1 Annual Convention Planning Committee Member Characteristics and Qualifications 1. Must have been an active member in good standing of the National Society during one (1) term prior to appointment. 2. Must demonstrate a working knowledge of the Society s operating policies and procedures. 3. Must demonstrate familiarity with the NSBE Convention. 4. Must attend all regularly scheduled committee meetings, the 2015 and 2016 National Convention. 5. Must be able to fulfill all position duties. 6. Must maintain contact with the CPC Chair and committee to ensure viability and productivity. 7. Must be able to allow others space for leadership and decision-making. 8. Must perform assigned tasks in a timely manner to facilitate the orderly progression of convention planning. 9. Must be dependable and dedicated. 10. Must be self-motivated and an independent worker. 11. Must be a strategic thinker while being both detail- and result-oriented. 12. Must be able to work with various demographic levels and needs. 13. Must be aware of own personal limitations. 14. Must strive to possess and maintain a positive perspective. 15. Must be committed to his/her position from the time of appointment until May 1, 2016.

3 POSITION DESCRIPTIONS CPC Structure Administrative Team shall be led by the CPC Chairperson and include the Vice Chairperson, Treasurer, and Programs Chair. Members of this team shall oversee all other teams. The following descriptions represent general duties of the various Convention Planning Committee (CPC) positions. However, these descriptions are just snapshots and do not completely represent the true nature of each position as additional duties may be required of each position as Convention plans materialize. A. CPC Vice Chairperson a. Shall preside over the CPC Meetings and other appropriate functions in the absence of the CPC Chairperson. b. Shall assist with the implementation of national projects and programs at Annual Convention. c. Shall develop and finalize the CPC meeting agendas. d. Shall coordinate and evaluate intra-board communications. e. Shall produce an official Transition Report at the close of the term of office. B. CPC Treasurer a. Shall maintain the committee s financial accounts. b. Shall determine, with the National Treasurer, the allocation of the convention budget. c. Shall work with the CPC Chairperson to design an Annual Convention Budget. d. Shall chair the finance team and provide finance team progress reports to the CPC Chairperson. e. Shall be responsible for all committee transportation to planning meetings, not specifically designated to other committee members or the NEB. f. Shall work with WHQ, R&A and CPC Chair to evaluate all agenda facility placements using Facility Request Forms. g. Shall coordinate with the transportation vendor for general shuttle transportation, subject to approval of the CPC Chairperson and the CPC Taskforce. h. Shall produce an official Transition Report at the close of the term of office. C. CPC Programs Chair a. Shall be responsible for all Annual Convention facilities, not specifically designated to other committee members or the NEB. b. Shall chair the Operations Team and present progress reports to the CPC Chairperson. c. Shall coordinate the locations for all content of the Convention agenda with the Programs Zone.
4 d. Shall coordinate with the National Vice Chairperson and WHQ Project Coordinator in planning the Opening Session, General Sessions and Closing Session. e. Shall evaluate all agenda facility placements using Facility Request Forms. f. Shall finalize the agenda content and submit it for regular review. g. Shall produce an official Transition Report at the close of the term of office. D. Speakers and Workshops Coordinator a. Shall be responsible for all Annual Convention speakers and workshops, not specifically designated to other committee members or the NEB in coordination with the National Programs Chairperson and NSBE Professionals Program Chairperson. b. Shall evaluate, approve, and finalize the general content of the convention speakers and workshop topics with the assistance of the CPC Chairperson. c. Shall evaluate all speaker and workshop alternatives. d. Shall serve as a member of the Programs Team. e. Shall coordinate the workshop tracks for convention subject to approval of the CPC Chairperson and the CPC Taskforce. f. Shall finalize the content of the Call for Workshops and submit it for posting and distribution to potential workshop presenters concerning Convention Affairs. g. Shall identify other Black and other engineering student/professional organizations for the purpose of collaboration and/or support. h. Shall coordinate evaluations for all workshops to yield relevant data. i. Shall produce an official Transition Report at the close of the term of office that includes general data for workshops and speakers including evaluations of such. E. Pre-College Initiative Conference Coordinator a. Shall oversee and coordinate all activities of the Pre-College Initiative Conference in coordination with the National Pre-College Initiative Chairperson. b. Shall serve as a member of the Programs Team. c. In addition to the National Public Relations Chairperson, shall approve, in advance, of all official communications sent out in the name of the Pre-College Initiative Conference. d. Shall ensure Pre-College Initiative Conference activities are consistent with the approved Pre-College Initiative Committee Guidelines and NSBE governing documents. e. Shall produce an official Transition report at the close of the term of office. F. Technical Professional Conference Coordinator (Provided by the PEB) a. Shall oversee all activities of the Technical Professional Conference in coordination with the Professional Development Chairperson. b. Shall serve as a member of the Programs Team, and as a representative of the
5 NSBE Professionals. c. In addition to the National Public Relations Chairperson, shall approve, in advance, of all official communications sent out in the name of the Technical Professional Conference. d. Shall ensure Technical Professional Conference activities are consistent with the approved Professional Interface Guidelines, Professional Operating Guidelines and NSBE National Governing Documents. e. Shall produce an official Transition Report at the close of the term of office. G. Graduate School Conference Coordinator a. Shall oversee all activities of Graduate School Conference in coordination with the National Academic Excellence Chairperson. b. Shall serve as a member of the Programs Team. c. Shall coordinate the activities of the Graduate School Conference. d. Shall report all planning progress to the National Programs Chairperson. e. Shall ensure Graduate School Conference activities are consistent with the National Programs initiative and NSBE National Governing Documents. f. Shall produce an official Transition Report at the close of the term of office. H. Entertainment Coordinator a. Shall be responsible for all Annual Convention Entertainment, not specifically designated to other committee members or the NEB. b. Shall coordinate the entertainment for convention subject to approval of the CPC Chairperson and the CPC Taskforce. c. Shall evaluate Entertainment alternatives. d. Shall serve as a member of the Programs Team. e. Shall identify other black and other engineering student/professional organizations for the purpose of collaboration and/or support. f. Shall produce an official Transition Report at the close of the term of office. I. Executive Assistant / Public Relations Officer a. Shall be responsible for all Annual Convention Public Relations, not specifically designated to other committee members or the NEB, including graphic content. b. Shall be responsible for the website and social media engagement of attendees. c. Shall coordinate with the NEB and WHQ for the creation of all videos, images, and online distributed content pertaining to the Annual Convention subject to approval of the CPC Chairperson and the CPC Taskforce, for the purpose of advertising and presentations. d. Shall promote and maintain the NSBE 2016 Annual Convention webpage. e. Shall produce an official Transition Report at the close of the term of office.
