Meeting called to Order and Welcome by the President. 2. To consider the minutes of the last Annual General Meeting. 3. To consider the annual report to be presented by the secretary. 4. To adopt accounts of the association for the year ended on 31 st March 2017 and 31 st march To appoint auditors for ensuring year Elections, if necessary. 7. Declaration of result by returning officer. 8. Induction of new president. 9. Speech of outgoing president. 10. Suggestion by members for improvement in the association. 11. Speech by incoming president. 12. Any other matter with the permission of the chair. 4 SHRI AVINASH KHANDELWAL, FCA has been appointed as returning officer to conduct the elections. The post for which elections will be held as follows: 1. President (One) 2. Vice president (Two) 3. Secretary (One) 4. Joint secretary (Three) 5. Treasurer (One) 6. Joint Treasurer (One) 7. Prachar Prasar Prabhari ( Three) 8. Executive Member ( Three) It has been decided that to cover the cost of elections and expenses incidental thereto, filing fees for the nomination should be charged from the candidates as below. One person can file nominations maximum for 2(two) posts. The following non refundable charges would be charged per nomination filed: Filing fees are as under: For President : Rs. 3000/- For Vice President / secretary/treasurer: RS. 2000/- For other post and executive committee members: RS. 1000/- It has been decided that all those members whose renewal subscription or outstanding dues are not received till 6 th June 2018 would not be eligible to cast their vote in ensuring elections. Members are requested to carry their original identity proof to cast their vote. We have examined the Balance Sheet as at 31 st March, 2017 and the Income & Expenditure Account for the year ended on that date, attached herewith of Chess Parents Association Rajasthan 50, New Rajapark, Shanti Path, Ram Gali No. 8, Jaipur We certify that the Balance Sheet and the Income & Expenditure Account are in agreement with the books of accounts maintained at the office at 50, New Rajapark, Shanti Path, Ram Gali No. 8, Jaipur (A) We report the following observations: - The auditee has adopted the Accrued system of accounting except for petty items which do not have any material impact on the financials of the Association. 1. Fix Assets are recorded at Historical Cost of Acquisition and is stated at acquisition cost less gross depreciation. (B) Subject to above : - (a) We have obtained all the information and explanation which, to the best of our knowledge and belief, were necessary for the purpose of the audit. (b) In our opinion, proper books of accounts have been kept by The Chess Parents Association Rajasthan so far as appears from our examination of the books. (c) Stock of Chess Board is taken as certified by the management of the association. (d) In our opinion and to the best of our information and according to explanations given to us, the said accounts, read with notes thereon, give a true and fair view : - (i) in the case of the Balance Sheet, of the state of the affairs of the (ii) For Shyoji Ram Jat Chartered Accountant assessee as at 31 st March, 2017 in the case of the Income & Expenditure Account, of the Surplus of the Chess Parents Association Rajasthan for the year ended on that date.
