3 Finance Committee Report to the Forest Lake Club Managing Committee September 13, 2018 After thorough review of financial documents regarding the capital improvement project, discussions with other Club members and the consultant, attendance at the various town hall meetings, and review of the material during multiple meetings, the Finance Committee is unanimously of the opinion that the proposed financing as set forth in the September 12, 2018 document Capital Improvement Plan Cost and Funding is a reasonable way to finance the proposed capital improvement project described in that document. Additionally, the following points are raised for the Managing Committee s consideration/information: With respect to the proposed increase in initiation fees, we believe it should be noted that financing through the Club is available. With respect to operating costs dues, the Managing Committee should evaluate annually as required by the bylaws, with changes to be voted on by the members at the Annual meeting each December. The proposed increase should be explained in detail at the September meeting. The Finance Committee recognizes that an increase from current levels is warranted. The Finance Committee supports the suggestion that a summary sheet explaining the capital expansion be provided in advance of the September meeting, along with a list of Frequently Asked Questions with answers. These documents should clearly explain all of the finances of the plan: long term financing, assessments, dues, etc. We want all members to know exactly how the plan affects them individually. With respect to long term financing, we think the proposed 10 year term is reasonable and strongly recommend to the Managing Committee that it be a fixed rate. 4 House Committee Report and Recommendation After a series of meetings on site with Kuo Diedrich Architects and Traci Rhoads Interiors, the House Committee unanimously recommends moving forward with their plans for the renovation and redecorating of our Club and facilities. We have thoroughly reviewed available plans and believe that all improvements proposed for our clubhouse can be completed according to the associated budget. Below is a list of areas in the clubhouse that are proposed for renovation which have our approval and endorsement for an affirmative vote at the meeting on October 16th. Foyer: Paint interior and replace acoustical tile ceiling. Card Room: New flooring, paint, replace ceiling tile, light fixtures, and add A/V capabilities. Pink Room: New flooring, paint, replace existing double doors at hallway and lobby with frosted or opaque glass to improve natural lighting, new furnishings and light fixtures as appropriate and add A/V capabilities. Lakeview Room: New flooring, paint, replace sconces, add window treatments, replace ceiling tile and add A/V capabilities. Grill Room: New flooring, paint, new window treatments, and replace tables and chairs. Main Bar: New flooring, paint, new window treatments, new back bar, new furniture and tables. Bathrooms on main level: Renovate as necessary. Ball Room: New flooring, ceiling, window treatments, paint and add A/V capabilities. Corridor from Foyer to Lakeview Room: New paint, ceiling tile as needed, and new lighting. Basement Corridor from Men s Locker Room to Pool Area: New paint, new ceiling and flooring upgrade. Additionally, and without reservation, the House Committee fully supports the proposed new casual dining facility, new Aquatic and competition pool (with the amenities as shown on preliminary plans that were provided to us), and also believe the proposed budget is adequate for their construction. 5 September 13, 2018 Warren, As Chair of the Design, Development & Review Committee, I have formed a committee to review plans for the swimming pools and the casual dining facility. They have given very valuable insight and input into this ongoing design process. The pool design review committee is comprised of members who are regular users of both the competition pool and leisure pool and cover a broad range of ages from parents with young children, adults with no children living at home to grandparents. When the group reviewed the initial design, they made a number of recommendations for design enhancements. These included specific elements of the competition pool such as larger deck space for swim meets and proper depths for competition diving blocks. For the leisure pool the group endorsed abundant shaded areas, zero entry feature and inpool seating elements, but felt the addition of a diving board was very important. We requested some clarification on the pool bar, restrooms, pavilion, outdoor kitchen and fire pit. The pool architect and designers did an excellent job of responding to this feedback and revised the design to take into account the recommendations of the committee. With this latest design, the committee feels very confident that the pools will be enjoyed by a larger group of members in a wider variety of manners. Plus, we feel there will be many more options for special event usage of the pool area of the club in the future. The casual dining design review committee includes club members who are industry experts in both casual dining restaurants and restaurant food sales, club staff and members that represent different age groups. The design feedback has been very positive. In particular, the committee recognizes the strong desire of members with children of all ages to have a comfortable dining option. The space design is open and airy with great views of the lake and pool, and the Committee feels the indoor and outdoor dining options will be excellent. Elements such as booth seating, in addition to the regular tables, included in the design are particularly popular with families, and the ability to open the glass walls during nice weather days will be great. Design refinement will continue with this committee in conjunction with the FLC chef, Food and Beverage Committee and our operations team. The committee feels this will be a very exciting and highly used addition to the club. Both committees have given very thoughtful and high-quality feedback to the design process thus far and in every case the Managing Committee and architects have been very responsive to this input and have adapted the plans accordingly.
