1 Bylaws of the Lambda Epsilon Chapter of ZETA TAU ALPHA Article I Name This association shall be known as Lambda Epsilon Chapter of Zeta Tau Alpha Fraternity. Article II Object The object of this organization shall be to promote the purpose and program of the Fraternity; to function as a constructive, vital force in the lives of its members; to cooperate with the local alumnae and to serve as a cooperative, active part of the university program. Article III Membership A. New Member any regularly enrolled female student at Indiana University Purdue University at Indianapolis, who identifies and consistently lives as a woman regardless of race, abilities, color, national origin, religion, political affiliation, handicap or age who has met the eligibility requirements set forth in the National Constitution and Bylaws, the national policies (as set forth in the General Manual), the Lambda Epsilon Chapter Bylaws and Indiana University Purdue University at Indianapolis is eligible in Lambda Epsilon Chapter. B. Re-pledge a woman may not be re-pledged for the third semester without the written permission of The Vice President Collegiate. C. Members membership in Lambda Epsilon Chapter may be extended to regularly enrolled college women who meet the standards of the Fraternity and the requirements set forth in the National Constitution and Bylaws. D. Transfers a transferring member of Zeta Tau Alpha may affiliate with the chapter according to the policies and procedures outlined in the General Manual. E. GreekLifeEdu: Completing GreekLifeEdu is a requirement for all initiated members. New members would be given a first deadline by which they must complete the first portion of GreekLifeEdu. Part one must be completed by initiation and part two must be completed by the end of the semester. If any Initiated Member or New Member misses the first deadline social privileges would be revoked until they complete it. New Members must complete GreekLifeEdu by the determined timeline in order to be initiated. F. All members and new members must review and sign the Membership Expectations and Obligations Contract. Each Fall, all returning members are expected to review this policy and initial the contract, prior to any event with alcohol. All members are expected to abide by the contract. Failure to do so may result in judicial action. Section I Chapter Meetings Article IV Meetings There will be a regular meeting (business, ritual or standard) each week during the college year except during finals and vacation periods. 2 A. A simple majority (1/2 +1) of the eligible voting membership shall compose a quorum (2/3) at any regular meeting. B. The right to vote shall be accorded every member and new member who is: present, in good financial standing, good scholastic standing and if initiated, has completed the Post Initiation Lessons. C. Good standing shall be defined as having earned a cumulative GPA of 2.5, be up to date on the payment plan for dues, regularly attending mandatory events and having received 70% (50% for second semester graduating seniors) of points possible. Being in good standing gives members the privilege to attend all social events, as well as vote. D. To remain in good standing, members may not miss more than 2 chapter meetings a semester (unexcused). Excused absences must be submitted on GIN 24 hours before the meeting Section II Executive Committee Meetings A. Executive Committee (EC) meetings shall be held once a week at a regularly scheduled time and place. B. All chapter business must be brought before the Executive Committee before being discussed in chapter meetings. C. More than one unexcused absence from an EC meeting will result in a discussion between the officer, President, and advisor. If unexcused absences continue, judicial papers will be filed. You must submit your absence excuse within 24 hours before or after the EC meeting to the president. If an absence excuse is not submitted, it will count as unexcused. D. If you have more than two unexcused absences, you will be removed from office. Section III Program Council Meetings A. Program Council (PC) meetings shall be held weekly at a regularly scheduled time and place with the VPI-Coordinator of Committees presiding. B. All officers on Program Council (PC) should be required to attend Program Council meetings per discretion of the VP I and Directors should attend every week. C. More than two unexcused absence from a PC meeting will result in a discussion between the officer, VP I, and advisor. If unexcused absences continue, judicial papers will be filed. Section IV New Member Meetings A. New members shall attend chapter meetings. B. New members shall hold a regular weekly meeting under the supervision of the Vice President II, New Member Coordinator and New Member Advisor until their initiation. Section V Ritual A. Scheduled Ritual Ceremonies a. Initiation & Rededication Each individual ceremony missed (unexcused), will result in a $50 fine per round. b. Big/Little Reveal, Formal Pledging, Founder s Day Ceremony, and Installation of Officers The fine will be $50 flat for missing without an excused absence. LAMBDA EPSILON Chapter Bylaws 2

3 B. Post Initiation Lessons Must attend both Post Initiation Lessons meetings to pass. You must pass the written test with 90% and partake in a post initiation interview. If you do not pass Post Initiation Lessons you are not in good standing. C. Ritual Attire. Dresses should be pure white with no metal buttons, sequins, glitter, etc. If a dress is spaghetti strap, strapless, one-shoulder strap, a back cutout or any way revealing, a pure white cardigan must be placed over it. No jewelry except engagement rings or ZTA honor rings should be worn. All white shoes should be worn for Formal Pledging and Big/little reveal. All white socks should be worn for Initiation/Rededication. Shoes need to be dressy; no tennis shoes, crocs, or flip flops. There will be no eating, talking, smoking, drinking, texting or sleeping during ritual. If a person is dismissed from the service due to any of these it will be counted as an unexcused absence and the same consequences will apply. D. There must be NO drinking before or after all rituals. No one should leave during the rituals or disciplinary actions will take place and will be counted as an unexcused absence resulting in a fine. Section VI Recruitment A. Workshops Those that miss more than 1 recruitment workshops and fail to make another workshop up will not be allowed to recruit during that primary recruitment season. Instead, they will attend recruitment and work behind the scenes. B. Primary Recruitment If you are unexcused from Formal Recruitment, you will receive a $50 fine per party. If a member chooses not to abide by set recruitment rules, a member will be asked to leave and be counted as unexcused. Section VII Special Meetings A. Special meetings may be held only when the General Advisor and every member and new member of the chapter has been notified. B. 51% of the eligible voting membership shall compose a quorum at any special meeting. Article V Power and Duties The organization shall exercise all powers usually vested in such a body, provided these do not conflict within the provisions set forth in the National Constitution and Bylaws, the manuals of the Fraternity, the national policies and directives of the Fraternity. The disciplinary powers of the Lambda Epsilon chapter shall be vested in the chapter Judicial Committee. Section I Officers Article VI Officers A. Officers shall be those specified in the National Constitution and Bylaws and in Learn, Know, Lead! ZTA s Guide for the President. B. Elected officers are the Executive Committee and include the following officers: President, First Vice President (Coordinator of Committees), Second Vice President (New Member Coordinator), Third Vice President (Membership Chairman), Recording Secretary, Treasurer, Historian-Reporter, Ritual LAMBDA EPSILON Chapter Bylaws 3

4 Chairman, Panhellenic Delegate, Risk Reduction and Education Chairman and Academic Achievement Chairman. Section II Elections A. Elections shall follow the guidelines as stated in Learn, Know, Lead! ZTA s Guide for the President. B. The Nominating Committee shall be elected with one representative from the freshman, sophomore, junior and senior classes. The General Advisor and outgoing President shall serve as an ex-officio member of the committee. If the outgoing President is running for another Executive position, she will not serve on the committee. C. Those interested in running for any Executive Committee position must turn in an application and interview with the Nominating Committee. Only those who have turned in an application and interviewed with the Nominating Committee may be nominated from the floor during elections. D. The slate of officers shall be submitted by the Nominating Committee to the chapter one week before elections. E. The Nominating Committee shall make a motion to accept the slate of nominated candidates for office. If the slate does not pass by a simple majority vote of the quorum present, nominations will be taken from the floor. Nominees from the floor must have turned in an application and interviewed with the Nominating Committee. Elections will proceed as outlined in Learn, Know, Lead! ZTA s Guide for the President. F. If the slate does not pass, Executive Committee positions will be voted on by an individual basis, beginning with President. Nominations may be taken from the floor for each office at this time. G. The chapter shall sit in alphabetical order and ballots will be used. Ballots will be counted by an advisor and chapter president, if not slated for another position. H. If a vacancy in the office of President occurs, the First Vice President assumes the office. If there is no First Vice President, the Executive Committee, with the approval of the Advisory Board and the Province President/Director of New Chapters, appoints a new President. I. If a vacancy in any other officer or chairmanship occurs, the President, with the approval of the Executive Committee, the General Advisor and the Province President, appoints a replacement. J. Elections shall take place in the fall semester. Section III Qualifications A. To be eligible, a member must meet the qualifications specified in the National Constitution and Bylaws, the General Manual and Learn, Know, Lead! ZTA s Guide for the President. 1. President: The President must be an initiated member for at least 4 semesters and previously served in an Executive Committee office. 2. VP1: The VP1 must have successfully completed at least one year in a Program Council position. 3. VP3: The VP3 must have completed at least one formal recruitment season as an initiated member. B. Executive Committee members must have a 2.75 GPA cumulative to be elected and retain office. Programs Council members must have a 2.7 GPA cumulative, to be elected and retain office. C. Special consideration may be given to those below the minimum GPA requirement if approved in advance by the Province President D. No officer may be elected or retain office while on disciplinary probation with the University and/or Zeta Tau Alpha. LAMBDA EPSILON Chapter Bylaws 4

5 E. If any of the above qualifications are not met, the nomination must be approved by the Province President F. Newly elected Executive Committee officers must attend officer leadership academies, complete online training, if applicable, and Lambda Epsilon Officer Training. Newly appointed Program Council officers must attend Lambda Epsilon Officer Training. Section IV Duties A. The duties of office shall be those usually assigned to such officers in Robert s Rules of Order, Newly Revised and such other duties as are specifically stated in Learn, Know, Lead! ZTA s Guide for the President.. B. Failure to fulfill responsibilities of office will result in disciplinary action: a. First offense is an individual meeting with President and General Advisor, second offense is removal from office. Section V Term of Office A. Officers shall be installed after Officer Education and no later than one month after elections. Officers shall hold office for one year. Section VI - Officer Education A. All old and new Executive Committee Officers and Program Council officers are required to attend an officer transition meeting before the end of the fall semester and before they are officially installed as officers of the chapter, as outlined in Learn, Know, Lead! ZTA s Guide for the President and Live the Mission! ZTA s Guide for the VP I. This is to be planned and conducted by the outgoing President with assistance from other outgoing officers, as needed. B. All incoming EC and PC officers are required to attend an officer training retreat before the spring semester. C. If applicable, those officers are required to attend Officer Leadership Academy. Section I Standing Committees Article VII Standing Committees A. Standing Committees are the appointed officers which comprise the Program Council. These include the following Directors and Chairmen: Director of Activities, Director of Membership Enrichment, Director of Philanthropy, Director of Sisterhood, Director of Social Events, Corresponding Secretary, Apparel Chairman, Intramural Chairman, Special Events Chairman, Fraternity Education Chairman, Service Chairman, Greek Philanthropy Chairman, Think Pink Chairman, Big Man On Campus Chairmen, Alumnae-Collegiate Relations Chairman, Sunshine Chairman, Parent s Events Chairman, Fundraising Treasurer and External Social Chairman. 6 Section II Special Committees A. Additional Committees may be created by the chapter Executive Committee, Program Council and the Advisory Board as the need arises. Section III Qualifications for Office A. To be eligible for Program Council, a member must meet the qualifications specified in the National Constitution and Bylaws, the General Manual and Live the Mission! ZTA s Guide for the VP I. B. Program Council members must have a 2.7 GPA cumulative, to be elected and retain office. C. No officer may be appointed or retain office while on disciplinary probation with the University and/or Zeta Tau Alpha. D. If any of the above qualifications are not met, the appointment must be approved by the Province President E. The BMOC Chairmen must have attended BMOC as a member of Lambda Epsilon and served on a BMOC committee to qualify for the position. F. Failure to fulfill these responsibilities of office will result in disciplinary action: a. Programs Council - First offense you will meet with Vice President I, second offense you will be removed from office. Section IV - Appointment A. Members interested in holding a Program Council position must file an application stating their preferences with the VP I Coordinator of Committees. The outgoing and incoming VP I and incoming President will slate Directors and Chairman with the approval of the General Advisor/ PC Advisor. B. Committees should be appointed within one week of election of officers to allow for participation in Officer Education. Section V Duties A. Duties of the committees shall be those usually assigned to such committees in Robert s Rules of Order, Newly-Revised and such other duties as are specifically stated in Live the Mission! ZTA Guide to VP1 and as determined by the chapter Executive Committee with approval of the Advisory Board and Province President Section VI Term of Office A. Program Council directors, chairmen, and their committees shall assume duties after appointment and shall hold office until next year s election. Section I Advisory Board Article VIII Chapter Advisors A. The chapter advisory board shall consist of a minimum of four alumnae advisors: General, New Member, Membership and Financial. If available, the positions of Program Council, Judicial, Academic, Ritual and BMOC (and any others deemed necessary) Advisors will be filled. LAMBDA EPSILON Chapter Bylaws 6

7 Section II Qualifications A. The General Advisor must secure the approval of the Province President before an alumna may be considered for any chapter advisor position. Section III Election of Advisors A. The election of advisors shall take place from a list of available alumnae supplied by the Executive Committee of the alumnae chapter at the same time as the election of chapter officers, as specified in The General Manual. Advisors must be approved by the Province President prior to appointment. B. If an advisor becomes inactive or resigns, replacement is handled in the same manner. Section IV Duties A. The duties and responsibilities of advisors shall be those stated in the Guide for Advisors. Section V Term of Office A. Election of advisors shall coincide with the chapter election of officers and shall hold office for one year. Section VI Advisory Board Meetings A. Alumnae advisors will meet monthly as a board and also jointly with the Executive Committee and Program Council when possible or necessary. Section I Budgets Article IX Finances A. The chapter shall operate within a budget approved by the National Secretary-Treasurer. Section II Income A. Dues, social fees, and other charges shall be as approved in the annual budget. B. Members must abide by the financial policies as outline in the General Manual C. No member will be permitted to purchase apparel/merchandise if she is not in good financial standing as stated in the Guide to Chapter Finances. Section III Fines A. National fines shall be as imposed by National Officers. B. Local fines for unexcused absences shall be as follows: LAMBDA EPSILON Chapter Bylaws 7

If you signed up for any event but did not attend, you will still be required to pay for the cost of your portion of the event. D. Any additional charges that will be added to monthly dues should be approved by the chapter. E. The events and fines listed above are the only fineable events. Missed events will be billed immediately following the event. National Fraternity policies will be followed with regard to collecting these fees. Any member who is delinquent by the end of the semester in her payment will lose both social and voting privileges until she has met her financial obligations. Section I Points System Article X Attendance and Participation A. A points system shall be maintained to monitor and ensure active participation in chapter activities. Section II Accumulation of Points A. Points will be accumulated, totaled and posted on a monthly basis by the Recording Secretary or Points Chairman. B. Both members and new members must maintain at least 80% of the total monthly points in order to remain in good standing. (Second semester seniors 50%) C. Failure to comply with the minimum amount of points will result in action taken by the Judicial Committee. The member will no longer be in good standing and therefore lose her social privileges and voting privileges. Section III Participation A. Mandatory events are considered finable and are outlined in Article IX, Section III. Mandatory events must be announced 3-4 weeks prior to the event. B. Excuses for mandatory events must be submitted to the Recording Secretary on GIN 24 hours in advance of the event. C. Excused absences include major tests, severe illness with a doctor s note, classes, death in the family, band or varsity practice, internships, or if a member must attend a function of a major outside organization in order to remain in good standing with that organization. 9 absence unless it is towards a future career and is for seniors only. They must still provide evident documentation. Please plan accordingly. D. Members who have been fined may appeal the fine in writing to the General Advisor, who will in turn, submit in writing approval or denial of such request. E. All members can appeal missing points and provide explanation via the GIN System. Appeals will be reviewed and confirmed by the Recording Secretary. F. All members are required to be active in at least one outside and inside organization. G. All members are required to have 5 service hours completed each semester, and must be submitted to the Service Chairman. a. If you miss two semesters of service hours, you will be put on social probation until you make 15 hours up. Article XII Academic Achievement Section I Academic Probation A. Tier 1: Below a GPA semester or cumulative a. Members will be required to do a midterm check to see where your grades are during midterms. These midterm checks will be submitted to the AACH. b. Members will also complete 1 Z-Learning online workshop before the midterm check and if grades are still under a after the midterm check, another Z-Learning online workshop completion will be required. B. Tier 2: Below a GPA semester or cumulative a. Members will be required to do a midterm check to see where your grades are during midterms. These midterm checks will be submitted to the AACH. b. Members will also complete 1 Z-Learning online workshop before midterm check and if grades are still under a after midterm check, another Z-Learning online workshop completion will be required. c. Applications and grade checks are required to attend/ participate in the following events and will be voted on by Executive Committee: i. Ability to become a big sister ii. Formal d. Anyone falling in Tier 2 will be allowed to attend/ participate in the following events without an application: i. Sisterhoods ii. Philanthropy/ Service Events iii. Mixers iv. Chapter Meetings v. Panhellenic Events vi. Campus Events vii. Chapter Retreats viii. Rituals ix. Committees x. Chapter Voting e. Application Criteria: Application must be presented to every member of EC anonymously and a simple majority vote will rule. Application must be submitted directly to AACH. Applications submitted to the AACH will include: i. Applicants name ii. Event applying for LAMBDA EPSILON Chapter Bylaws 9

10 1. Application must be submitted and voted on 2 weeks prior iii. Credit hours taking this semester iv. Completed Z-Learning workshop v. Screenshot of current grades from Canvas vi. Goals for grades and GPA this semester and how you will achieve them C. Tier 3: Below a GPA semester or cumulative a. Midterm check b. Complete 1 Z-Learning online workshop before midterm check and if grades are still under a after midterm check then complete another Z-Learning online workshop. c. Anyone falling in Tier 3 will not be allowed to attend/ participate in: i. Ability to become a big sister ii. Formal iii. Chapter Voting d. Anyone falling in Tier 3 will be allowed to attend/ participate in the following events: i. Sisterhoods ii. Philanthropy/ Service Events iii. Mixers iv. Chapter Meetings v. Panhellenic Events vi. Campus Events vii. Chapter Retreats viii. Rituals ix. Committees D. If these guidelines are not followed, judicial paperwork will be filed. E. Grade replacements: Grade replacements will be based off of IUPUI s policies and will be used to replace your GPA and remove you from any tier if applicable. F. Academic Expulsion: If any member is at or under a GPA semester or cumulative for 3 consecutive semesters, she will be academic expelled from Lambda Epsilon. Article XIII Social Media Regulations A. ALL social media platforms in which members own and manage; including but not limited to: Instagram, Twitter, Facebook, Venmo, VSCO, Snapchat, Personal Blogs and tagged photos/locations, may NOT depict: a. Alcohol consumption or possession if under the age of 21 b. Illicit drug consumption or possession c. Sexually suggestive or vulgar behaviors B. Profiles of a Zeta are NOT to include: a. Profanity b. Discussion of alcohol consumption or possession c. Discussion of drug consumption or possession d. Discussion with sexual content e. Negative discussion about members or other members of Greek life C. NO representation of Zeta Tau Alpha involving those manners listed above. D. Failure to abide by online website regulations will result in a12 hour warning to remove a picture/inappropriate material. If you fail to abide by these regulations past the 12 hours there will be grounds for Judicial. LAMBDA EPSILON Chapter Bylaws 10

11 a. Any member who believes you did not abide by these regulations are allowed to comment CC, which means Crooked Crown. This means you will be required to remove the material within the 12 hours listed above. Section I Behavior Article XIV Socials All members must conduct themselves in a manner consistent with all standards, regulations, and values of Zeta Tau Alpha. If any ZTA member is found not upholding these morals at any ZTA function/event, the following will result: A. The first time a member is seen conducting herself in a manner not becoming of ZTA policies, an EC officer or Sober Monitor will give her a verbal warning. B. The second time, at the same social, a member is seen conducting herself in a manner not becoming of ZTA policies, an EC officer or Sober Monitor will give her a verbal warning, go home with a sober monitor, and she will be subject to judicial charges. C. Any ZTA member that brings a guest to a social is fully responsible for that guest s actions and behaviors and may be subject to judicial proceedings. D. If the President, Risk Reduction, Social Chair or Sober Monitor are not sober at formal they could be sent to Judicial. Section II- Sober Monitor Policy A. There will be 1 sober monitor per every guests at a social involving alcohol. B. Every member of Lambda Epsilon will be required to be a sober monitor at least once while they are in the chapter. C. The record of sober monitors will be kept and passed down from the Director of Social Events each year. D. All sober monitors are required to be sober and perform responsibilities assigned to them or they will be sent to judicial and their time as a sober monitor will not count. Article XV Procedures All matters of procedure not covered by these Bylaws shall be governed by Robert s Rules of Order, Newly Revised. Article XVI Amendments These Bylaws may be amended by a 2/3 vote of the membership provided the proposed amendments were presented at the previous meeting and previously approved by the Province President/ Bylaws should be revised every 2 years. 12 POINTS SUPPLEMENT TO BYLAWS OF LAMBDA EPSILON CHAPTER OF ZETA TAU ALPHA The Points System is utilized to encourage attendance, reward members who are active participants and penalize those members who miss events in areas where monetary fines are inapplicable. Points can be earned through Primary and Secondary Points, explained below. Primary and Secondary Points-An event cannot be counted as primary points unless it is listed on the calendar at least two weeks before taking place. In such cases where the event is not on the calendar two weeks ahead of time, it will be considered secondary points. Primary points count toward the 70 percent each member must attain each month. Secondary points are additional percentage points and can make up for missed events. Personal Points Base- Each member will begin each month with a personal points base. The purpose of this is to give those members with good grades and campus involvement a head start on accumulating points and thereby encouraging all members to strive for success in these areas in addition to their involvement in Zeta Tau Alpha. Personal Base Points: 1. Cumulative GPA (given each month, part of the personal base) points points point points 2. 13 Rho Gamma 2 points To remain in good standing, a member must accumulate 70% (second semester seniors 50%) of available points for that month. Personal base points and secondary points count toward the accumulation of the 70%. EC may change the amount of points required to attend functions. Absences/Excuses- Absences include major tests, severe illness with a doctor s note, classes, death in the family, band or varsity practice, or if a member must attend a function of a major outside organization in order to remain in good standing with that organization. In these cases, the member will receive points if they give a written excuse notice at least 24 hours in advance to the Recording Secretary. In the case LAMBDA EPSILON Chapter Bylaws 13

14 where the member will miss a chapter meeting, she must give notice to the Recording Secretary and, in accordance with the chapter bylaws, must the recording secretary with the major events going on for that week within 24 hours of that chapter meeting to receive points for that chapter. Point Totals 1. Each month member s participation shall be determined by their personal base points, primary points for that month, and secondary points for that month.
