3 LETTER FROM THE PRESIDENT January 15, 2018 Hello Fellow Members: I hope that this package reaches you in good health and spirits. I am writing to inform you of a marvelous opportunity that is sure to yield bountiful ways for you to enhance your skills as a student leader. Having served as a state officer both in high school and for two years in college, I was able to gain invaluable experience and meaningful friendships that have had inexplicably positive impacts on my life. It is because of the incredible things that I have learned in state office that I am excited to invite you to run for a position on the New York State Phi Beta Lambda Leadership Team! As a state officer, you will be tasked with duties that will affect the entire state chapter and its constituents. While these responsibilities are quite demanding and require ample dedication to see through effectively, the rewards of serving on the state officer team make it all worthwhile. Aside from the obvious benefits that you will experience upon being elected, such as a resume that stands far out from the majority of your peers, you will develop vital assets and dynamic skills that are exclusively available through the hands-on experience that elected office affords. You will regularly find yourself in a position that requires you to make tough decisions. As a state officer, you will become a role model for the membership to look up to and consequently will be expected to think and act in a way that is most beneficial to those who elected you. Our members are the single most important component of this state organization. Without them, there is no organization to serve and it is because of this fact, that the current state officer team and I are so passionately dedicated to fostering the best membership experience possible for each and every one of them. As our terms come to a close however, we are excited to pass the torch to a new and motivated group of leaders that we know will continue leading our state association with the members welfare in mind. Serving as the president of this state chapter for the past year has been the greatest honor of my life thus far. On behalf of my fellow state officers, we want to assure the newly elected state leadership team that we will be readily prepared to aid them in their transition and are eager to offer any assistance to our successors during their term. As my high school state adviser used to say, once a state officer, always a state officer. Within the contents of this packet, please find a list of the available positions, a brief description of each role s responsibilities, and an outline of campaign procedures as per the state by-laws. With that said, I welcome any interested candidates to reach out to me and the current team with any questions and we will be sure to offer any insight we can. 4 II: ROLE OVERVIEW AND OFFICER RESPONSIBILITIES What is a State Officer? A state officer is a term used for those who are elected or appointed to an office that regulates the New York State PBL committee. There are currently six positions on the state officer team: PRESIDENT The president serves as the chair of the state officer team. The president s responsibilities include running state meetings and conference calls between the state officer team. The president will contact all chapter presidents and handle all state business in a timely manner. The president can create committees based on applicability and necessity. EXECUTIVE VICE PRESIDENT The executive vice president will serve as the chair of the state officer team in the absence of the president. Should the president become unable to serve his/her duties properly and/or become impeached, the executive vice president will be his/her successor. TREASURER The secretary takes minutes at every state meeting. The president creates an agenda for every meeting that the secretary works from. Attendance is extremely important to the position of secretary because minutes must be distributed in a timely manner after each meeting. 4

5 SECRETARY The treasurer oversees all monetary funds and transactions for the state. All transactions must go through the state officer adviser first. The treasurer must keep track of all expenditures and reimbursements for the state and the state officer team. The treasurer is also responsible for creating the annual state budget. MARKETING DIRECTOR The marketing director oversees the state social media accounts and website. The marketing director must continuously update the social media pages and the website to keep everything up to date. The marketing director creates all forms of media for the state. PARLIAMENTARIAN The parliamentarian presides over every meeting to make sure Parliamentary Procedure is properly used. Parliamentary Procedure is required for every motion made and for every vote considered. The parliamentarian should have a good background in Parliamentary Procedure as outlined in the most current edition of Robert s Rules of Order, Newly Revised. 5

6 III: APPLICATION REQUIREMENTS How do I run? To run for state office, you will need to notify the state committee of your intent to run for a position. By MARCH 1 st, please send the following information to steven.youssef@nypbl.org: i. Age/Year in College The position you would like to run for Positions you have held (either in high school or in college; it doesn t have to be only in FBLA-PBL) A brief explanation of why you would like to become a state officer ii. iii. iv. 6

7 IV: CAMPAIGN PROCEDURE At the State Leadership Conference, you will be interviewed by a panel of current state officers and advisers. You will be required to present a speech of one to two minutes to inform the general membership as to why you should be elected to your position. o As of right now, the state officer candidate screening committee does not feel that any campaigning beyond a speech and an interview is necessary for state officer candidates. Should more competition for the positions of state office arise, more campaigning options may be instated in the future. Voting will take place during the day and winners will be sworn in during the closing ceremony. VACANCIES Should a position have a vacancy, positions will be filled by appointment after the president conducts an interview with interested and qualified members after the State Leadership Conference.
