1 Constitution of The Tabletop Gaming Clu b Amended 1/17/2017 Article I: Name and Affiliations Section 1: Name The name of this organization is the Tabletop Gaming Club Section 2: Affiliations The Tabletop Gaming Club is a club of Auburn University. The advisor is the head of the political science department of Auburn University. The club is affiliated with the national organization The Historical Miniature War-Gamming Society, henceforth referred to as HMGS. There are no other withstanding relationships or affiliations with any other organizations or groups. Section 1: Purpose Article II: Purpose The purpose of this organization is to facilitate the networking of tabletop gamers, to encourage them to play more openly, and to increase the total number of gamers in Auburn. Section I: Non-Discrimination Article III: Membership Membership is restricted to regularly enrolled Auburn University students, faculty, and staff. No university student may be denied membership on the basis of race, sex, religion, national origin, color, age, disability, gender identity or expression, sexual orientation, or veteran status as outlined in the Auburn University Policy Regarding Prohibited Harassment of Students. Section II: General Members To be a member one has to visit at least two meetings and join the club on the AU involve page Section III: Voting Members Anyone who is a member of the club can vote for officer and president candidates, the president's vote is the tie breaker.

2 Section IV: Member Expulsion Members can be expelled by one officer banning them for breaking the rules. They can be allowed back in by a majority vote of the Officers Section I: Officers Article IV: Officers This organization shall be governed by a total of 5 officers. They are President, Vice President, Wargaming Officer, Roleplaying Officer, and Card games Officer. The President's vote is the tie breaker. The officers shall function as the tie breakers in arguments about rules or games. They shall also be responsible for voting on important decisions of the club, or implementing them. Se ction II: Qualification s The qualifications for each officer, are that they know or have access to the rules of the most popular games in the group they are heading, and that they are club members. This is because they shall function as the tie breakers in arguments about rules or games among members Section III: Officer Duties Each officer will be in charge of one of the three groups of gaming. Their job is to be knowledgeable on those game types and to function as mediators if any disputes arise. The President : Promote the club, plan events, demo games, book meetings and special meetings, meet with advisor, vote as tiebreaker in decisions Vice President: Promote the club, plan events, demo games, book meetings and special meetings, meet with advisor, act as the president if the president is unavailable Tabletop Wargames: Promote the club, be mediator for Tabletop Wargames, demo games, book special meetings Tabletop RolePlaying Games: Promote the club, be mediator for Tabletop RolePlaying games, demo games, book special meetings Tabletop Board and Card Games: Promote the club, be mediator for Tabletop Board and Card Games, demo games, book special meetings Section IV: Officer Term Length Officers will hold office from the first meeting in january to the second to last meeting in december. There are no term limits for any officers, vice president, or president. Section V: Vacancy and Impeachment

3 Any officer can choose to resign for any reason at any time. At that point a new election will be held to elect their replacement.if an officer s position is to become vacant during his or her term, the following will take place. A new officer will be voted into their position for the remainder of the term. If an officer is not fulfilling their duties then a new candidate will be appointed by the vice president or the president. Section 1: Advisor Choice Article V: Advisors Tabletop Gaming Club shall have an Auburn University faculty, administrator, or staff member serving as Advisor at all times. Advisors are chosen by the officers, as they are the one who will meet with them. Choosing an advisor consists of an officer setting up a meeting with the desired individual to discuss what their duties would be, if the desired individual agrees, then they will be added as the new advisor. The current advisor is Cynthia Bowling. Section 2: Advisor Duties The advisor will serve as the clubs connection to Auburn University, they will not be required to actively participate in any club activities. They will also serve as a person of advice for advertising the club and its activities. The advisor's duties are minimal for the Tabletop Gaming club. They will be required to assist the organization in compliance with all University and Office of Student Involvement policies and procedures. This includes such policies as risk management, financial, trademark and licensing, OIT, and annual Office of Student Involvement requirements. Finally, advisors must participate in advisor s training the first year they are serving as an advisor. Advisors should attend trainings at least once every 4 years or as necessary determined by the Office of Student Involvement and the individual advisor. Section 3: Advisor Removal If an advisor needs to be removed for any reason then one of the officers or presidents will meet with them to collect any information about the club, gather contact information,if required, for club advertisement, and to discuss possible other candidates for advisors. Section 1: Meeting Dates Article VI: Meetings The Tabletop Gaming Club will meet twice weekly, currently set as Wednesday and Saturday. In order for a meeting to start at least one officer must be present. There is no required percentage for a meeting to open, as long as there is one officer a meeting can continue. Section 2: Special Meetings

4 Any of the officers can call special meetings, but they must be announced minimum one week ahead of the event. This means members should be notified,via or otherwise, of special meetings well in advance. This does not discourage members from meeting with each other outside of the club, the club should function as a forum and gathering of like minded individuals where they can gather and play. Section 1: Finances Article VI: Finances The Tabletop Gaming Club does not collect money of any kind. Section 1: How to Amend This Document Article VII: Amendments This constitution shall be amended by a majority vote of the officers at a special meeting. Amendments can be submitted at any time either by or written proposal to an officer or a president. Before the amendment is voted on those proposing it must present to the assembled officers why they believe it should be added to/change the constitution. The club meetings will be a forum of like minded individuals. Any disagreements will be dealt with by the officers.

5 Section 2: Membership Any auburn student or staff may become a club member if they visit two club meetings and join on au involve. Article 2: Amendment Section 1: How to Amend This Document This document can be amended by a majority of club members at any club meeting.
