2 Student Participation Students who wished to be considered for the team attended the trials on Tuesday 30 August to Thursday 1 Friday, and the squad selection was announced on Monday 5 September. Selection was made from students in Years 9 and 10. Students develop their global outlook by forming friendships on and off the court with their age group peers from throughout the region. By taking part in age appropriate competition students are provided with a challenge and recognise the importance of teamwork and sportsmanship. British School Manila will provide lunch and a morning snack. Students will not need more than HKD$500 converted into Philippine peso.

4 Student Contact with Parents (During the visit) We do not expect that students and parents will need to communicate with each other during the visit. If a parent needs to contact the Visit Leader during the visit, please contact the school during office hours or use the out-of-hours phone number to contact a member of the Senior School Leadership Team who will be able to liaise with the Visit Leader. Out of Hours Phone Number (During the visit) A phone number will be provided to all parents for use outside of school hours, in the event that you are required to urgently contact a member of the Senior School Senior Leadership Team. Student Conduct during the Visit We have very high expectations of student conduct. If a student is not meeting these expectations and is non-compliant with instructions from staff on the visit and/or if a student s presence on the visit is putting the other group members at risk, then the student will be sent home. The additional cost of this arrangement will be met by the parent. Insurance The school holds a comprehensive travel insurance policy to cover all overseas school visits (Appendix 2). This policy will cover normal benefits associated with travel insurance including medical, hospital and repatriation expenses where necessary. If it is necessary to cancel a visit due to circumstances not covered by the travel insurance policy, then costs may not be recoverable. Medical Advice / Support Parents are reminded to consult with a medical professional prior to the visit. Please ensure your child has the necessary vaccinations and that all vaccinations are up to date. Any medication that your child is taking during the visit needs to be passed to the Visit Leader on departure with clear written instructions for administration. If the administration is not straightforward please liaise with the School Wellbeing Team before the visit. International SOS provides trip leaders with a summary of medical information for each country. This will be made available to parents via the ebulletin. Please feel free to take the above information to your medical professional when discussing the school visit and your child. International SOS will be consulted in the event of an emergency and the staff will follow their advice.

5 Next Steps: Parent and Student Actions Parent Actions 1. Read carefully and act immediately on the information within Appendix 1 which outlines important information and actions in relation to: a. passport and visa requirements b. cost details and terms for payment and cancellation, etc. 2. Read carefully, sign and return Appendix 4 (Parent Permission Form) in hard copy to the Visit Administrator. We require this permission form to be returned in hard copy, not by by Wednesday 5 October. (if not already done) 3. If you are not travelling on the same flight as your child, please let the school know that you will require a WEG to enter the Philippines. We will begin to collate the information that you need to support this process. Please let the school know by Wednesday 5 October 4. Submit a photocopy of your child s passport photo page in hard copy to the Visit Administrator. This will only be shared with airlines for ticketing purposes. We require this to be returned in hard copy, not by by Wednesday 5 October 5. Provide updated medical information to the school by Friday 7 October 6. Provide the Visit Administrator with any specific dietary requirements, so that we can liaise with the airline in addition to our Support Partners by Friday 7 October 7. If your child requires a WEG to enter the Philippines this must be obtained in advance. Apply for any required Visas and submit a photocopy of it to the Visit Administrator by Friday 7 October. 8. Ensure that you have obtained all of the items on the Visit Packing List (Appendix 3) 9. Ensure that any medication required on the visit is given to the Visit Leader on the day of the trip with written instructions on dosage/frequency etc. 10. Ensure that the invoice balance has been settled by Friday 4 November Student Actions 1. Attend the Visit Information Meeting 2. 7 Appendix 1 Travel, Visa and Cost Information 2016 Under 15 Fobisia Games, Manila 9 November 13 November 2016 Assembly / Check-in As this is a group booking, there is no individual check-in and you must be at the airport at the designated location and time as stated in the Visit Information sheet. Outbound Flight Details Depart Hong Kong on Wednesday 9 November 2016 Carrier: Cathay Pacific Flight Number CX: 901 Departure Time: 0900hrs/ 9.00 am Arrive: 1110hrs/ 11.10am local time. On arrival the students will be met and transferred to their accommodation as arranged by Tournament organisers. Inbound Flight Details Depart Manila on Sunday 13 November 2016; Carrier: Cathay Pacific; Flight Number: CX 900 Departure Time: 1220hrs/ 12.20pm Arrive Hong Kong: 1445hrs/ 2.45pm local time. Please check HK airport arrivals information on the day of arrival. In the event of any significant delay the school will strive to use the SMS contact list to communicate with parents. Dismissal Unless it is stated to the contrary in the Visit Information sheet, all students will be dismissed and collected at Hong Kong International Airport. 8 Billing & Payment: Billing will be via the School s Fee Invoice system. Invoices will be issued by in advance of the trip and are payable before the date of departure (by e-cheque, merchant pay or credit card). Any further queries pertaining to billing and payment may be ed to finance@kellettschool.com Visa Information It is the parent s responsibility to ensure that any visa required is obtained in advance. The school will provide a cover letter for any visa application if requested. Please contact the Visit Administrator to request a cover letter. Passport Ensure your child's passport has A MINIMUM of 6 months validity from the date the visit is completed. If your child's passport needs renewing, organise this NOW so there is still adequate time to submit the new passport photo page to the school and to apply for a visa if required. Ensure your child's passport has spare pages for the possible full page visa and entry/exit stamping. It is the parent's responsibility to ensure that the passport is valid for travel and that the name in the passport is in line with the name the school holds for air ticket issue. Important action by parents before departure: Holders of foreign passports travelling to Manila who are under 15 years of age must organise a WEG (Waiver of Exclusion Ground) application before departure. Please allow time for this to be processed. Full details can be found here: (once the link is open, scroll down to the WEG section) Request for Individual Changes / Cancellations Our costings and travel arrangements are based upon group travel terms and rates available at the time of booking and therefore any individual changes to flights / routes or any request to re-issue tickets will impact on the entire party. Such requests cannot therefore be accommodated. If due to unforeseen circumstances your child cannot travel, only recoverable monies remaining after cancellation charges passed on by the travel operators are deducted will be returned to you. Please note that refunds are subject to the Airline s/provider s policy and in most cases deposits paid to secure bookings are not refundable. If your child is denied boarding due to passport/visa issues there will be no refund. Terms and Conditions of Travel / Group Cancellations All itineraries are confirmed as group itineraries as stated and may be subject to schedule and /or airline changes. These changes are beyond the control of Kellett School. In the unfortunate event that the decision must be made to cancel the trip due to situations beyond our control and always with our student s safety in mind, we will do all possible to work with our Support Partner and airlines to secure reimbursement of funds. It is important to note that subject to the timing of these decisions and our aim to source the best fares, there may be no refund possible.

10 Appendix 3 Packing List Carry-On Luggage A Kellett Fobisia travel bag will be provided for carrying kit to and from the tournament venue.. Make sure everything you pack in your carry-on complies with the new carry-on regulations of the TSA. Passport Travel Wallet (that can be hidden under clothing) Photocopy of Passport (place in checked luggage) Medication (must alert staff) Checked Luggage Airlines in Asia limit each checked bag to 15 kilos, so please pack accordingly. 11 Appendix 4 Parental Permission Thursday 9 November 2016 to Sunday 13 November to U15 FOBISIA GAMES Please complete and return to the Visit Administrator by Wednesday 5 October (if this has not already been done) Name of Student: Tutor Group: Permission to attend - I give permission for my child to take part in the above visit. Medical Permission - I give permission for my child, in the event of requiring medical attention, to be attended by a doctor and/or to be transported to and be treated at an Accident and Emergency Unit/Hospital. The doctor has my permission to administer any drugs or medical treatments/procedures that he or she thinks appropriate. Emergency during an Overseas Visit - I understand that in the event of an emergency staff will follow the advice of International SOS. Costs incurred I acknowledge that in the event of any medical/emergency related costs which are not recoverable by the school s insurance, I will assume full financial responsibility. Withdrawal from attending visit - I understand that in the case of the withdrawal of my child from the above visit, the school is only able to refund costs that are recoverable (see Appendix 1 of the Visit Information). 13 Appendix 6 Further information around WEG application Please read the following information to apply for a Waiver of Exclusion Ground (WEG) : Philippine Consulate General Hong Kong Address: 14/F, United Centre, No.95 Queensway, Admiralty, Hong Kong Tel. No For the information of all concerned, children below 15 years old who are holding a foreign passport traveling to the Philippines unaccompanied by or not meeting their parent/s in the Philippines must apply for a Wavier of Exclusion Ground (WEG) under Sec. 29 (a) (12) of the Philippines Immigration Act. The WEG can be applied before departure through the Philippine Consulate General Hong Kong The minor's parent must be applied for a WEG in person. Details for the procedures of WEG are depicted as below: 1. The minor's parent should notify the Commissioner of Immigration in writing of the minor's intent to travel to Philippine at least 72 hours before the arrival 2. The Letter of Intent should include a request for the minor's wavier of exclusion together with clear copies of the following requirements: (a) Copy of the minor valid passport ( Passport is required at least six months validity from date of arrival ) (b) Copy of a return ticket (c) Copy of a birth certificate (d) Affidavit of Consent Form - Please refer to appendix NOTE: Please name the person who will be accompanying the child to the Philippines duly notarized by the Philippine Consulate (e) Copy of the data page of passport of the accompanying adult (f) Copy of parent's HK ID or passport (g) 2 recent photos per child (h) Processing time takes about 2 working days and fee is HKD per application - Note: The parent will collect the copy of Order after 2 days from the Philippine Consulate General Hong Kong. The Commissioner of Immigration shall issue an Order after assessment of the WEG request. The minor's parent shall be given a copy of the Order. The Commissioner of Immigration shall send a copy of the Order to the Immigration Duty Supervisor (IDS) at the port of entry. This order shall waive the minor's exclusion.
