1 Minutes Oct 8, COSUGI Board Meeting Present: Lynn Bertino (past Chair, chaired this meeting), Lori Berg, Steven Bowers, Sean Farrell Janet Horne (minutes), Natalie Palermo, Karla Smith partial attendance, Kelli Staley, Wanda Vent partial attendance, Frances Orton (Executive Assistant), Berit Nelson (SirsiDynix) Regrets: Angie Strait, Eric Keith (SirsiDynix), David King (SirsiDynix) Call to order Lynn Bertino Lynn called the meeting to order at 2:05 pm Central Time. 1. SirsiDynix Update (Berit Nelson) Berit had sent a written report to the Board prior to the meeting. Highlights included: SirsiDynix plans to have a Director s Day on the day before the conference. COSUGI and SirsiDynix have been in discussion about alternatives to day of coding. Berit reported that a new product roadmap will be posted soon. Changes include delay of work on authority control in favour of completing work on internationalization and localization. Several beta and releases were mentioned along with updates on the various SPPs. There are several upcoming regional users groups in the fall. 2. Approval of the Minutes of the Sept meeting. Executive Assistant Report (Frances Orton) Frances announced that the membership invoices would be going out by the end of the week. 4. Treasurer s Report (Wanda Vent) Treasurer s Report is appended to the minutes. Motion: Approve the Treasurer s Report as circulated. 2 5. Enhancements Report (Natalie Palermo) Enhancement Coordinator s report is appended to the minutes. Natalie continues to work on getting timely updates from SirsiDynix staff. 6. Conference Report (Kelli Staley / Lori Berg) Conference Chair s report is appended to the minutes. Testing of registration went well and registration will open on Monday October The Board discussed the work of the program working group, the conference logo and program designer. Lynn asked if it is time to start working on a contract with the conference planner for the 2016 conference. Someone will followup with Pia. 7. SIG/RUG, Scholarship Committee, Website (Karla Smith) SIG/RUG Karla has some SIG/RUG notices to post. COSUGI website (Steven contributed to this update) Re the COSUGI website, SirsiDynix have sent templates for the working group to review, so the ball is in their court, but Karla needs to confirm how to access the beta site. Sam at SirsiDynix has a list of things to get done on the new site. Steven has offered Sam access to the old site to download content to transfer. Horizon_l searchable archive has been mentioned, but nothing has been heard back yet from SirsiDynix. Scholarship The Board discussed scholarship requirements and criteria for selecting a winner. SirsiDynix will set their own criteria for the scholarship they offer. Motion: I move we get rid of the presentation requirement in the COSUGI scholarship application. Nothing additional to report. 11. President-Elect Report (Sean Farrell) Sean has been investigating the question of a bonus for the conference planner. The Board discussed past practice and expressed a desire to establish a new approach in future. The goal of the new approach would be to have a predictable cost for conference planning and a transparent basis for evaluating performance. Motion: move that a bonus of $2000 be paid to pia for conferenceyar ending 2014 Moved: Sean Farrell, 2 nd : Steven Bowers Passed unanimously 12. 5 Appendix Enhancements Coordinator Report Enhancements Coordinator Report October 2014 A follow-up message to Ranny Lacanienta, Nathan Guinn, and Dallen Christensen about resubmitted enhancement requests was sent on 9/16/2014. No replies were received. A second follow-up message was sent on 9/26/2014 simply stating that silence is not good. Berit Nelson was copied on the message. She replied that she would follow up with them via phone this week. Nathan Guinn sent an update that day for the BookMyne and Enterprise enhancements. After several missed calls, Dallen and I finally spoke on 10/6/2014. There was a misunderstanding about enhancements that we submitted as being done in the BLUEcloud suite only or also in the existing product. I granted him a few more weeks to review the resubmitted ILS enhancements. I will follow-up with him on a weekly basis. 6 Appendix Conference Chair Report Conference Chair Report 10/8/14 5 sessions have been submitted. We need 50 COSUGI member presentations. If you are planning on presenting, please submit early. Remember, you get the presenter discount! Registration for the conference will open next week. (or late this week) The Conference Program Committee met Monday & after that I spoke with Berit. A few members of the committee have had suggestions for sessions they would like to see SD present at the conference. I ve specifically asked the Horizon members on the committee to relay the types of topics they would like to see from SD. Michael Engelbrecht is going to go through past COSUGI books and compile a list of topics that would be worth repeating now. Horizon members on the Board, send me your wish list too. The sooner I can get info to Berit, she can work on presenters from her end. In some cases, sessions will cover both Symphony & Horizon, in other cases, some may be Horizon sessions. Based on committee feedback, I stressed that the points in BC presentations where they say it s a little different for Horizon NEED to cover that info, either in that same presentation or an overall BC Horizon need-to-know session. Berit said there will be appropriate staff in the room for Horizon sessions. (a major conference complaint last year.) I hope the combination of this will make Horizon libraries feel more welcome and included as they should! Symphony members on the Board can send me a wish-list too. Berit & I spoke about API options: Having SD s API people in the Ask SirsiDynix room, and also having a session during the conference that s bring-your-(broken/stuck)-api for help, and also a basic SD API session. The usual presenters who present on API are fantastic---but their huge impressive projects are intimidating to those who aren t as well versed, and there s easy stuff you can do with API as well.
