1 Holy Spirit Athletic Association Constitution Article I - Title This organization shall be known as the "Holy Spirit Athletic Association." Article II - Purpose The general aim of the Holy Spirit Athletic Association (henceforth to be called the Association) is to help a boy or girl become an ideal youth firmly loyal to God, Parish, and Community; physically fit, mentally alert, and morally sound. The Constitution of the Association is a sincere effort to promote good sportsmanship, respect for rules, and self-discipline among the contestants. With the help of God, may the Association serve as a medium for Catholic action. We ask God's blessing upon the Association and its members. Article III - Sponsor and Patron The Sponsor of the Association is the Parish Family of Holy Spirit; the Patrons of the Association are St. Blaise, Bishop and Martyr, and St. Lawrence the Martyr. Article IV - General Policies Section 1: In matters of rule interpretation, the current Constitution and By-Laws of the Archdiocesan CYC shall always take preference. Section 2: The Official Colors of the Association shall be red, white, and navy blue with the only exception being the shorts that the team wears. All old uniforms may be phased out, on a wear-out basis. Jersey style and fabric alterations are subject to approval by the Executive Board. A. Baseball, softball, and volleyball jersey/shirt: 1. Short sleeve, red shirts with optional white or navy blue trim. 2. Parish name and/or Holy Spirit Athletic Association dove logo on left chest on front of shirt, with 6-inch numbers on the back. Four-inch numbers may be printed on the front. Parish name, logo, and numbers to be in navy blue. Additional markings, other than manufacturer s logo, are prohibited. B. Baseball and Softball pants will be white, gray or navy blue. Additional markings, other than manufacturer s logo, are prohibited. C. Basketball jersey/shirt: 1. Shirts same as paragraph A, subparagraphs 1 and 2 above. 2. Jerseys Reversible, white on one side, red on the flip side. Parish name with optional Holy Spirit Athletic Association dove logo across front with 6-inch numbers using only digits 0-5 on the back in navy blue. Digits 6-9 are not used due to referees using hands to indicate player number when calling a foul. Additional markings, other than manufacturer s

2 logo, are prohibited. D. Basketball, softball and volleyball shorts: Each team will wear the same predominant short color, which shall be red, navy blue, black or white as determined by the manager; unless otherwise provided by the athletic association. E. Hats and visors will be navy blue and feature HS on the front in gold stitch lettering. F. Soccer Uniform: 1. Jersey: Short sleeve red with navy blue trim or short sleeve white with red trim. 2. Parish name and/or Holy Spirit Athletic Association dove logo on left chest on front of shirt, with 6-inch numbers on the back. Four-inch numbers may be printed on the front. Parish name, logo, and numbers to be in navy blue or red. Optional child s first or last name on back above number. 3. Goalie jersey shall be any color other than the color the team is wearing for said game. Optional parish name and/or Holy Spirit Athletic Association dove logo on left chest on front of shirt, with 6-inch numbers on the back. Four-inch numbers may be printed on the front. 4. Shorts: Each team will wear the same predominant short color, which shall be red, navy blue, or white as determined by the manager. 5. Soccer socks will be navy blue, red or white as determined by the manager. Section 3: In the spirit of Article II, no team on the grade school level shall be made up of the best players in order to produce a winning team. Section 4: As lay leaders, managers and coaches have the responsibility of setting good examples for their youth to follow. They shall guide the youth in accordance with Catholic principles and the purpose of the Archdiocesan CYC, which is primarily dedicated to the formation of character and leadership. Winning games is of secondary importance. Article V - Membership Section 1: All residents within geographical boundaries and/or registered members of Holy Spirit Parish are eligible for membership in the Association. A. Registered players who move out of the boundaries may remain a member for one year, not to repeat a sport which player participated either fully or partially. Section 2: To be eligible to vote for the election of officers or any change to the Constitution or By-Laws, a member must have attended a total of 4 meetings during the last 12-month period. Attendance record maintained by the Recording Secretary of the Association shall be the determinant in question of attendance at required meetings. Article VI - Officers Section 1: The Executive Board of the Association shall consist of the following: five (5) duly elected officers; to wit, President, Vice President, Recording Secretary, Corresponding Secretary, and Treasurer; the Priest Moderator, and the CYC Representative.

3 Section 2: Duties of the Board Members: A. The President shall preside at all meetings, preserve order, and enforce obedience to the Constitution and By-Laws of the Association; be empowered to appoint, with the approval of the Executive Board, all Sports Commissioners, the CYC Representative, and any Chairmen of a Committee (exception: Grievance Committee in which the President does not require approval of the Executive Board). Ex-officio, the President has the privilege of attending meeting of any duly appointed Committee (except any and all proceedings of a Grievance Committee). President will also prepare the meeting agenda. B. Vice President shall assist the President, and in his/her absence, carry out the duties of the President. C. Recording Secretary shall record the minutes of the monthly meeting and keep a permanent record of the same. Attendance records shall also be maintained and a voting eligibility roster available at monthly meetings. Recording Secretary shall make changes to the Constitution and By-Law documents, maintain a history of changes made, and notify the Corresponding Secretary of changes so that he/she can inform the Webmaster of required updates. D. Corresponding Secretary will handle all necessary correspondence of the Association. E. Treasurer shall deposit all funds in the bank in the name of the Association; keep a permanent record of the Association's deposits and expenditures; be empowered to co-sign with the President or Vice President on checks; report the Association's financial status at the monthly meeting; and be a member of all Registration Committees. F. Priest Moderator shall provide Spiritual Direction for the Association. In keeping with the spirit of Article I, the Priest Moderator has the privilege of attending the meetings of any appointed Committee, with the exception of any and all proceedings of a Grievance Committee. G. CYC Representative shall represent the Association on the District and/or Diocesan level of the CYC; can, without the approval of the Association, or a duly appointed alternate vote at said level; shall be a consultant to all Registration committees; and can, with the consent of the Executive Board, be re-appointed to successive terms by the President. Section 3: All members of the Executive Board shall meet a minimum of two (2) times as needed in an Executive Session during the calendar year. Section 4: No officer shall appoint him/herself or an Executive Board member as a Chairman of any committee, or be a member of any Grievance Committee. Article VII - Finances The Association shall derive operating expenses from Registration fees, social functions, concession stand revenue, and any other sources recommended by the duly appointed Ways and Means Committee (Art. VI, Sec. 2A and Art. IX, Sec. A).

4 Section 1: The Board will make no non-budget expenditures of more than $500.00, excluding CYC league fees and trophies, without the approval of a simple majority of the Athletic Association members at a monthly meeting. Article VIII - Elections Section 1: Annual elections of the Association shall be held in November. Section 2: Nomination shall be obtained by: A. A duly appointed Nomination Committee (Art VI, Sec. 2A). B. Nominations from the floor at the November meeting. Section 3: Officers shall be elected by a majority of eligible members (Art V, Sec. 2) at the November meeting; in case there is only one (1) nominee for an office, the acclamation of eligible members will suffice for election. Section 4: Elected officers may succeed themselves in office for one (1) term only. Section 5: Vacancies occurring three (3) months prior to the regular election shall be filled by appointment of the Executive Board; all other vacancies shall be filled via regular election process at the following meeting. Section 6: Elected officers shall take office on the first (1st day) of December. Article IX - Committees Section 1: All committees and their chairmen shall be appointed by the President (Art VI, Sec. 2A) and are empowered to establish Board-approved practices and procedures to fulfill the committees objectives. Section 2: Duties of the Committees: A. Publicity - shall provide all advertisement for the Association. B. Equipment - shall purchase and issue all sports equipment to teams as needed; shall see that all equipment is returned at the end of each sport season. C. Ways and Means - shall provide for the financial needs of the Association. D. Field - shall be responsible only for field preparations necessary for a particular sport. NOTE: Since the Athletic Field is the sole property of the Blazer Club, any improvements and/or renovations of a major and/or permanent nature must be referred to said Club and its membership for consideration; said Club shall have the final vote on such matters. The

5 Association assumes full responsibility for any temporary improvements (e.g. dirt and sand-fill, grass cutting, etc.). E. Concession Stand - shall be responsible for the maintenance of all food and drink supplies necessary to operate said stand. Any improvements, renovations or additions involving the Concession Stand and/or the Blazer Building must be referred to the Blazer Club and its membership for consideration; said Club shall have the final vote on such matters. F. Points - shall be responsible for maintaining records of the "Point System" adopted by this Association and for assigning teams to provide workers for concession stand and field maintenance work as required. G. Grievance - shall be Ad Hoc Committee for the hearing of a grievance, consisting of no less than three (3) and no more than five (5) members of the Association duly appointed by the President (Art VI, Sec. 2A). This committee is to act as an arbitrator, and its decision shall be considered final. Any and all grievances must be submitted regarding the alleged infraction; the Grievance Committee shall begin hearings within three (3) days after the receipt of a grievance. H. Registration - an Ad Hoc Committee for each sport, consisting of a Commissioner, Co- Commissioner (if necessary), the Sports Commissioner, the Treasurer of the Association, and, for the purpose of clarification and/or consultation, the CYC Representative. Committee shall be empowered to handle any and all matters covered in Rule II - Registrations. I. Nominations - an Ad Hoc Committee to handle yearly elections. Article X - Robert's Rules of Order The various functions of all Committees shall be described in "Robert's Rules of Order." When these rules conflict with the Constitution and By-Laws of the Association, the LATTER shall govern. Article XI - Proviso By-Laws and Rules not conflicting herewith may be adopted by the Association to facilitate the carrying out the Constitution. Article XII Any Article in this Constitution and By-Laws may be amended, altered, or repealed by a twothirds (2/3) majority vote of the eligible members present at any regular meeting, said change having been submitted in writing to the Recording Secretary and duly read at a previous meeting.
