Delta Sigma Theta Sorority, Inc. Charlotte Alumnae Chapter Executive Board Meeting January 15, 2014 The January Executive board meeting of the Charlotte Alumnae Chapter (CAC) was called to order by President Desiree Rew at the Delta Center. Soror Sondra Hines opened with prayer at 6:46 p.m. The January meeting standard agenda was adopted as presented. The December 2013 minutes were approved as written. Chapter correspondence was shared by Soror Sondra Hines. President s Report Committee: Executive Submitted by: Soror President Rew Date: January 15, 2014 Information for Executive Board and Chapter: National None Regional None Local The joint executive board meeting of DOCF and CAC will be held January 30, 2014, at the Delta Center 6:30 p.m. During this meeting we will review the MOU for lease and service. Copies of the CAC Policies and Procedures are available for members of the executive board.

Committee Reports Full committee reports are posted on the Yahoo group s site. Co-chairs are asked to cover updates and any actions, motions or recommendations to the Board. Elections Terri Rivalte The elections committee met January 7, 2014. The committee co-chairs confirmed with the committee a budget of $1000.00, and there would not be a need to request additional funds looking at the upcoming elections for the chapter. The committee has looked at various options for the upcoming elections and tallying of votes. Their recommendation is to use the Board of Elections machines for April. The cost would be $400.00. A site visit would be needed to determine how many machines are needed, what would be best placement in the Delta Center, and voting times for time chapter or if an alternate location would be required. Founders Day Diane Vaughn The Founders Day celebration will be held January 25, 2014 at the Varick Renaissance Center, located at 3615 Zion Renaissance Lane from 10:00 a.m. to 2:00 p.m. Vending will be available. Please see the report for additional details. PP &D Paulina Bolton, Gwen Devins, Karla Jones, Pamela Murphy Lewis Economic Development Handshakes & Headshots event will be held Thursday, April 10, 2014, at 6:30 p.m. Currently the location for this event will be at Chima in uptown. The committee has secured a guest speaker, Demore Moore to focus on personal branding; in return for no fees being charged, she will promote her new book. Charlotte Works and the Charlotte Chamber have been contacted as well. The committee has decided to postpone the Savvy Woman & Financial Values session during March due to limited capacity. Educational Development There will be a joint Academy and GEMS session February 15, 2014. The focus will be on Women during Black History month. Also, there will be a college fair February 22, 2014, held at the Delta Center with HBCU s. See report for additional details.

Physical Health The Fitness Challenge will be March 4, 2014. This is a change from the February date. Volunteers are needed for the kick off date. There will bi-weekly sessions for six weeks and Sorors are needed to assist. Our Community Day will be April 26, 2014; volunteers are needed to assist with refreshments. We as a chapter were successful with the volunteer opportunities during the holiday season in 2013. Therefore, we will have additional opportunities to volunteer with the Salvation Army Center for Hope. Sorors are encouraged sign up and bring one to two desserts. We are in need of 10 Sorors to assist each date listed below. Consideration is being given to doing another breakfast activity as well. The times are: January 30-4:45 pm 6:30 pm February 24 4:45 pm 6:30 pm March 24 4:45 6:30 pm We hope to do this activity again in April and May. Please stay tuned for our Habitat for Humanity house build. This activity could be in February or March. Communication about participation will come out separately. This will be an activity for everyone. This activity will be a partnership with the Omegas of Charlotte. Also, please come out to support our Debutantes and GEMS in the MLK parade. A thank you was given to DOCF for sharing two complimentary tickets to parents of the GEM and Academy participants to attend the Legacy Film Classic. This allows for the chapter to get to know the parents of our participants. Amenties Corita Floyd The committee will resume the recap of announcements at the chapter meeting. Social Action Lucy Friersion March 22, 2014, the Victims Awareness March/Walk will be held. Registration will begin at 8:00 a.m. at Marshall Park and the march/walk will begin at 9:00 a.m. ending a Bearden Park. The committee has gained a permit. However, we are currently waiting to hear from the city of Charlotte on the permit to determine if the activity should be called a March or a Walk. The

determination will be made based on the appropriate picketing we should have for the event. Once that decided the communication will hold the appropriate term. An invitation to participate will be sent on Eventbrite to gain a headcount of participants. There is no cost to participate. The Go RED initiative will be February 4, 2014, at 6:00 p.m. at County Commissor s meeting held at the Government Center uptown on Fourth Street. Cheryl Emanuel is leading this effort through the Health Department. This is also a national partnership with the Heart Association. Information about the partnership will be sent to the chapter under a separate communication. It was also mentioned Mel Watts s position is open and will be for ten months due to no election. Pamela Hemphill will start the charge with representation on this effort and regional information has been received and will be shared with the chapter. Music Carroll Fitzhugh The Delta Ensemble is invited to participate in the University Church Celebration of Gospel Music event Sunday, February 16, 2014, at the Oasis Temple at 6:00 p.m. The committee asked for chapter approval for participation. Carroll Fitzhugh moved that Delta Ensemble be allowed to participate in the community event February 16, 2014, for University Church of Charlotte. A majority vote was taken and the Motion carried. Membership Services Melody Harris The next Fellowship will be January 24, 2014, at the Delta Center. Sorors are encouraged to attend to fellowship and enjoy activities. Our next CAC 101 session will be held February 20, 2014 at 6:30 p.m. at the Delta Center. Sisterhood month activities were shared. The Membership Services Committee is asking for bottled water and healthy snacks for the Greek Olympics. Sorors will be asked to please bring your donations to the February and March chapter meetings. It was shared that the past US Talk sessions have been cancelled. Therefore, it was recommended going forward if we are not going to hold the session we not announce to the chapter.

Arts and Letters Joyce Edmonds Delta book club is still open for Sorors to participate. We will be moving to a new at Hickory Grove Library on Hickory Grove Road. A Soror who works at this location has donated the space for the chapter to use. The book for the next discussion is titled Sugar by Bernice McFayden and will be held January 18, 2014, at 2:00 p.m. The discussion will be led by Norva McGee and Alisa Joseph. Cotillion Latoya Hatchett The 50 th Cotillion is fast approaching. The theme is Now Then and Forever- Legacies and Legends. The list of Debutantes has been shared with the chapter and less than 10% of the chapter has contributed to a Debutante. The minimum contribution is $40.00 per chapter member. This would really help with scholarship for young ladies participating. The next big collection will be held after chapter meeting February 8, 2014. Legacies will be identified in a future communication. The Cotillion will be held Saturday, April 19. It was discussed that DOCF shares the Cotillion report at their executive board meeting. However, there is a concern if this is the audience that needs this information. The MOU indicates that this information will be shared with at the CAC board meeting and it is felt this is the body that needs to hear the budget and expenses. Additionally, it should be shared with the chapter. In the past, it was understood the co-chairs would share the report with the executive board and that has not occurred. This topic will be discussed at the joint DOCF and CAC upcoming meeting. Reminders Social Action and Nominating committee Sorors were reminded to review their section of CAC Policies and Procedures. Recommendations are due February 1, 2014. Should there be any questions please contact your assigned PPP liaison. Also, the call for nominations is open. The due date for applications is Saturday, February 15, not Wednesday, February 15.

Finance Valerie Jackson, Financial Secretary, shared the receipt report for General Operating accounts for the month of December 2013. Mutsa Kemp, Assistance Treasurer, shared the report for Fundraising and SAR accounts for the month of December 2013. The PayPal procedures were shared with the executive board earlier and Soror Kemp asked for questions or concerns prior to submission to Policy and Procedures Committee. Sorors were encouraged to review the documents and share their comments if they have not read or done so already. Michelle Austin, Treasurer, shared the reports for General Operating accounts for the month of December 2013. A budget check up was done December 2013, and the report shows what is remaining in each committee budget. Soror Austin also shared it is time to start the budget process for 2014-2015 and asked that each committee co-chairs to think about their programs for the next program year. Keep in mind this is a transition year, and the process may feel a little different. Committees should think of the programs that are held each year. Finance will share due dates with the committees and will look at how to handle and present to the executive board and the chapter. We should present the budget in the April 2014 chapter meeting. Twenty-eight days notice is required to the chapter for the vote. Unfinished Business None New Business In the communication for the call to Conference, there are request for nominations for Regional Delta Dear of the Year and Alumnae Soror of the Year. The submissions are due in April. Understanding the criteria is important for submission as the award is based to recognize a wellrounded Delta in each category. Membership Services will develop a process and present the executive committee for review on how to gain nominations.

Every Soror has received a Delta Census Survey and is encouraged to complete the survey by February 15, 2014. There may be recognition for chapters with the highest percentage of participation.
