No. BCCL/CED/TC/NIT-17/ /350 dated Your tender dated Dear Sir, With reference to the above referred tender, this is to inform you that your offer to undertake the subject work at a total value of ` 3,45,96, (Rupees three crore forty five lakh ninety six thousand one hundred three and paise sixty seven only) at 65.00% (sixty five percent) above the Estimated Cost of work has been accepted by the Competent Authority based on terms and conditions contained in the NIT & Tender Document subject to the following stipulations:- 1. All the materials, equipment, tools & plants required for the works shall be arranged by you. 2. Performance Security i.e. 5% of the work value shall be ` 17,29, (Rupees seventeen lakh twenty nine thousand eight hundred six only) including Earnest Money amounting to ` 2,09, (Rupees two lakh nine thousand seven hundred only) deposited by you along with the tender vide DD No dated of State Bank of India, Govindpur Branch, Dhanbad. You are required to deposit ` 15,20, (Rupees fifteen lakh twenty thousand one hundred six only) towards Balance amount of Performance Security within 28 (twenty eight) days from the date of receipt of this Letter of Acceptance in the form as indicated at clause of General Terms & Conditions of the bid document to facilitate issue of work order & execution of agreement. All running on account bills shall be paid at 85% (eighty five percent) of work done value. This 15% (fifteen percent) deduction towards Retention Money will be the second part of Security Deposit. The total security deposit for the whole work shall be ` 69,19, (Rupees sixty nine lakh nineteen thousand two hundred twenty one only). Contd P-2

You will have to maintain the quarters for a period of 3 (three) years from the date of commencement of the work and if certain items of work are found to be below standard/ specifications, you shall be asked to re-do them according to the specification within a warranty period of 3 (three) years as and when required and if you do not rectify the defects even after reminder by the Department the work should be re-done through debitable agency at your risk & cost and the cost of the same will be recovered from your bills. The date of commencement of the work shall be reckoned from the 10 th day of issue of this Letter of Acceptance or the actual date of handing over of the site whichever is later. 4. On receipt of Letter of Acceptance, you shall forthwith register and obtain license from the Competent Authority under the Contract Labour (Regulation & Abolition) Act 1970, the Contract Labour (Regulation & Abolition) Central Rules, 1971 and submit certified copies of the same to the execution authorities and to GM (Civil), Civil Engineering Department, BCCL, Koyla Nagar, Dhanbad. 5. You shall intimate within 07 (seven) days of award of this contract, your contact telephone numbers (office / residence / mobile) and the name & contact telephone numbers (office / residence / mobile) of your authorized representative(s), who will take all instructions etc. in your absence whenever agency is not available in the station. 6. The contractor shall have to make available himself or his authorized representative who will be fully responsible for all the works to be done under this contract and for receiving instructions required daily from the engineer-in-charge of the above work or his authorized representative. 7. You shall provide identity cards to your staff and laborers engaged on regular basis and identification slip to casual workers employed for a day or two. 8. You shall engage sufficient number of workmen of various categories for timely response to day-to-day maintenance work and general supervision. If required, the number of manpower may be increased from time to time as directed by Engineer-in-charge. You shall be responsible for performing all the obligations of various contract labour statutory regulations and rules framed there under. 9. Engineer-in-charge (EIC) for the work will be Area Civil Engineer, Sijua Area. The contractor or his representative will co-ordinate with the Engineer-in-charge regularly and attend all the complaints recorded in the complaint register as directed by Engineer-in-charge or his authorized representative (within the time set out by the Engineer-in-charge or his representative) kept in the civil maintenance office. -2- Contd.
