2 A Turn-by-Turn Road Map to Working with PR/Marketing and Creative Services Ministry completes PR/Marketing Request 180 days (6 months) prior to event. The PR/Marketing request is now part of the Calendar Request Form. You will find the services for PR / Marketing listed in Step 3 of the form, the last selection. II. PR/Marketing Director acknowledges request and assigns PR/Marketing Project Manager/Liaison III. Project Manager/Liaison contacts Ministry IV. Project Manager/Liaison and Ministry establish Ministry Point of Contact V. Project Manager attends Planning Session with Ministry Leadership VI. Project Manager/Liaison and Ministry develop Marketing Plan based upon needs/requests of Ministry (Marketing Plan includes Needs/Requests of the Ministry with a Timeline) VII. Project Manager/Liaison executive plan based upon requests and timeline developed. VIII. PR/Marketing Director assigns tasks based upon Marketing Plan. PR/Marketing is responsible for writing and posting website articles. PR/Marketing is responsible for writing and submitting press releases. PR/Marketing is responsible for ensuring marketing tool with content is provided for Creative Services. IX. Project Manager/Liaison execute plan based upon requests and timeline developed (PR/Marketing Director provides assistance to ensure deadlines and guidelines are met.) X. Creative Services develops design brief and outlines project based upon Marketing Plan. Creative Services is responsible for developing graphics and marketing tools as outlined in the Marketing Tool Matrix. XI. All Marketing tools will be submitted to Ministry for final approval prior to distribution, printing, and/or announcing. I. The church has experienced blessings at the next level. 3 EVENT TIMELINE 180 DAYS/6 Months (Prior to the Event) Ministry meets with Pastor Black to confirm the vision and activities of the event. Ministry meets with Finance to confirm budget. Ministry completes PR/Marketing Request via the Calendar Request Form Within 48 hours of online submission of form, PR/Marketing Director acknowledges form and assigns PR/Marketing Project Manager Within seven days of the online submission form, the Project Manager contacts ministry to arrange a meeting to develop Marketing Plan. The Ministry is responsible for setting meeting date and securing room for meeting. Project Manager attends meeting to assist ministry with its marketing needs DAYS/3 Months (Prior to the Event) Ministry submits Event Approval Form to Church Administrator. PR/Marketing Director and Creative Services Director will assign team members according to plan. The Marketing Plan is developed and submitted to the PR/Marketing Director and Creative Services; content for marketing tools submitted with plan DAYS/2 Months (Prior to the Event) PR/Marketing & Creative Services Marketing Tools are submitted to Ministry for approval; Event design submitted by Created Services Ministry approves design and marketing tools Ministry records Promo and Commercial for TV Broadcast and BNN Press Release submitted to media outlet MINISTRY Pastor Black and/or Ministry Leaders meet with ministry to present event First blast sent to ministry Internal communication disseminated to ministry DAYS (Prior to the Event) Printing proofs are sent for internal/external printing DAYS (Prior to the Event) Marketing Tools distributed to the congregation. Announcements made to the congregation via BNN Promo. Subsequent announcements are made as announcements until two weeks prior to the event. Black, Pastor Planning Council Presentation PR/Marketing WORKING WITH CREATIVE SERVICES A Brief Review The Creative Services Director is responsible for determining the best ways to visually represent the identity of Beulah, its ministries, and members in print as well as online. Creative Services is responsible for the creation and supervision of all graphic design work for the church. SUBMISSION REQUIREMENTS FOR DESIGN AND PRINT Design and production for each request will be in accordance with the outlined schedule for Please allow sufficient time for design and production. For major projects and annual days, your theme and initial design request should be submitted along with your Marketing Plan. All programs must be submitted to the church program committee (pc@beulahbaptist.org) in accordance with the schedule as outlined in the Program Committee handbook. The program committee is solely responsible for submitting your final program with approved content to creative services. At least 7-10 days is required for design and layout. However, the production schedule is dependent upon the complexity of your project and other projects that may be in progress at the time. Creative Services will work diligently with marketing and the project managers to maintain timelines and manage expectations. SUBMITTING PHOTOS Photos should be submitted via disc, or hard copy. If you are ing photos, please make sure they are at least 300dpi (high resolution). If you are uncertain of photo quality, you may deliver the photo to Creative Services for scanning and it will be returned to you after the program has printed. 6 The Beulah News Network BeulahNews BeulahNews is an extension of pastoral emphasis. BeulahNews is the weekly five-minute newscast that announces the events and activities of the ministries of the church. BeulahNews General Submission BeulahNews announcements should be included in the Ministry s Marketing Plan. Once the Marketing Plan is developed, the announcements will be placed on the BeulahNews Schedule according to the Marketing Plan timeline. The content of the announcement should be included in the Marketing Plan. If not, the content must be sent two weeks prior to the desired air date. The Project Manager or a Ministry Representative may submit the announcement. Announcements not a part of a marketing plan should be submitted two weeks prior to the desired air date. Announcement should be submitted to at chightower@bellsouth.net. BeulahNews reserves the right to edit announcements. BeulahNews 2013 Schedule Non Registration Events An Event Promo will air a month prior to the event. News anchors will announce the event the subsequent week. An Event Promo by the Ministry will air two weeks prior to the event. New anchors will announce the event the week prior to the event. Events with Registration Ministry Promo will air the week prior and the week of the start date of registration. The registration will be mentioned by the news anchors until a month prior to the event. The event will then be announced according to the above schedule. An Event Promo should be written, designed, and recorded for :30 second air time. It should also be written and recorded so it may be edited.
