2 Procedures for New Student Club Recognition I. The new club should fill an apparent need for students not currently being met by an existing student group on campus. II. It is required that a minimum of 10 active members be involved to ensure the club s chances of success. a. All members of a recognized student group must be either registered LLCC students in good standing with the college, LLCC faculty or staff, or individuals extended membership by the group. (See Board Policy 5.32) III. The club must have at least one advisor who is an employee of LLCC. If a college employee cannot be identified to serve as an advisor, a member of the Lincoln Land Community College District may be recommended (additional approval will be required). Student Life must approve the advisor before the recognition process is complete. (See Board Policy 5.33) IV. The club must submit the following materials to the Student Life Office: a. Completed Club Registration Form b. Copy of the club constitution V. The purpose and activities of the club must not be in violation of civil law or college regulations. (Please see Board Policy 5.32) VI. Upon receipt of the completed forms, the club will be scheduled to appear at a Student Government Association (SGA) meeting. The purpose of the meeting is to provide an opportunity for the discussion of all materials submitted for approval. VII. Following the proposed club s presentation to the SGA, and the subsequent vote for approval by the SGA, Student Life will notify the club advisor in writing regarding the approval status of the club recognition. VIII. If the new club is recognized by the SGA, the process for registration will begin. Please be informed that the process takes approximately two weeks for approval. 8 Template for Student Club or Organization Constitution This sample constitution is provided for use as a guideline only. If you like this format, you may use this document as a template. Your club or organization s actual constitution may be expanded or abbreviated but must include the following asterisked (*) sections below in order to be considered for registration as a student club or organization at Lincoln Land Community College. *- Components marked with an asterisk are required for student club and organization constitutions. Constitutions submitted without these components will not be approved. Article I Name * Section 1 The name of this club or organization shall be [Insert the formal name by which the student club or organization shall be officially known.] Article II Purpose/Mission Statement * Section 1 The purpose of this club or organization shall be to [Insert the club or organization s defined purpose (to promote, to organize, to educate, etc.) and if available, its mission statement.] * Section 2 [Name of Club or Organization] shall abide by all college policies and procedures. Article III Affiliations * Section 1 [Identify any local, regional, national, or international groups with which the student club or organization is affiliated. This section may be removed if the club or organization is not affiliated with an entity other than Lincoln Land Community College.] Article IV Membership * Section 1 Membership in [name of club or organization] shall be open to [insert membership requirements. 9 Article V Officers/Executive Board * Section 1 The officers of this club or organization shall be: [Insert the number of officers. List out the officer titles and their duties. A club or organization must identify at least one presiding officer and one financial officer.] Additional Officer Positions may be created and officers appointed by the Executive Board. These shall include but are not limited to operations officers, web master, and committee chairs, etc. The Executive Board may include these appointed officers as part of the Organization s governing body if a description of their responsibilities and authority are included in the Organization s Constitution. * Section 2 All Officers must be in good academic standing and be enrolled in at least 6 credit hours, in order to hold officer. If elected officer at any time throughout their term go on academic probation or have sanctions with student conduct, that student must step down from their position. Any information relevant to this change is academic status will be between Student Life, the student and advisor of the club only. Article VI Elections * Section 1 Election of officers shall be held [Insert the month of elections and specify which member of the club or organization will oversee them] * Section 2 [Insert procedures for filling vacancies in positions.] * Section 3 [Insert procedures for voting in elections. Some club or organizations make provisions for a secret ballot, for example, whereas some feel a vote by a show of hands is best. This description must be congruent with the guidelines established by the Student Life Office in the Student Club and Organization Handbook. In situations in which the role of the advisor prescribed in a student club or organization s constitution is different, policies established by the Student Life Office supersede them.] Article IX Committees Section 1 [Insert a description of standing committees, their function, financing, powers, etc.] Section 2 [Describe the selection of committee members.
