All external correspondence (through website) to be recorded by the Secretary. Darian will continue to run with the changes to the constitution. Acceptance of Secretary's Report proposed by Darian Ferguson, seconded by Reggie McNeill and passed unanimously. Treasurer's Report - presented by Ron in Cheryl's absence Treasurer's financial statement (see table below). Cheryl is now formatting the financial statement so it can be cut and pasted. MY0B - As Cheryl was no present nothing to report Chieftain Ceilidh - we have 19 people paid Members - current membership stands at 74 St Andrew Society Reconciliation Report for 8 Mar to 31 Mar 2017 Opening balance $ 35,539.99 Income for period $ 430.00 Expenditure for period $ 642.95 Closing balance $ 35,327.04 Membership (ordinary) 58 Membership (other) 12 Total membership 70 Acceptance of Treasurer's Report proposed by Ron, seconded by Darian and passed unanimously. SUB COMMITTEE REPORTS Reel nights (Richard) Planned dates, depending on hall availability, are: March 30, April 13, May 12 and 25, June 8 and 22, July 6 and 20, August 3, 17 and 31. There is a break between mid- April and mid-may for the Chieftain's Ceilidh and associated dance classes. We do not need to have all available committee members attending all the sessions. It might be worth having a roster. Wembley Community Hall is booked. Liquour permit issue was resolved - not required (we have that in writing). One event held on March 30th - 19 of use there. 4 newbies. Financial profit! Advertising: Website Mailchimp flier Nova radio Emailed prospective reelers personally Handed out fliers at first evening Flier on our Facebook Flier to 'Friends of Scotland' in Perth Facebook Instagram Emailed Irish Families in Perth Facebook. Said yes, but nothing yet! Free ad in RSL Listening Post (10k readers) Listed on Events Perth Richard very keen to distribute fliers around Perth Second evening is tomorrow. Hoping for increased numbers but owning to proximity of the Easter long weekend this might prove be optimistic! Chieftain's Ceilidh (Reggie / Diana / Cheryl /Darian) Venue: RAAFA Club, Bullcreek. Date: 13 May 2017. Website event postings done. Booking form and flyers done. Mailchimp email sent out Pipe band booked. No piper so will have to use piped music to pipe guests in Jobs on the night to be decided by sub committee Raffle - 8 prizes already purchased or donated. It was decided by majority that we would have a whisky toss on the night to be advertised in reminder Mailchimp email Currently have 19 paid, interest is encouraging with one guest requesting 16 people Sub committee meeting to be held at Diana's home on 23rd April @ 2.30pm Page 3 of 7

Weekend away (Ron) Date: it was decided to find a date in July, either the 14/15th or 22nd/23rd Ron presented two choices of venue Quindanning Hotel and Mercure Sanctuary Golf Resort Bunbury. Option details - Quindanning Hotel - Xmas in July Package. The cost is $180.00 per double - $105.00 per single which includes a 3 course Christmas dinner (Soup, Roast Ham &Turkey with vegies, Plum Pudding with custard) with a complimentary glass of hot mulled wine, accommodation and a cooked breakfast. All trimmings are supplied ie bon-bons, Christmas Tree etc. Mercure Sanctuary Golf Resort - both the Golfing Escape Package (Sat night rate $140 twin share), room only, and the Sleep Play Package (Sat night rate $140 quad share) room only. It was decided by all the committee present that Ron should go ahead and book 10 rooms for the Xmas dinner package at the Quindanning Hotel for either weekend of 15th/16th July or 22nd/23rd July. Two of the 10 rooms will be twin share rooms. Decided no bus. St Andrew's Day Ball (Reggie / Diana /Cheryl / Darian) Date -2nd December Venue - Pan Pacific booked. Contract signed and 1st payment or $3,507 paid Tuesday 12th April 2017. NB -This payment was made after treasurer sent in treasurer's report. Wine Tour (Reggie / Diana) Date: 21st October 2017. Reggie booked 40 seater bus from Always Perth Bus Hire, pick up in the city for $650. This works out if full to be $20pp. Additionally costs will be for wine tasting but this was not more than $10pp per venue, lunch was costed at $40 at Carilley Winery (entree + main course). Suggested tour would be three wineries in the morning, lunch and then brewery in the pm. Sub committee to draw up itinerary. Quiz night (Darian / Eoin / Robert) Nothing further to report Burns Supper (Reggie / Diana / Cheryl) Date: 25 January 2018 and held by Venue: Booked the Parmelia Hilton Hotel Date held for us and contract in process of being drawn up by hotel. Communications (Richard) Website Need photo of Ron for Committee mug-shots page. Last months minutes to go up when approved and signed. AGM minutes on website (technically draft till next AGM) Page 4 of 7

Sponsorship page in process of being updated. Saltire Saltire - March edition sent out since last meeting and on website. Facebook Dave Porter trying to sort our "managed page" issue. Current setup causes limitations to our public profile. Society email accounts Secretary currently unable to get into hers. Sponsorship Richard wrote up draft 'Corporate Opportunities' offer. This document would be given to potential sponsors explaining "who we are" and "what we do". It also explains the benefits of their sponsorship to us. Proposed Ron Cooper Seconded Eoin Kennedy Westons - Meeting with Darian & Richard went very well. The representative of Westons will take our 'Corporate Opportunities" offer to a higher authority. Lotteries Commission - draft application currently being worked on. Equipment costs still to be received. Reggie, Eoin and Darian to identify what we need and to obtain quotes. Jo Wilkie, ex Lotteries West to help expedite the application. Cost $300 ITEMS FOR DISCUSSION / URGENT GENERAL BUSINESS Constitution The new constitution rules have been accepted at the Dept of Commerce except for three issues which Darian continues to work on with Dep of Commerce to resolve. Darian pointed out that we can adopt the model rules for the remaining three issues as provided by the Dept in accordance with the Associations Incorporation Act (2015) should the Society wish to. Communication Nothing to report Search for a new Patron A reply as received on behalf of Andrew Forrest, thanking the Society and wishing us well, but declining the offer of becoming our Patron, stating that he is currently too busy and not taking on any new commitments. The search continues. Search for a new piper Richard will write and thank Jason for his service over the last two and half years. The Society is sorry to see Jason go but wished him well in his future endeavours. It was Page 5 of 7

suggested that we approach the 51 ACU Regiment Drums and Pipes to see if one of their members would be interested in the position. Decorations (Reggie/Darian/Eoin) Some of the society's banners and events decorations are getting tatty. Might be able to include the cost of replacements in our grant application. Reggie, Darian and Eoin to look into what we need and cost them It would be ideal to get the costs ASAP so we can lodge Lotteries grant application. Any other business Reggie raised the importance of booking the Royal Park Hall for the pre Ball dance classes. It was agreed that there would be 5 weeks of classes starting on the 3rd November plus two dance classes leading up to the Burns Supper, 12th and 19 January 2018.
