Minutes of the Business Meeting 22 April 2016 Mayo Clinic Conference Center at Assisi Heights Rochester, MN President-elect Jan Braun called the meeting to order at approximately 1:05 pm. Jan asked for a motion from the floor to approve the minutes of the 2015 Fall Business Meeting. A motion and second were made and a voice vote approved the minutes. Mike Lewandowski presented the Secretary/Treasurer s report. Membership is staying steady. There are sufficient new members to make up for members who leave the Chapter. There are two students members who joined the Chapter today. Three other new members were announced. About seventy percent of members have paid dues. Finances are good. In the last couple of years, the cost of meetings has exceeded the income from registration. The charges for rooms and audio visual equipment have really driven up the costs of recent meetings. This meeting s expenses are expected to be much less than from previous meetings so there is expected to be a net profit from the Spring Meeting. We should think about how we should spend some of the money that is in the Chapter s accounts. The Chapter s finances would support paying expenses or honoraria for speakers. Members should suggest potential speakers to the President-elect. Jan presented the Affiliate Report submitted by Jesse Fillmore. There are 10 Affiliate Members. Four members exhibited at the Spring Meeting. Jan thanked the Affiliate Members who exhibited at the meeting. Mike Lewandowski reported on the Radiation Instrument Kit and the other science teacher and student outreach activities. The instrument kit was used three times since the last Chapter meeting, including being in a school right now. Mike noted that the outreach activities by Rob McTaggart and Gary Yarrow have resulted in several requests from South Dakota teachers. As soon as the kit is returned, it will be shipped to a community college in Minnesota. Mike noted that it has been a while since we have participated in a state science teacher meeting. The Chapter can reimburse people for costs associated with going to a science teacher meeting. Mike asked anyone who is interested in participating in a meeting to contact him. There were no applicants for the student science award or the science teacher award. Some Chapter members attended a STEM career fair at New Brighton High School and Mounds View High School. Sam Hays introduced himself as the Chapter Webmaster and encouraged members to visit the web site. Any content that members would like to have posted should be passed along to him. Mike Lewandowski discussed the late election. The ballot is being finalized and will be posted soon. Anyone who needs their user ID and password should contact Mike. Mike noted that serving on the Council is a great opportunity and is a lot of fun. Anyone who might be interested in serving on the Council should contact one of the officers or councilors for more information. Descriptions of the duties of officers and councilors are posted on the web site.

Minutes of the Business Meeting 22 April 2016 Mayo Clinic Conference Center at Assisi Heights Rochester, MN Jan Braun noted that the AAHP has granted 4 CECs for the Spring Meeting. The course number listed on the Business Meeting agenda is incorrect. The correct course number is 2016-04-005. The Fall Meeting will be held in the Twin Cities metro area. Jan asked for volunteers to host the Fall Meeting. Jan mentioned that we are completing the process of incorporating the Chapter. Mike Lewandowski noted that incorporation will provide some legal protection for the officers of the Chapter in the case of any lawsuits. There is no protection provided through the HPS. The risk to Chapter officers is low, but the cost of incorporation is also very low. There is a $70 fee to incorporate, but no annual fees. Jan asked for any other business from the floor. North Central Chapter Affiliate Member Report April 22, 2016 Spring Technical Meeting Jesse Fillmore, Affiliate Coordinator The North Central Chapter of the Health Physics Society (NCCHPS) has 9 active affiliate members for calendar year 2016 generating $225 in annual affiliate dues. A list of the current affiliates is at the bottom of this report. The NCCHPS web site reflects the current affiliate members. Solicitation of affiliate member support for the spring 2016 technical meeting began in February. E-mail contacts of all likely affiliate member exhibitors or sponsors were made. Follow-up telephone calls were made, as necessary, to members that did not respond to the e-mail solicitation. Three affiliate members agreed to exhibit and one agreed to sponsor at the meeting: Landauer, Inc.
