Minutes NMES PTA Board of Directors Meeting: 09/04/12 Call to Order: President, Ysela Bravo-Schwetje, called The PTA Board of Directors meeting to order at 6:30 pm. Roll Call: Present: Officers Kate Flynn Ann Hodges Bedard Ysela Bravo-Schwetje Mary Porter Committee Chairs Julie Blake Melanie Smith-Bell Tracy Peterson Kim Glynn Kirstin Moyer Amber Deal Anastasia Resnik Other Positions: Cathy Alspaugh Cindy Alvarado PTA Purpose Statement and PTA Mission Statement were made available on the meeting Agenda. PRINCIPAL S REPORT: Cindy Alvarado reported the following: Ø Bra s for cause is in full effect for the entire month of October. There is a drop off box in the office for all donations. Ø Classroom Halloween party: Ø 10/30 for grades 3-5 from 1:25-2:25 Ø 10/31 for grades 1-2 from 9:15-10:15 Ø 10/31 Kindergarten from 12:15-1:15 Ø A letter needs to be sent out to all parents with a list of food that will be at the Halloween party 10 days prior to the party. Ø Another letter needs to be sent home asking parents to donate $3 to help pay for the food and games on the day of the party. Ø All PTA flyers need to be in the teachers mailboxes by Wednesday afternoon. PRESIDENT S REPORT: Ysela Bravo-Schwetje reported the following: Ø Thank you to everyone for their attendance. Ø Reminded everyone that all memos should be proofread by Ysela prior to them being sent out. Ø Asked all committee s to please forward all meeting reports to Mary Porter. 9/27/2013 Page 1

VICE PRESIDENT S REPORT: Kate Flynn reported the following: Ø 60 members. 5 are staff members. Ø PTA membership cards will go home in teacher boxes. Ø Every board member needs to be a PTA member by September 30, 2012. TREASURER S REPORT: Budget was shared (See attached). Treasurer Minutes are attached. SECRETARY REPORT: Nothing to report at this time. COUNTY COUNCIL: Nothing to report at this time. The first County Council meeting will be September 24, 2012.. COMMITTEES: Box Tops: Nothing to report at this time. Campbell s: Nothing to report at this time. Cultural Arts: Ø Applied for the Gladhill grant fund which is $500.00. If we get the grant Mealy s will give us $100. Ø BMX ramp show is in May and we would be doing it with Deer crossing Elementary Directory: Anastasia Resnik reported the following: Ø Directory went out on 10/3. As of 10/4 18 people have ordered hard copies. 482 forms were sent out. Ø Corrections and errors are due on Monday October 8,2012 Ø Final draft will be available the week of October 15th Family Activities: Ø Our Harvest Dance will be on Friday, October 26 in the cafeteria 7-8:30. Costumes are welcome but nothing scary and no weapons. Ø We are planning to do a Holiday Shop again this year but are not going through an organization. We are going to do it ourselves. I have already purchased a lot of stuff last year on clearance after the holidays were over. I have also been putting things my kids have gotten and don't need with our merchandise to sell too. Everything is brand new and NMES PTA will receive every single penny made. We are planning on doing the sale the same as last year. The tentative dates are November the week of November 26. We still need to check to see if we can use the library. We will also need LOTS of help to pull this off. 9/27/2013 Page 2

Fundraising: Tracy Peterson reported the following: Ø Hitting the Track for the Wolf Pack" has been a very fun fundraiser! I would call it a huge success. We have received a tremendous amount of positive feedback from school staff, parents, and students. The school staff and students seem to be excited about making this a tradition, and doing it again next year! Our goal, to make this our only fundraiser was $10,000. That was a very lofty goal- but we have come closer than I ever thought we would. We have brought in just over $8000. We still have one more day of running. I also think that there will be some money trickling in for a couple of weeks. I have received some pledge sheets that note a check is coming in the mail, but hasn't arrived yet. This would never have been possible without the support of all of the staff in the school. The administration and many teachers have been out on the track running with the kids! Mrs. Ewen and Mr. Miller have put in many hours of time and energy figuring out ways to make this possible by rearranging class schedules and coming up with the relay idea! I feel so blessed to be a part of the best school!!! Gift Cards (Scrip): Julie Blake reported the following: Ø Orders for September are significantly down from last year Ø All gift cards that are ordered can be delivered to the teachers mailboxes for delivery. Grocery Receipts: Ø Forms were sent to all families Ø Requesting that we add it to Find Out First with a 10/31 deadline Hospitality: Nothing to report at this time. Newsletter: Melanie Smith-Bell reported the following: Ø Next newsletter will be sent September 20, 2012. Ø Will be adding school events to the calendar. Publicity Coordinator: Nothing to report at this time. Reflections: Kirstin Moyer reported the following: Ø A flier describing the reflections program was sent home to students in Thursday folders- following the youngest and only list in the copy room Ø Ms. Alspaugh forwarded an email copy of the flier to each of the teachers asking that they send the flier home via their class distribution lists- thank you Kate for the great idea Ø The art and music teachers were emailed asking them to help promote the program by talking about it with their students. We gave them copies of the flier to send home with students that were interested in participating. Ø Ms. Siderius added a link for Reflections under the Parents & Students tab on the school home page- thank you again Kate for the great idea Ø Email blurbs have been included in the school and PTA newsletters and are planning to send out a Find Out First, probably sometime next week. 9/27/2013 Page 3

Ø Last week both Kirstin and Cindy watched a Webinar for learning the new online system for Reflections. This will apply to projects that move beyond NMES. Ø People are needed to help judge the projects Spirit Wear: Amber Deal reported the following: Ø Sale starts on 10/11 and all order forms are in the teachers boxes Ø The new design was displayed. Teacher Representative: Catherine Alspaugh shared appreciation for PTA with nothing new to report. Volunteer Coordinator: Plan of Work was read. Ways and Means: Red envelopes will be sent out on 10/22 after Spirit Wear OLD BUSINESS: Nothing to report at this time. NEW BUSINESS: Nothing to report at this time. MOTION 1: was made to adjourn the meeting at 7:40 by Catherine Alspaugh: 2 nd by Amber Deal. The motion was approved by voice vote..
