2 Alteration to By-Laws Alteration to By-Laws may only be made in accordance to the Constitution (clause). 1. President a) Is responsible to uphold aims and objectives of the Club. b) Shall preside at all meetings of the Club as hereinafter provided. 2. Vice President/Registrar a) Assist the President and undertake any special duties as allocated by the President. b) The Vice President/Registrar shall be responsible for the registration of all players and advise the Secretary of any players names, addresses, telephone numbers and teams with whom registered and: c) Shall be responsible for the collection and return of all birth certificates and changes in any player s registration details. d) Shall be responsible for the preparation of team sheets for registration with the Association as soon as grading is complete. e) Supply a list of all team members to the Executive Committee. 3. Secretary a) The Secretary of the Club shall be deemed to be the Public Officer, as soon as practicable after being appointed as Secretary, lodge notice with the Club of his or her address. b) Conduct and control all correspondence of the Club, subject to the approval of the Executive Committee and shall preserve all copies of correspondence which shall be available to any meeting when required. c) Supply all Executive members with a list of names, addresses and telephone numbers of all Executive Members. d) Prepare all agendas and papers for meetings of the Executive Committee. e) Prepare the Annual Report and submit it to the Executive Committee for approval before the date of the Annual General Meeting. f) At the end of each year prepare a full report of the Club s activities and forward it to the Secretary, South Newcastle Leagues Club, if required g) Record the minutes of all meetings and forward a copy to the Executive Committee within 14 days. h) Be responsible for keeping Constitution and By-Laws up to date and prepare copies. 2 P a g e

Treasurer It is the duty of the Treasurer of the Club to ensure that: a) All money due to the Club is collected and received and that all payments authorized by the Club are made; b) Correct books and accounts are kept showing the financial affairs of the Club including full detail of all receipts and expenditure connected with the activities of the Club. c) Bank all monies within 7 days of receipt. d) Submit a financial report to each Executive/General meeting of the Club. e) Present an audited balance sheet at the Annual General Meeting. f) Send accounts as required. g) Keep a list of all makes, models, serial numbers, and costs with dates of purchase of machinery. h) Keep a list of all un-financial members. 5. Umpires Convenor The Umpire Convenor shall: a) Chair all meetings of the Umpires Committee, and prepare a report for the Executive/General/Annual General Meetings. b) Be responsible for the organisation of players and members to become umpires and to attend umpires courses. c) To organise umpiring lectures within the Club. d) Keep a record of all badges issued and exam results. 6. Coaching Convenor The Coaching Convenor shall: a) Chair all meetings of the Coaching Committee, and prepare a report for the Executive, General and Annual General Meetings. b) Be responsible for all coaching activities of the Club including organisation of courses and information nights. c) Be responsible in obtaining accredited coaches and managers for all teams. d) Forward to coaches a copy of team sheet. e) Be responsible for informing coaches of courses and literature available. f) Be responsible for ensuring coaches are aware of the Code of Ethics for coaches, managers, players and parents. g) Supply a list of coaches and managers, with phone numbers, of all teams to the Executive Committee 3 P a g e

Grading Convenor The Grading Convenor shall: a) Chair all meetings of the Grading Committee and prepare a report for the Executive, General and Annual General Meetings. b) Collect all information from the registration forms and prepare teams for grading. c) Arrange grading times and dates and notify players and graders. d) Notify Registrar of team allocation as soon as grading is complete. 8. Sub-Junior Team Co-ordinator The Sub-Junior Team Co-ordinator shall: a) Assist the Registrar in the registration of all players in the funnet and sub-junior age groups (up to 9 years) b) Be responsible for the collection and return of all birth certificates (as required) and advise Registrar of any request for changes in player registration details for all players in the indicated age groups c) Co-ordinate team formation for all players in funnet and sub-junior age groups d) Assist the Registrar with data entry and the preparation of team sheets for players and teams for all sub-junior teams 9. Junior/Intermediate Team Co-ordinator The Junior / Intermediate Team Co-ordinator shall: a) Assist the Registrar in the registration of all players in the junior & intermediate age groups (10s to 15 years). b) Be responsible for the collection and return of all birth certificates (as required) and advise Registrar of any request for changes in player registration details for all players in the indicated age groups c) Co-ordinate team formation for all players in the junior and intermediate age groups d) Assist the Registrar with data entry and the preparation of team sheets for players and teams for all junior and intermediate teams 10. Senior Team Co-ordinator The Senior Team Co-ordinator shall: a) Assist the Registrar in the registration of all players in the cadet, 21s, senior & PWD age groups. b) Be responsible for the collection and return of all birth certificates (as required) and advise Registrar of any request for changes in player registration details for all players in the indicated age groups c) Co-ordinate team formation for all players in the cadet/ 21s/ senior (over 16) age and PWD groups 4 P a g e

5 d) Assist the Registrar with data entry and the preparation of team sheets for players and teams for all cadet/ 21/ senior / PWD team 11. Communications Officer The Communications Officer shall: a) Collect information of interest and importance and prepare newsletters to be distributed to club members at regular intervals. b) Be responsible for distribution of newsletters, information letters etc-to all members. 12. Gear Steward The Gear Steward shall: a) Be responsible for the handing out and receiving of all gear (balls, pinnies, coaching aids). b) Be responsible for the maintenance of such gear. c) Be responsible for the collection and refunds of deposits. d) Be responsible for replacing gear when necessary, after liaising with the Treasurer. e) Keep a record of all gear on hand and disposal of same. 13. Social Convenor The Social Secretary shall: a) Chair all meetings of the Social Committee and prepare a report for the Executive, General and Annual General Meetings. b) Be responsible for the Fund Raising activities of the club. c) Be responsible for the preparation of Canteen Rosters and distribution of same. 14. Canteen Roster Supervisor a) Be responsible for the rostering of teams to cover canteen duties as allocated by Newcastle Netball b) Notify teams of canteen rostered canteen duties c) Ensure a Canteen Supervisor is present at all times when rostered by Newcastle Netball 15. Merchandise Co-ordinator a) Shall liaise with uniform suppliers and order uniforms and other club apparel and merchandise, the design and quantities to be determined by the committee. b) Shall be responsible for the sale of uniforms and other club apparel and merchandise both through online and traditional retail methods. c) Shall provide treasurer with receipts and monies arising from club uniform and other merchandise sales. 5 P a g e

6 d) Any further amendments to the constitution and bylaws as required to enable the intent of the motion to be enacted. 16. Committees Persons elected on Committees are not required to attend Executive meetings but come under the direct jurisdiction of their respective Officer. A Junior Committee: May be nominated by the Executive Committee and such Junior Committee: i). ii). iii). iv). Shall, under the care and control of 2 nominated Executive Officers, meet from time to time to bring forward ideas for junior/ intermediate members. The Junior Committee members shall be taught the fundamental rules of running a club. Junior Committee members shall assist with activities of the club. Junior Committee members shall work with Executive members. 17. Registrations a) Player registrations shall close on dates to be fixed by the Executive Committee. b) Players will be notified by mail, or hand. c) Registrations will not be accepted without prescribed payment. d) The Executive Committee may limit player registration numbers dependent on the resources of the Club. 18. Registration Fees Registration fees shall be set by the Executive Committee prior to each season. 19. De-Registration Permission will only be granted after a written application has been made 20. Additional Registrations a) Additional Registrations throughout the year will be accepted but must go through the Registrar. b) Fees for additional registrations will be adjusted taking in time of registration and Association fees at that time. 6 P a g e

7 21. Penalties The Executive Committee shall impose such penalties as it determines to be appropriate in relation to the following: i). ii). Failure to umpire Playing whilst an unregistered player 22. Training a) Teams wishing to use Association court for training must pay the required fee prior to training and must book a court. b) Secretary must be notified of day and times of training. 23. Presentation a) Presentation function venue will be determined from year to year. b) Trophies will be awarded to winning teams and runners-up. c) A presentation will be made to coaches. d) Nominations for Perpetual Trophies will be determined by the Executive Committee each year. Such Trophies being: i). Lorna Curry Service Award. ii). Club Person. iii). Junior Club Person. iv). Junior Coach. v). Junior Sportsperson. 24. Representatives a) A small remuneration as set by the Executive Committee, will be made to Representative Players and Personnel. b) A representative badge will be awarded to each Representative player and Personnel at the Annual Presentation function. 25. By-Laws of the Newcastle Netball Association Inc: The Club shall adopt and be bound by the By-Laws of the NNA Inc. in relation to the conduct of the Newcastle Competition and Representative Programme. 7 P a g e
