On Motion, at the April 17, 2017 meeting, an -vote was concluded May 5, 2017 to approved the Ministry Information Form as amended by the ANC. Motion carried (Yes -17; No-1; No response-6). DACONS RORT Tom arker Summary of Deacons April Financials o Green envelopes for April came in at $700, running behind by $280 year to date o We re running under budget by $1,487 year to date (discretionary accounts & Salvation Army meals) o Deacons ndowment Fund balance is $51,395 and the Grant account balance is $7,067 Deacons Activities Update o Nancy Foster and Beth Tinsman were recognized at the May 8 th Deacons meeting for seven years of service organizing and leading the Homework Helpers rogram o ast Activities 42 Salvation Army meals were served in April Somewhere between 15 and 20 volunteers prepared 1,000 hot dogs, worked, at and/or attended the UNCH gg Hunt in Cork Hill ark on April 15 th. The weather was awesome and the event was wonderful In-Touch spring gift deliveries have been made We still have not received any Deacons ndowment Grant applications to date o Future activities lanning for the Sunday, June 11 th Neighborhood icnic is on track. Melvin McNeal has been retained to provide smoked pulled pork The dates for Little Dresses for Africa have been sent to Bobette for publication June 10 thru 17 Craig Foster and Cindy Schalk will be joining Grace Lutheran for the ILUGUA / Guatemala trip Churches United has invited participation in the Bettendorf July 4 th parade September 9 th Women s Retreat: Women of Joy Speaker, Continental breakfast, lunch, meet-and-greet, and card-making will be among the activities

Caterer has been lined up Messaging to the congregation regarding the four special annual CUSA offerings is in full swing entecost Offering - Children & youth development, children at risk eace & Global Witness Offering - World Injustice Christmas Joy - Church Leadership - BO, Racial and ethnic leadership development OGHOS - Disaster Relief, Hunger Assistance, Self Development NW BUSINSS/COMMITT RORTS SMALL GROU TASK FORC Liz Terrill Summary of the year s work and request to be decommissioned as a Task Force was discussed at length. The excellent work of the task force and the need for ongoing intentional small group ministry were affirmed. The request to decommission was tabled until the June 19, 2017 Session Meeting, at which time the names of persons to continue this valuable work will be presented by the current task force. It was recommended the survey-generated list of interest topics be used for names of potential small group leaders and activities. The option of single events was emphasized as a way to gather members with a short-term commitment from the activity leader. 20/20 STRING COMMITT - Marty Bowles dwards The current God Sized Dreams of connecting to the neighborhood and enhancing the welcoming environment of our Sunday Worship experience were addressed with committee reports. Those plans are reflected in the Deacons Report and the Hospitality and Welcoming Committee Report. A new discussion of continuing the work of addressing gun violence and prevention, introduced the idea of a community memorial to the victims of gun violence. This is being explored by Rev. Dr. Richard Miller in conversations with Bryan Miller and area church leaders. The May 20/20 Meeting was cancelled. The Neighborhood icnic and the Worship Host Dessert Social are upcoming. The June 19, 2017 Session Meeting will determine the need for a June 26, /20 Meeting. Tentatively, the next 20/20 Meeting is scheduled for July 24, 2017 at 7:00 pm in Von Maur Hall. HOSITALITY AND WLCOMING Chad Carr The welcoming atmosphere and warm greetings present in the Sanctuary were affirmed. Ongoing efforts will address closing the gaps in that welcoming net, to embrace all that choose to attend worship services. A Worship Hosts Dessert Gathering is upcoming, with an opportunity to affirm their vital role and foster further discussion of this valuable ministry. WORSHI AND MUSIC Jane Magnusson Communion Server Sign-up for Sunday June 4, 2017 is in process. lease watch for an and add your name to the service of your choice. Motion was approved to purchase Carriage Shelving System for music storage per the Request for xpenditure roposal. Forward in Faith Fund will contribute $7,000. An anonymous donor contributed $5,000 to establish Camp Wyoming Scholarships to be granted on the basis of need, at the discretion of the Director of Christian ducation and the Head of Staff. On Motion the following policy was unanimously approved, and reflects the addition of Associate astor as an Authorized Contract Signer as amended prior to the vote. AROVAL OF CONTRACTS XCDING $1,000 Adopted by Session May 15, 2017 The Finance Committee will review all contract requests that relate to expenditures of $1,000 or greater and are not part of the approved annual operating budget expenditures nor the approved annual erforming Arts Series budget. In addition, the Finance Committee will forward the contract request to the Session, if deemed necessary, for final approval. Contracts below $1,000 will be approved by the responsible party, committee, or Session as established annually by committees or as stated in the Operations Manual. OLICY The Finance Committee, with the approval from Session, if deemed necessary, may authorize the execution of a contract which commits The Church to $1,000 or greater. These contracts relate to expenditures that are not included in the approved annual operating budget or the approved annual erforming Arts Series budget. Authorized contract signers are: Corporate Officers astor and Head of Staff Associate astor(s) Finance & Facilities Manager Communication and Office Manager Director of Music Director of Christian ducation
6 DFINITIONS Operating Budget: Represents the Church s operating revenue and expenses for the calendar year. It is approved by Session. erforming Arts Series Budget: Represents the erforming Arts Series revenue and expenses for the performance year. It is approved by Session. ROCDUR A memo, or some other form of written communication including a copy of the contract should be submitted to the Finance & Facilities Manager, prior to executing the contract. rovided information should include a description of the expenditure, commitment amount (minimum and maximum, if pertinent), suggested funding source and time frame. The Finance & Facilities Manger will forward the request to the Finance Committee for review and final approval or recommendation to Session, if deemed necessary. Once approved by either the Finance Committee or Session, the Finance & Facilities Manager will communicate the decision to the individual / committee requesting the contract. XMT CONTRACTS Contracts that relate to expenditures that have been approved in the annual operating budget or the erforming Arts Series budget are exempt from this procedure. On Motion the Session Meeting was suspended for the purpose of moving into a Meeting of the Foundation of First resbyterian Church. The suspension was from 8:15-9:03 pm. OLD BUSINSS ANC Marty Bowles dwards The MIF was approved by the resbytery Committee on Ministry. The computer match process has just begun and the first candidate names are anticipated to be available to the ANC beginning in three days. STAFF RORTS Diane umphrey - Cleaning of the church roles is beginning. ackets of member names and recommended actions were provided for Session members to view and edit as appropriate. A proposed letter to inquire regarding desire to maintain a formal relationship with FC, Davenport, IA was rejected by the Session based on the tone of the letter. Chad Carr will work with Rev. Dr. Richard Miller to draft a new letter for Session to review at the June 19, 2017 Session Meeting.
