MMA s 21st Annual Winter Conference February 5-6, 2015 Safety + Security in Maryland When you join us this year you will: Network with fellow Mayors and exchange ideas Hear motivational words from The Honorable Ralph Becker, Mayor of Salt Lake City, Utah and incoming National League of Cities Board President (Confirmed) Sit in on workshops about Community Policing and Emergency Preparedness Get the latest information on MML s legislative activities Have an opportunity to educate state legislators on issues important to municipal leaders Attend legislative breakfast Attend a floor session at the State House Meet one-on-one or alongside Mayors from your district with your legislative delegation (these meetings must be coordinated in advance**) Have time with Maryland s new Governor during the annual Mayor s Reception Network and brainstorm within a round table broken down by region Deadlines Hotel Reservations.....January 16 (within MMA block) Pre-Registration. January 23 Registration Changes/Cancellations (for refunds) January 23 Registration Procedure Please send the attached registration form, with payment to: MML, 1212 West Street, Annapolis, MD 21401 Checks must be made payable to: Maryland Mayors Association In order to protect your credit card information, MML will not accept registrations by fax. Online registration is not available, this year. Please submit one form per registrant. Registrations, substitutions and cancellations may not be made by telephone. Payment must accompany the registration form. For your convenience, you may charge registration fees to your VISA, Discover, American Express, or Master Card. Registration Fees This year s conference fee is $140, for dues-paying members of MMA. $60 will be added to the registration fee for any Mayor not yet current on their MMA dues. See roster to determine if your municipality s dues are current. 1

Registration includes: Thursday s continental breakfast & luncheon* Government House reception Friday s legislative breakfast* *NEW THIS YEAR The luncheon and legislative breakfast are working meals. There is no option to add/invite a spouse/companion to these meals. However, spouse/companions ARE still allowed to attend the reception at no additional charge. **NEW THIS YEAR** Changes/Cancellation Policy Registration changes and cancellations must be sent in writing to the MML office by January 23, 2015. No telephone changes/cancellations will be accepted. The cancellation fee is $60; the cancellation deadline is 5:00 p.m. on January 23. After January 23 no money will be refunded. Please contact your hotel to cancel your reservation. MMA is not responsible for hotel reservations or cancellations. If dues were included in the registration fee, eligible refunds will reflect a deduction of the cancellation fee ($60) and the amount of dues ($60). Cancellations requesting a refund will not be honored after January 23. A block of rooms is being held for MMA until January 16, 2015. There is no guarantee on availability or price for any rooms reserved outside of the MMA block or after the deadline. Room rates: Standard Double Room $101 (Standard rate assumes occupancy of one or two guests.) Parking & Transportation The Calvert House offers valet parking for $24.00 per day. Reception Government House (Evening of Feb. 5) The annual Mayors Reception is scheduled to be held at the Government House, 110 State Circle. For many, entry into the Governor s mansion is the highlight of the conference. However, it s also a privilege to hold this event there and there are special restrictions that all attendees must adhere to. All Mayors registered for the Winter Conference are allowed to bring a spouse/companion 2

We must know the full name of your spouse/companion and an address for the official guest list provided to the Governor s staff No last minute additions will be accepted Absolutely no one will be admitted if they are not on the guest list provided to Government House You re welcome to walk to the reception as it is only two blocks from the Governor Calvert House. Due to the close proximity there will be no transportation provided, this year. Legislative Breakfast (Friday, Feb 6) Once again, in an effort to keep all of Friday s legislative activities aligned, we will begin with a legislative breakfast at the hotel. Afterward, all Mayors are asked to walk across the street to the State building to attend a floor session and meet with your delegation. As many legislators are new, it s essential that we have a great turn out to educate our legislators on what s important to Maryland s mayors! Legislative Delegation Meetings (Friday, Feb. 6) One purpose of this conference is to provide you with opportunities to meet with your legislative delegations. Some delegations have very busy agendas so now is the time to start planning a chapter or regional meeting with your local legislators for the morning of Friday, February 7. Please choose someone from your chapter or legislative district to serve as the contact and coordinator for these meetings, so there is no duplication of effort or confusion. Call the office of the delegation chairman to get time on the meeting agenda. The preferred time to schedule the beginning of this activity will be between 8:45 a.m. and 10:00 a.m. About 30 to 40 minutes should be enough time, although you should take what is offered. A lunch meeting may be a convenient opportunity for some of them to meet with you, but these arrangements must be made in advance. 2015 Floor Sessions (Friday, Feb. 6) Please indicate on the registration form whether you plan to attend the Senate floor session or the House floor session. It s imperative that we have strong representation. If there is time to move from one session to the other, please do. Otherwise, please select a primary session to attend and make every effort to show up to the session. The floor session and delegation meetings mark the end of all conference activities. 3
