2 Utility Billing Posting References The Utility Billing system feeds the General Ledger with A/R transactions when bills are sent out and of course when the payments are received These examples are for Accrual Based Utility Billing and not Cash based We are dealing with 3 LOCiS screens UMC (Misc Charge Setup), USST (Services and Rates Setup) and finally URCS (Cash Application order) First is Miscellaneous Charges Setup (UMC) The REV references are for when the charges are billed and the Cash references are for when the money is collected They should all be similar except the one charge for Deposits The Deposits Charges have liabilities referenced 2

3 Second is Service Rate Setup (USST) The item in green represents the Misc Charge code for your W Service Deposits The rate list box is for when you send out the bills The penalty Rev area is for the billing of Penalties The Rec area is for the collecting of Penalty money 3

4 Lastly is Cash Application Setup (URCS) This program does 3 things - It tells LOCiS which order to collect money in This applies to partial payments - Tells LOCiS which two General Ledger numbers to affect when payment for Services (W, S and R) comes in - Tells LOCiS which two General Ledger numbers to affect when OVER-payments (Unapplied Cash) comes in 4

7 UTILITY BILLING Question: I have added a couple of new U/B accounts and they are not showing up on the Handhelds to read What do I have to do to make them show up? Answer: Go to U/B and U/B Setup, then Route Setup (URN) DO NOT do this process if Handhelds are out being read Choose the route you are working with and put in the Account # and the Sequence # and the Add/ Save Next, Save the Route Now the accounts will show up on the Handhelds Question: I ran my Shut Off Notices and one of my accounts did not show up on the listing but it did print a Shut Off Notice What happened? Answer: When you answered the questions in the Shut Off Notice procedure, you asked to show the Water accounts on the listing The account didn t show because it didn t have Water, it had Refuse only and R wasn t chosen It printed a bill because the criteria was set to send a bill for accounts over $1000 and this account had a balance for $5000 ACCOUNTS PAYABLE Question: Can I change the Vendor ID for an A/P vendor?
