1 Minutes of the 32 nd Annual General Meeting held at 7.30 pm on 25 th April 2014 at Bluebell Room, Singapore Polytechnic Graduates Guild (SPGG), 1010 Dover Road, Singapore Members present at the meeting are listed below. Secretary, Mr Deepak Sawlani, called the meeting to order at 6.45 pm sharp and invited members who were present for dinner. By 7.30 pm, there was quorum as a total of 27 members were present out of a total of 105 eligible voting members who had paid their current dues (2014/15). The quorum was 26%; it met the minimum quorum of 25% of voting members. The President, Dr Uma Maheswaran, then presided over the AGM. 1.2 The President gave a brief overview of the Chapter objectives, operation and the financial status. 1 P a g e

2 One of the major objectives is to provide value to our ASHRAE Singapore Chapter (ASC) members and also to increase ASC membership, as well as the profile of ASC. 6 technical talks, seminars and workshops were organized. It helped to bring members and students together for networking. There were 297 attendants for the technical talks, seminars and workshops and 70 are ASC members. Based on today record, there were 105 ASC members. ASC was collecting Chapter dues through Society s website. In the year 2014, ASC signed an agreement with Singapore Polytechnic Graduates Guild (SPGG) for Corporate Membership. This allows ASC members to obtain SPGG membership and enjoy the facilities in SPGG. This is to enhance the benefits of our ASC membership and was initiated by Er Y P Chee. Er Y P Chee negotiated with SPGG on the membership terms and facilities usage. The Student Activities (SA) Committee created a new Student Zone section in ASC website and a new Facebook Group, ASHRAE Singapore Student Branch to promote student activities and awareness. In summary, the income for 2013/14 was S$53, and the expenditure for 2013/14 was S$53, There was a surplus of S$ Confirmation of Minutes of the 31 th AGM 2.1 The minutes of the 31 st AGM was confirmed with minor amendments. Proposed by : Mr Mitesh Kumar Seconded by : Mr George Sze 3 Matters Arising 3.1 Nil. 4 Hon. Secretary Report 4.1 For the benefit of members who might not have the time to read the Secretary s comprehensive report, the Hon. Secretary gave a brief overview of the Chapter activities for the term 2013/14. Nine BOG meetings were conducted throughout the year (May, July, August, September, October and December 2013 and January, March and April 2014). The Regional Planning Meeting was held in Kaohsiung (Taiwan) on the 1 st to 2 nd June 2013 and was attended by President Dr Uma Maheswaran, President-Elect Mr Matthew Ngan, Mr David Lau and Mr Sunny Tan. Full circle award achieved this year, from contributions made by Office Bearers. The CTTC committee under the guidance of Chairman, Mr Patrick Ho, organized six technical 2 P a g e

3 talks up to March 2014 and there would be two more talks in month of April and May this year. It was a fruitful year for CTTC as new members were recruited during the talks. The Membership Promotion (MP) C ommittee, under the guidance of Mr Henry Yeo, participated in the membership drives during talks, installation dinner, seminars, exhibitions and student/yea nights to promote awareness and closer ties among members. As of 31 st March 2014, there are 328 ASHRAE Society members and 105 ASC members. The Publicity & Publication Committee was chaired by Mr Wong Hsien Loong. Two newsletters were issued in , with the first one issued on 6 th January The second newsletter will be issued in April The Student Activities (SA) Committee, under the guidance of Mr Mitesh Kumar, had a very memorable year of activities in The student committee gave away a total of 7 book prizes during its term to 4 Polytechnics, 2 Universities and 1 Institute of Technical Education (ITE) in Singapore. Research Promotion (RP) C ommittee was chaired by Mr K C Liew. With the help of YEA members, S$1,673 was raised through the RP fund raising during the 31 st Installation Dinner in September The year saw the formation of the new YEA Committee, chaired by Mr Rupesh Iyengar. Mr Rupesh Iyengar was selected by ASHRAE to attend the 2013 ASHRAE Annual Conference in Denver. The Committee also submitted application for YEA award and Mr Rupesh Iyengar secured the award in April Our Chapter Historian, Mr Gadam Sivakumar, conducted a Leadership Recall interview in with Past President Dr. Chandra Sekhar and this will be published in the newsletter to be issued in April Under the guidance of Mr David Lau, our Web Communications Committee actively updated the Chapter s website through posting of upcoming and past events. The newly formed Grassroot Government Affair Committee (GCAC) was chaired by Er Albert Sin. The objectives of GCAC shall be the responsibility for grassroots activities and issues that relate to local, state and provincial government bodies in the areas of interest to ASHRAE members, in order to better coordinate efforts and understanding between ASHRAE grassroots members and local government. ASHRAE Singapore Chapter's 31 st Annual Installation Dinner was held at the Grand Ballroom, Fairmont Hotel on 5 th September 2013 with grand success. There were 70 tables for the dinner, with more than 700 guests from 50 organisations/companies. The Guest of Honour was Er. Ng Eng Kiong, President of Singapore Green Building Council (SGBC). Region XIII CRC meeting was held successfully in Jakarta between 30 th to 31 st August Eleven ASC delegates (President, President-Elect, RP Chair, SA Chair, MP Chair, CTTC Chair, YEA Chair, GGRC Chair and three society officers) with three students represented our team at the CRC. Three society officers Mr Sunny Tan, Mr David Lau and Mr Leong Cheng Wee attended the event. 3 P a g e

4 Our Chapter continued to enhance better understanding and working relationship with the Malaysia Chapter (MASHRAE). The 24 th Bilateral Meeting between ASC and MASHRAE was held in Singapore on 14 th December The Secretary Report was confirmed. Proposed by : Mr David Lau Seconded by: Mr Francis Lee 5 Hon. Treasurer Report 5.1 Mr Muthuraman Palaniappan had presented the income / expenditure for 2013/14 and done a comparison to 2012/13. The income for 2013/14 was S$53, and the expenditure for 2013/14 was S$53,444.45, there was a surplus of S$ The Treasurer s Report was adopted. Proposed by : Mr Henry Yeo Seconded by: Mr David Lau 6 Election of Office Bearers for the term The Nominating committee announced the President-Elect, Mr Matthew Ngan was automatically appointed as the incoming President; and outgoing President Dr Uma Maheswaran was Immediate Past President without the elections. 6.2 Election of President-Elect The nomination for the post of President-Elect was as follows:- 1. Mr Henry Yeo (Candidate nominated by Nominating Committee) As there was no nomination from the floor, Mr David Lau proposed the nomination to be closed and this was seconded by Mr Francis Lee. Mr Henry Yeo was thus declared elected as the President-Elect. 6.3 Election of Honorary Secretary The nomination for the post of Honorary Secretary was as follows:- 1. Mr Rupesh Iyengar (Candidate nominated by Nominating Committee), As there was no nomination from the floor, Mr Francis Lee proposed the nomination to be closed and this was seconded by Mr K C Liew. Mr Rupesh Iyengar was thus elected to the post of Hon. Secretary. 6.4 Election of Honorary Treasurer The nomination for the post of Honorary Treasurer was as follows:- 1. Mr Patrick Ho (Candidate nominated by Nominating committee) As there was no nomination from the floor, Mr Muthuraman Palaniappan proposed the nomination to be closed and this was seconded by Dr Uma Maheswaran. Mr Patrick Ho was thus declared elected as the Hon. Treasurer. 4 P a g e

5 6.5 Election of various Committees Chairs The nominations for various Committee Chairs were as follows:- 1 Publicity & Publication Mr K C Liew (Candidate nominated by Nominating Committee) As there was no other nomination from the floor, Dr Uma Maheswaran proposed the nomination to be closed, seconded by Dr Chandra Sekhar. Mr K C Liew is thus declared elected as Chairman, Publicity & Publication. 2 Chapter Technology Transfer Committee (CTTC) Mr George Xu - (Candidate nominated by Nominating Committee) As there was no other nomination from the floor, Dr Poh Hee Joo proposed the nomination to be closed, seconded by Dr Uma Maheswaran. Mr George Xu is thus declared elected Chairman, CTTC 3 Student Activities Mr Mitesh Kumar - (Candidate nominated by Nominating Committee) As there was no other nomination from the floor, Mr K C Liew proposed the nomination to be closed, seconded by Mr Patrick Ho. Mr Mitesh Kumar is thus declared elected Chairman, Student Activities. 4 Research Promotion Mr Adrian Tan Hong Ngee (Candidate nominated by Nominating Committee) As there was no other nomination from the floor, Mr Muthuraman Palaniappan proposed the nomination to be closed, seconded by Mr Mitesh Kumar. Mr Adrian Tan Hong Ngee is thus declared elected as Chairman, Research Promotion 5 Membership Promotion Mr Muthuraman Palaniappan (Candidate nominated by Nominating Committee) As there was no other nomination from the floor, Dr Chandra Sekhar proposed the nomination to be closed, seconded by Mr Rupesh Iyengar. Mr Muthuraman Palaniappan is thus declared elected as Chairman, Membership Promotion 6.6 Election of Hononary Auditors The nominations for the posts of Honorary Auditor were as follows:- 1. Dr Poh Hee Joo Proposed by: Mr George Sze Seconded by: Mr Henry Yeo As there was no other nomination from the floor, Mr David Lau proposed the nomination to be closed and this was seconded by Mr Matthew Ngan. As there were 2 nominations for 2 positions, there was no balloting. Mr David Edenburn and Dr Poh Hee Joo were thus declared elected as Honorary Auditors. 6.7 Election of Nominating Committee The nominations for Nominating Committee were as follow : 1. Mr Y P Chee Proposer : Mr David Lau Seconded : Mr Francis Lee 2. Mr Sunny Tan Proposer : Mr Norman Lim Seconded : Mr Mathew Ngan 3. Mr George Sze Proposer : Dr Uma Maheswaran Seconded : Mr Rupesh Iyenger 4. Mr Francis Lee Proposer : Er Y P Chee Seconded : Dr Uma Maheswaran 5. Mr Henry Yeo President-Elect ( As per constitution) As there was no other nomination from the floor, Mr David Lau proposed the nomination to be closed and this was seconded by Mr Matthew Ngan. As there were a total of four nominations along with President-Elect for the 5 positions, there was no balloting required. Er Y P Chee, Mr Sunny Tan, Mr George Sze, Mr Francis Lee and Mr Henry Yeo were thus declared elected for the Nominating Committee Election of Nominating Committee Chairman - Upon successful election, the Nominating Committee elected Mr Y P Chee as the Chairman. Mr Y P Chee is thus elected as Chairman, Nominating Committee. 7 Any Other Business 7.1 Address by Incoming President - Mr Matthew Ngan had given a short speech as the incoming president for 2014/15. On behalf of the BOG, he gave thanks to the 2013/14 team for their hard work and contribution to the ASC throughout the year. He called for continuing support from members and well-wishers so that together we can build a stronger ASC. 7.2 As there was no other business, Mr David Lau proposed the meeting to be closed and this was seconded by Mr Henry Yeo. 7.3 The Chairman declared the meeting adjourned at 8.40pm. 6 P a g e
