Idaho Unit WBCCI General Membership Meeting August 15, 2015 Pollock, Idaho Meeting was called to order at 10:00A.M. and the Pledge of Allegiance was said. Roll Call, Present: Bill Lawrence -President Michael Archer -First Vice President Mim Davidson -Past President Sharon Lawrence Secretary Earl Brace-Treasurer Charlie Burke -Trustee Lester Schmidt -Trustee Betty Burke -Trustee Duyane Canada Trustee Darrel Ostyn-Caravan Committee Jerry Settle-Columbia Gorge Caravan Leader Also Present Bob Caldwell-Region 10 President Bill Lawrence Introduced Region 10 President Bob Caldwell and First Lady Darlene Caldwell. There were no amendments to the previously submitted agenda and it was approved. Minutes from the April 25, 2015, meeting had been previously distributed via email and the webpage and were approved. Reports of Officers and Committees: Standing Committee Reports 1. Budget. Earl Brace-Treasurer. Earl presented two reports. (1) Income and Expenses: a printout of the checkbook ledger for the calendar year thus far. The Unit is in good shape. The caravan account will be spent in September. The totals reflect $1000 each of the past two years from Airstream Northwest and $500 from Airstream for helping move inventory to the new location. Balance on August 12, 2015: Checking account $ 4217.11 Certificate of Deposit $ 5365.33 Sub Total $ 9582.44 Caravan Account $ 9221.32 Total $18803.76 (2) Business Year Income and expense through August 12, 2015. Income is $2882.78, expenses $900.54. The Unit is $1982.24 ahead for the business year. The year isn t done, for example expenses of the current rally. 1

Earl said we normally break even each year, but this year we are ahead in part due to the additional $500 from Airstream Northwest. This is a cushion for unexpected expenses. Michael Archer added that the Airstream $500 donation is slated for new teardrop flags once the new logo is established. Caravan Committee-Darrell Ostyn, Caravan Committee Chair, asked Columbia Gorge Caravan leader to report on the upcoming caravan. Jerry said the caravan will leave Pendleton, Oregon on September 20, 2015. 14 units are registered not including the Schmidt s who will travel by car. Five units are from California. All reservations have been made. 2. Constitution and By-Laws-Charlie Burke deferred his report until Unfinished Business. 3. Legislation-Charlie Burke reported the Idaho Legislature has imposed a seven cent per gallon gas tax for a fund deficit for road construction, and registration fees are going to rise. 4. Membership-Mim Davidson Mim reported the Unit added four new members. She said she had received about four more requests from Earl (associated with Airstream Northwest paying first year dues). Membership is generally steady; however, 6-8 members did not renew. In response to her reaching out, two new families who purchased Airstreams have joined the Unit. She is sending postcards to all new Airstream buyers. Officer Reports 5. President s Report Bill Lawrence. Bill said this was his last meeting as President. He expressed appreciation to all for the support. He commented International exceeded his expectations and he really enjoyed the experience. 6. Vice President-Michael Archer. Michael said he was pleased there is a full slate of officers for 2016. 7. Secretary-Nothing to Report 8. Trustees-Duyane Canada said he is an outgoing Trustee and appreciated the efforts of all club members over his term. Other Reports and Comments 1. Maureen Ostyn reported on community service projects such as food drives and stuffed animal collection. She asked members to bring household items and baby food for homeless to the Harvest Dinner. 2. Rally Committee-Marilyn Collins. There have been five rallies so far with two more scheduled along with the Columbia George Caravan. Most of the 2016 rallies are scheduled: there will be seven Unit rallies and the Region 10 rally. She mentioned a caravan on the Nez Perce Road, then on to Kalispell with Fonny Davidson as the likely leader. Fonny urged the Unit to continue to include the Utah members and that two rallies are planned for eastern Idaho. 3. Safety-Fonny Davidson. There will continue to be safety briefings at the monthly breakfasts. There was a brief discussion of whether propane refrigerators should be on or off while traveling. This continues to be a matter of mixed opinion. 2

Special Orders 1. Election of 2016 Unit officers. Bill Lawrence presented the 2016 Unit Officer Candidates. President-Michael Archer 1 st Vice President-Fonny Davidson 2 nd Vice President-Peter Goedeking Secretary-Kathleen Archer Treasurer-Earl Brace Trustees-Betty Burke (continuing), Charlie Burke (continuing) Andy Falk, Ben Campbell Jerry Collins moved and Charlie Burke seconded the nominated officers be accepted. The membership unanimously voted the candidates be elected to office for 2016. 2. Region 10 President Bob Caldwell announced the 2016 Region 10 Rally will be held in Kalispell, Montana, during the last week of July and first weekend of August. 3. Presentation of 2014 Superior Merit Award. Bob Caldwell presented the Superior Merit Award to 2014 Unit President, Mim Davidson. 4. Charlie Burke presented Judy Canada a belated Superior Merit Award Certificate. Unfinished Business 1. Mim Davidson -Rally coupon summary. The program offers a rally to new members to attend without paying a rally fee. Once new members have used the coupon they have a reason to attend more rallies. Coupon is working well and being used by new members. Mim updated the membership on the Unit directory progress. Specifically, the back of the directory proper offers lots of technical information. This section is being reorganized so it s easier to use. Tabs will be provided. Mim asked for feedback from members and committee chairs. The new directory will be published in January. 2. The Unit received the $1000 Annual Donation from Airstream Northwest. The Unit also received a $500 donation from Airstream Northwest for assisting the company move inventory to the new location in Caldwell. 3. Bill Lawrence mentioned, based on experience at International where new members were parked on the outer perimeter, the Unit should consider parking first time Unit rally attendees among other, more experienced members so they feel included in the rally. 4. Charlie Burke reported on the Unit Constitution and By-Laws. International requires units review and update their documents every five years. The Idaho Unit review process is complete and approved by International. The Unit By-Laws were approved by the Executive Board, subject to the Constitution being approved by the general membership. The By-Laws were amended to show what we do, not what the existing By-Laws in the appendix indicate. Standing committees were revised to drop those we don t use. Grammar was cleaned up. Article XIII was added to incorporate the new Rally Coupon. Charlie also mentioned there are multiple versions of the documents in circulation. 3

Regarding the Unit Constitution, it must be approved by the general membership. There were minimal changes from the existing constitution. The official Unit Constitution and By-Laws will be posted on the webpage and are attached to the Executive Board meeting held on August 15, 2015. All other earlier versions should be removed and discarded. Jerry Collins moved and Jerry Voigt seconded the Unit Constitution be approved. The motion carried unanimously. 5. Jerry Settle-Dealer Liaison. Jerry said the Unit Brochure was updated two months ago by Kelly Huit. Another version needs to be done, including the Unit rallies. New Business 1. Bob Caldwell briefed the Unit on the International Rally Board of Trustees meetings. A summary of the business items is attached to the Executive Committee minutes of August 15, 2015. Most items dealt with life membership items. A long term planning committee was added and the budget was approved. 2. The new slate of International officers was elected for 2016. They are: President-Jim Schwerdfeger 1 st VP -Richard Girard 2 nd VP -Jim Cocke 3 rd VP - Barry Bell Secretary-Euna Ridenour Treasurer-Richard Turne Nominating Committee Helen Bourgeois Patti Reed 3. The constitutional amendment on Unanimous Consent passed. This applies where there is only one candidate or one motion up for vote. This allows for calling for unanimous consent rather than a roll call vote. 4. The official name of the organization is the Wally Byam Caravan Club International or WBCCI. Ohio law allows the use of fictitious names such as Airstream Club International. The Airstream Company has given permission to use such names. There are about six or eight of them. Many people don t recognize WBCCI, but do recognize club names with Airstream in them. This also benefits new trailer owners getting information on the club. 5. Peggy Campbell-Calling Committee Chair. Peggy said when she calls and says WBCCI, news folks say who. When she says Airstream Club there is immediate recognition. 6. There was discussion of the Unit dues structure, specifically, to prorate the first year dues for new members. It would be beneficial to increase the unit dues from $15 to $16 so the treasurer can deal in even dollars. This matter is left to the Executive Board for further action. 7. Earl Brace-Treasurer. Earl said members can pay their 2016 dues anytime. Members can pay Earl or renew online. 8. New Unit Logo- Michael Archer. A change to update and renew the Unit logo was suggested. Michael will head a committee to work on the project. Committee members also include Kristin Mellish, Calvin Huit, and Cara Goedeking. We need a logo that WBCCI will accept. Any new logo will be voted on by the general membership, and it may go on the Unit flag as that flag is now the Idaho flag. 4

9. Bill Lawrence stated there needs to be a better way for the Unit Officers to distribute information to the general membership as opposed to asking the newsletter editor to do it. Benji Mellish volunteered to figure out a push system. 10. Darlene thanked all volunteers at International and reminded members there are still openings for the Pendleton Roundup Rally. The General Membership meeting was adjourned at 12:00 P.M. 5
