2 Annual General Meeting: begins at 7pm 1. Opening words and welcome Chairwoman Petra Pories greets the parents as well as Principal Freyler. 2. Minutes of the last General Meeting There are no objections. 3. Chairwoman s Report concerning the previous club year P. Pories highlights the excellent partnership between the school and the Parents Association and thanks Principal Freyler and all Parent Representatives for the good teamwork during the last few years. + Good teamwork with the head of school such as meetings (jour fixe) with Principal Freyler + Regular meetings Parents Association Committee and smaller team meetings + Distribution of committee work according to competencies, time availability and individual interests (homepage, gymnastics class, social events, organisation tasks, research, contact with the MA 56, shopping errands, child care, buffet, etc.). + Public relations work: Homepage, mail correspondence, bulletin board design, roll-up, introduction of the Parents Association in all first grades in September 2015, sale of clothes with school logo at the beginning of the school year Events: Christmas carol singing on December 15 th 2014 in aid of the Sterntalerhof (with Petra Pories), reading with Willy Puchner on February 12 th 2015, Parent-directed lecture on No Connection on the positive and negative effects of digital media held by Christian Schweitzer on March 24 th All new school base caps in fair trade quality and ecologically sound/fair purchase of other items wherever possible + Inspection and organisation: PA cupboards and merchandising inventory/store room. + Support and participation: + Open Day 2014 (buffet, information, wheel of fortune, etc was held on the same day as Tag der Wiener Schulen Parent-teacher conferences in autumn 2014 and spring 2015 (buffet, child care, sale of merchandising products, book display) + refreshments for children during Sports Day + buffet, sale of merchandising products and wheel of fortunate at the School Fest in June Treasurer s Report

3 Tanja Kriechbaum present the following financial report: Year end statement 2014/15 The Parents Association finances for the school year 2014/15 have been finalised and reviewed and confirmed by the auditor. Here is an overview of this year s revenue and expenses. The opening balance amounted to 2, as of September 1 st Total revenue amount to 5, and Total expenses amount to 6,771.67, Resulting in a closing balance of 1, as of September 30 th Revenue Expenses Total Membership fees 2, , School materials , , Operational costs 1, Events 3, , ,13 Total 5, , ,71 Membership fees We received 161 PA membership fees (78% of all parents). School materials Books, various school supplies, school magazine subscriptions, advent wreaths, Christmas tree, trophies and medals, purchase of base caps, wish list, sausage cooker Operational costs Costs of fees to regional organisation (Landesverband), webspace domain, account maintenance fees and revenue from interest earned. Events Revenue (merchandising, raffle, donations, food and drink sales) and expenses (food and drink) for Parent-teacher Conferences, Open Days, Sports Day, Summer Fest as well as sponsoring fee and bus journeys for the Football League games. 5. Auditor s report and resolution of said report

4 Treasurer Tanja Kriechbaum read aloud the confirmation signed by both auditors Jasenka Krsmanovic and Martin Culver which states that all receipts were checked and found to be in good order. They praise her careful and well documented cash management. A motion is made for the approval of actions of the board and treasurer for that year. The motion is unanimously approved. 6. Election of the election committee The election committee consists of Mrs Sonja Kamenko. 7. Election of the Chairman and Deputy Chairwoman The vote is held by open ballot. The following candidates are proposed: Chairman: Christian Wimmer The proposal is unanimously approved. Deputy Chairwoman: Marsha Wacker The proposal is unanimously approved. Both take part in the voting. The newly elected Chairman thanks everyone for their trust and continues on with the Annual General Meeting. 8. Election of two auditors The vote is held by open ballot. The following candidates are proposed: Martin Culver Magdalena Brückner The proposal is unanimously approved. And further committee members The vote is held by open ballot. The following members are proposed: Axel Puwein Ariane Kascha The proposal is unanimously approved. 9. Decision concerning amount of membership fees A motion is made to raise the membership fee from 18 to 19. The motion is approved by the majority. 10. Decision concerning the statutes of the Parents Association The motion is brought forward to update the statutes. The passage concerning the validity of the approved statutes, should no longer hold a specific date, but rather a specified period of time. The validity of the statutes is thus agreed upon until the next Annual General Meeting. The motion is unanimously approved.

5 11. Parent concerns addressed to the Parents Association Magdalena Brückner (1B) would like to campaign for more fruit and vegetables and more healthy foods at Hort (afternoon care programme). As the Parents Association has no influence on the food chosen at Hort, the PA has offered to pass on the information to parents that this initiative has been started up. Interested parents can contact M. Brückner directly at 12. Further motions and any other business A motion is brought forward to set up an entry restriction for the download area on the Parents Association homepage. All parents should receive a password that is valid for the entire school year. The motion is approved by the majority. The Chairman thanks everyone for his or her attendance and closes the General Annual Meeting at 8pm.

6 Constituent Committee Meeting on October 6 th 2015, at 8pm Chairman Christian Wimmer opens the meeting and points out that only Parents Association committee members are entitled to vote. All votes will be open ballot. 1. Election of Treasurer and Deputy Treasurer Treasurer: Proposal: Tanja Kriechbaum Deputy Treasurer: Proposal: Axel Puwein Both proposals are unanimously approved. 2. Election of Secretary and Deputy Secretary Secretary: Proposal: Claudia Randles Deputy Secretary: Proposal: Anna Mai Both proposals are unanimously approved. All nominees accept the vote. The Chairman expresses his thanks to the previous team and looks forward to continuing the good work with the new team. 3. Distribution of Parents Association tasks In order to efficiently carry out the various projects and tasks in the PA, a motion is brought forward to put specific people in charge: homepage, public relations Ariane Kascha, contact with MA56 Christian Wimmer, merchandising orders and sales Tanja Kriechbaum and Claudia Puwein, child care during events Stania Ciarella, sports classes Claudia Randles and Axel Puwein, notice board Claudia Randles and Ariane Kascha, financial aid queries Stefania Ciarella. The motion is unanimously approved. 4. Upcoming projects Open Day on November 25 th 2015 ( am) The Parents Association will be helping out with the buffet, giving information to interested parents, possibly offering a wheel of fortune. A link to an online sign-up list will be sent out to the committee members soon. The Christmas tree, which is financed by the PA, will be put up and decorated in the entrance hall on November 27 th 2015 by Principal Freyler as well as Marsha Wacker and Christian Wimmer. S. Madisetti will be ordering the tree and brushwood. Parent-teacher conferences on November 30 th 2015 (4-7pm) The Parents Association will also be present on this day and have a buffet as well as a merchandising table. Child care will be available and a book display will be provided. A link to an online sign-up list will be sent out in the near future. A Christmas carolling afternoon is planned for December 14 th Teachers, children and parents can participate. Petra Pories has offered to arrange the music. No admissions fee but donations for charities are requested.

The motion for approval of this budget is unanimously agreed upon. All original receipts have to be passed on to the treasurer Tanja Kriechbaum.

8 Chairman Christian Wimmer presents the precise financial framework for the school year 2015/16, in order to simplify financial planning. The motion for approval of the financial framework at hand is unanimously agreed upon. Financial framework 2015/16 Wish list 2015/16 1,600 Subscription to primary school magazines for teachers 100 (as needed) Advent wreath and Christmas tree for the school 110 Regional association membership fee 72 Prizes for Antolin, Känguruh der Mathemetik, reading competions etc. 100 Fee for Wie geht es weiter nach der 4. Klasse? 100 Subsidy for 4 th grade farewell parties ( 100 each) 200 School Football League participation fee and bus costs 200 (max) Refreshments during school meetings/annual General Meeting/reading competitions 40 Thank you presents (school custodians, principal) 150 Cereal bars emergency for Sports Day, apples, bananas 150 Parents Association Insurance fee 15 Office materials 70 Total 1,307 SUM TOTAL 2,907 Otherwise: buffet purchases for the Open Days and on the Parent-teacher Conferences (cups, napkins, paper plates, drinks, snacks) Motion: The Parents Association grants financial support for school material. None of these purchases are property of the PA. Motion unanimously approved. The Parents Association is required to maintain an inventory of assets. Treasurer Tanja Kriechbaum will undertake the inventory and present it at the next meeting. The Parents Association would like to make it possible for all children to take part in school activities and projects and therefore offers financial aid. Motion on how to decide who can receive how much financial aid is presented as follows: Membership of the PA is required. PA-membership fee can be deferred, reduced or waived. Applicants should speak to their child s teacher first. The applications will be discussed during Committee meetings they will be treated

9 anonymously and confidentially. The granting of support is at the discretion of the Parents Association Committee. Motion approved by the majority. The letter to parents regarding the payment of the membership fee 2015/16 will specifically mention that any payments made above the actual fee of 19 will be placed in a fund for financially disadvantaged children. 6.
