agreed that the show was very successful but there were also lessons learned. Mary will update the planning book to reflect these lessons and make it more complete. The 2-page participation guide will also be revised. Programs-Fred Flanagan March meeting will be the elections. Galleries-Gail Kolenda The Roadrunner gallery has more space available for display now so the membership is encouraged to submit more artwork. Web Master-Jim Morris There is still a need for someone to help with the website. Jim suggested an to the membership and Allen said he would check the applications from new members for interest. Outreach-Fred Flanagan The University of Arizona will be giving a lecture on March 7 at 10:30 in the West MountainView Ballroom. The Guild hosts these events and supplies coffee. Jim Morris mentioned that these lectures are a good place to promote upcoming events for the Guild. A motion to adjourn was made by Allen Kienitz and seconded by Fred Flanagan at 12:02. 16 SaddleBrooke Fine Arts Guild Board and Committee Meeting Minutes Monday January 15, 2018 Present: Allen Kientz, Jenni Long, Fred Flanagan, Jim Morris, LaVerne Kyriss, Joanna Voisine, Mary Kopp, and Peg Wells. Member at Large Fred Flanagan called the meeting to order at Approval of December Minutes A motion to approve the minutes was made by Allen Kienitz and seconded by Fred Flanagan. The motion passed. Treasurer s Report-Allen Kienitz The Guild has a bank balance of $11,500. $ is earmarked for teachers fees and no expenses have yet been submitted for the February art Show. The Guild has 106 paid members, 50 of which are new members. Nominating Committee-Fred Flanagan There was a discussion of who could lead the nominating committee. Several people volunteered to talk to some members. No decision was made. Chair Reports Facilities-Fred Flanagan There is still no date for the floor being fixed in the Topaz Room. Education-Jim Morris Winter classes are filling up however a couple of classes needed to be canceled due to low signups. Jim has put in a link on the website so that instructors can see who has signed up for their classes. Art Show-Mary Kopp and Peg Wells 33 artists are registered for the show so far. There are 10 silent auction items and no more will be accepted. To kick off the auction and create curiosity and interest on the stage, 4 artists have donated an art piece to be blind auctioned. Mary is meeting with the food and beverage department of HOA 2 this afternoon to determine the menu. She has approval to spend $ for refreshments. The outdoor signs are completed. People are needed to stuff mail tubes for the show and if anyone can help, they are to contact Kent Banta.

17 Joanna Voisine reported that the coloring book is ready for the printer. Several bids have been obtained but no printer has been chosen. Programs-Fred Flanagan The next membership meeting is February 6 and the speaker will be a docent from the University of Arizona. Galleries-Fred Flanagan Kent Banta has secured more space for the Roadrunner Gallery at the SaddleBrooke Clubhouse. Allen Kienitz made a motion to approve $ for rails and hangers for the new space. Jenni Long seconded and the motion passed. Jim Morris reported that the new policy of not needing to submit photographs of artwork for the HOA 1 activity center gallery resulted in chaos. There are a limited number of places to hang paintings so he suggested a sign up ahead of time to make it more organized. Publicity- Fred Flanagan There has been an enormous amount of publicity for the Guild. The Art Show has been especially well publicized. Artist of the Month-LaVerne Kyriss LaVerne reported that she has artists lined up for the rest of the year and is usually several months ahead for her articles. Web Master-Jim Morris There is still a need for someone to help with the website. Jim suggested an to the membership and Allen said he would check the applications from new members for interest. New Members Welcome-Fred Flanagan There are 50 new members so a welcome meeting is needed. Fran Dorr is in charge of this. Outreach-Fred Flanagan The University of Arizona will be giving a lecture on February 7 at 10:30 in the West MountainView Ballroom. The Guild hosts these events and supplies coffee. Robbie Summers is still teaching art to the residents of Splendido and Desert Springs retirement facilities.

18 New Business Allen Kienitz initiated a discussion about membership in the Guild for SaddleBrooke Ranch residents now that the reciprocal agreement has been rescinded. According to our by-laws, they cannot be members. More investigation needs to be done and we need to look at the Guild associate membership category. A motion to adjourn was made by Allen Kienitz and seconded by Mary Kopp at 11:30. The next board meeting will be held February 19, 2018 in the Saguaro Room.
