Located on the front table will be forms entitled, Speaker Request Form. Please fill one out indicating your name and address and the agenda item or topic you wish to discuss. After completing the form, return it to the Assistant Business Administrator. Thank you for your cooperation. I. MEETING CALLED TO ORDER The meeting will be called to order in the Media Center at Roxbury High School. II. EXECUTIVE SESSION The board members will adjourn to Executive Session in the Media Center at Roxbury High School to discuss personnel, student matters, negotiations and matters covered by attorney client privilege. Action may be taken when the Board returns to Public Session. III. IV. ROLL CALL PUBLIC SESSION The Roxbury Township Board of Education is meeting in Workshop Session for discussion on business before the Board tonight. The New Jersey Open Public Meetings Law was enacted to insure the public s right to have advance notice of and to attend meetings of public bodies at which business affecting their interest is discussed or acted upon. This is a three year agreement with a total monthly recurring charge of $11,233.00, and BE IT FURTHER RESOLVED, that the Roxbury Township Board of Education approve a Service Agreement with Lightpath, identified as Account #54662, to purchase services as an MRESC Cooperative member subject to the terms and conditions of the Master Service Agreement (MSA) dated January 12, 2015 as follows: 1. WHEREAS, the Roxbury Township Board of Education awarded a contract for the Rooftop Unit Replacement at Roxbury High School project to Midcoast Mechanical, Inc., 6 Columbia Road, Neptune, NJ in the total contract lump sum of $946,701.00 at the May 5, 2014 board meeting, and WHEREAS, the contract awarded to Midcoast Mechanical, Inc. included an allowance for contingency items in the amount of $10,000, and WHEREAS, unforeseeable physical conditions and/or minor modifications to the project scope have arisen, and: WHEREAS, N.J.A.C. 6A:26-4.9(a)1 permits district boards of education to approve change orders to the contract, and WHEREAS, the following change orders were previously approved by the Board of Education at the July 21, 2014, November 18, 2014 and September 22, 2014 board meetings; *Mt. Change Order Scope Amount Number MMI-01 COP#1 Provide controls for eight rooftop units COP#2 Eliminate RTU 15 and RTU 20 from the scope of the ($34,677.00) project MMI-02 Credit back unspent General Repair Allowance ($10,000.00) Provide and install five new unit ventilators in the science wing at Eisenhower Middle School, as outlined on drawings M-10, M-11, and E-11, all dated July 23, 2014. Scope includes MMI-03 removing five existing units and turning them over to the Owner for storage; modifying existing louver openings; adjusting piping and controls as required; setting and connecting five new units14; and all associated work for a complete installation $116,725.00 NOW THEREFORE IT IS RESOLVED, that the Roxbury Township Board of Education in conjunction with the Board Architect, SSP Architectural Group, approve the following change order to the Rooftop Unit Replacement at Roxbury High School project. The total contingency allowance applied to this item is $0.00. The new contract sum will be increased by this change order in the amount of $23,274.00. The new Contract Sum including this Change Order will be $1,042,023.00. The Contract Time will remain unchanged at November 9, 2014 for the base contract scope of work, and extended to April 24, 2015 for work associated with this change order. Change Order Number MMI-04 Revised Scope Modify scope of work outlined in change order MMI-03, which was to provide and install five new unit ventilators in the science wing at Eisenhower Middle School, as outlined on drawings M-10, M-11, and E- 11, all dated July 23, 2014. Scope remains similar, except utilizing five new Trane unit ventilators with rooftop condensing units. Scope includes cutting and patching of existing roof (currently under warranty). Portions of the scope that remain the same as from change order MMI-03 include removing five existing units and turning them over to the owner for storage; adjusting piping and controls as required; setting and connecting five new units; and all associated work for a complete installation. Original change order MMI-03 was executed in the amount of $116,725.00; the total cost for this revised option is $139,999.00; for a difference of $23,274.00. Amount $23,274.00 *Mt. Proposals were received, opened and read publicly at 10:00 a.m. on Wednesday, March 4, 2015, by the School Business Administrator at the Board of Education Office, 42 North Hillside Avenue, Succasunna, New Jersey as follows: Bidders Arch-Concept construction, Inc. 351 West Clinton Street, Haledon, NJ 07508 Patwood Contracting Corp. 3 Peckman Road, Little Falls, NJ 07424 VMG Group 288 Cox Street, Roselle, NJ 07203 Base Bid $820,000 $738,000 $779,000 RESOLVED, that the Roxbury Township Board of Education in conjunction with the recommendations of the Project Architect, SSP Architectural Group, 1011 Route 22, Suite 203, Bridgewater, NJ 08807, award the proposal for the Phase II Roof Replacement at Eisenhower Middle School to the lowest bidder, Patwood Contracting Corp., 3 Peckman Road, Little Falls, NJ 07424 in the amount of $738,000. The award is being made In accordance with the terms of the Public Contracts Law and pending attorney review. The bid is available for review at the Board Office during regular business hours. 6. A Notice to Contractors for sealed proposals for the Combined Heat & Power Installation at Eisenhower Middle School was advertised in accordance with the provisions of the Public Contracts Law N.J.S.A. 18A:18A-21. RESOLVED, that the Roxbury Board of Education approve the implementation of a new schedule at Eisenhower Middle School beginning September 2015. The new schedule will be approved for 2 school years; 2015/2016 and 2016/2017. BE IT FURTHER RESOLVED, that prior to September 2015 the middle school administration will provide students, staff and parents with information that will facilitate the transition to a new schedule in September 2015. BE IT FURTHER RESOLVED, that during the course of the 2 years the new schedule is in effect, the middle school administration will gather both hard data and subjective information about the effectiveness of the program; this information will include but not be limited to: any increase or decrease in student performance; the number of attendance and disciplinary issues.
