The meeting will occur on Tuesday, October 2, 2018, beginning promptly at 9:00 AM and will be held at the Downtown Detroit Marriott Hotel in the Renaissance Center. A reception will be hosted by President Jones following the meeting. Presidents and Chairpersons should plan to arrive Monday, October 1, 2018, consistent with the travel instructions below. The Sub-Councils that were originally scheduled for September 17-21, 2018 have been cancelled and rescheduled to coincide with the Presidents and Chairpersons meeting. The change of dates is due to the close proximity of the conference dates and to save costs. The Sub-Council meetings will be held at the COBO Center on October 3 rd and 4 th 2018. Consistent with Sub-Council bylaws, delegates from each council will be electing negotiators in preparation for 2019 national bargaining.

The transaction fees for email reservations is $10.00, for telephone transactions $20.00 and for on-line reservations $4.00. Please note in the comments section the purpose of the trip. Other Expenses: All other expenses related to this event (baggage, parking, meals, hotel) are the responsibility of the delegate attending the event, and they should follow normal reimbursement processes provided to them by their local bylaws. 2

We have arranged a special room rate of $134.00 plus 15% tax. Be prepared to provide a credit card number when making your reservations. You will be charged the first night room rate and tax. Please specify that you are attending the UAW National Sub-Council meetings when making your reservations. Hotel Parking: The hotel offers the following parking: Valet parking fee: $35 daily Self-parking $25 per day Off-site parking fee: $5 hourly/$20 daily-self Parking available in Beaubien, Port Atwater (both on Beaubien Street), and Miller garages (Renaissance Drive). Parking costs are the responsibility of the attendees. IMPORTANT: HOTEL CANCELLATION: Attendees with confirmed hotel accommodations who cancel their attendance after 48 hours to check in, will be responsible for all cancellation fees. NO SHOWS: Attendees with confirmed accommodations who do not show up will be responsible for hotel 'no show' charges. ADDITIONAL NIGHTS: Any additional nights in the hotel beyond the authorized dates are the responsibility of the individual attendee as are the costs of any additional rooms and ALL travel costs of companions. If you request late check-out for any reason, you will be responsible for any/all charges. The hotel will charge a fee for each additional person 18 years and older. EARLY CHECK OUT: Early check-out is not encouraged. Any charges incurred will be billed back to the delegate. Dress Code: Due to the nature of the meetings, the dress code is business casual attire. 3
Getting to the meetings at the COBO Center and Renaissance Center: Attendees staying at the Detroit Marriott at the Renaissance Center can walk to the COBO Center or use the Detroit People Mover. Local Attendees-Parking Parking for local attendees will be at COBO Center on the corner of Washington and Congress Streets or the Millennium Garage on Congress Street. Credentials: Please be advised that Credential Forms CANNOT be completed on-line. Delegates must print out form, obtain approval signatures, and send to UAW National Ford Department according to instructions listed on bottom of Credential Form. Credentials for the delegates allocated to your Local Union are in the copy of this letter sent to the Recording Secretary. The original of each credential (WHITE COPY) should be retained by the delegate and presented during registration and the duplicate (YELLOW COPY) should be forwarded to the National Ford Department no later than Monday, September 17, 2018. Representation: The allocation of delegates to the National Ford Council is based on an average of the local s dues-paying membership and is on a different basis than representation to the Sub- Councils. In accordance with the National Ford Council Bylaws, Article I, Section 1, representation to the Council is based on the following: Article 1-National Ford Council The National Ford Council shall be composed of the National Negotiating Committee and delegates elected or selected in the following manner: 100 members or less -- 1 delegate 301 or more -- 2 delegates 1501 or more -- 3 delegates 4001 or more -- 4 delegates 7001 or more -- 5 delegates The president of the local and/or the chairperson of each bargaining unit (if different than the president) shall be the designated delegates. These delegates shall be included in the plant or unit s total delegation, except for the Salaried Units, which are separate. The remainder of the delegates shall be elected or selected by the plant or unit. Designated delegates will be considered as duly elected under the foregoing. The local union bylaws will provide the method of selecting or electing additional delegates. 4
In the event any designated delegate to the National Ford Council should be unable to attend the National Ford Council or should any such delegate be elected to the National Negotiating Committee, the plant or unit affected shall determine the manner and order in which an alternate will replace a regular delegate. The UAW Administrative Letter, Volume 30, Letter No. 5, dated October 19, 1978, is very explicit in its ruling that sending fraternal delegates or guests to council, Sub-Council or conference meetings is not a necessary expenditure under the terms of Article 46, Section 1, of the UAW Constitution.
