2 Village of Suamico Cemetery Committee Minutes Wednesday, July 25, : 30 p.m. Members Present: Ron Schiltz, Eileen Olson, and Michelle Eckert Absent: Robert Vickery and Josh Schiltz Staff. Steve Kubacki, Administrator; Jessica Legois, Director of Administrative Services; and Melissa Hongisto, Deputy Cleric 1. Call to Order Meeting was called to order at 3: 34 p.m. by Administrator Kubacki. Motion by Olson to nominate Eckert as Chair, second by Schiltz, motion carried Abstain Eckert. 2. Approve Agenda Motion by Olson to approve the agenda as presented, second by Schiltz, motion carried Approve Minutes of June 25, 2018 Meeting Motion by Olson to approve the minutes with the spelling correction as mentioned by Eckert, second by Schiltz, motion carried Review & Approval of Summary of Cemetery Funds Haven' t received new information. Jessica Legois recommends keeping funds the way they are. Motion by Schiltz to approve as presented, second by Olson, motion carried Review & Approval of Village of Suamico Cemetery Deed Format/Template Discussion to change Secretary to Acting Secretary (Village Cleric or Designee). Motion by Olson to approve with changes as noted, second by Schiltz, motion carried Review & Approval of Job Titles Necessary Positions and Job Descriptions Delete the word lawnmower before committee. Motion by Schiltz to approve with changes as noted, second by Olson, motion carried Review & Approval of Village of Suamico Cemetery General Rules Copy of Revised SCA General Rules 8/ 1/ 2018) This item will be moved to the next meeting.

4 SUAMICO CEMETERY ASSOCIATION GENERAL RULES EFFECTIVE AUGUST, 2018 There is NO reserving of lots. All lots have to be paid in full at time of purchase. Opening of a grave: payment must be made up front with the Village of Suamico, before an opening can proceed. The Sexton and/ or his or her designee shall be authorized to locate grave sites and/ or monument locations. Deeds will be issued, by the Village of Suamico, within thirty (30) days of purchase. Cremation and infant burials, a total of four (4) are allowed on a lot or existing grave. Only one ( 1) monument is allowed on a burial lot. Any other marker must be flat in ground. Decorations will only be allowed by the headstone monument. ALL decorations must be removed by October 31. See rate sheet for current prices and fees. 8 Village of Suamico Cemetery Sexton Maintenance Agreement The Village of Suamico and Cemetery Sexton worldng in cooperation with one another agree to maintain the Suamico Cemetery on an annual basis. The Sexton shall provide the following services: 1. Maintenance of the Cemetery grounds including lawn mowing; 2. Sale of lots; 3. Opening of burial sites ( burial site, cremation burial and infant burial); 4. Any and all other services necessary for the efficient operation of the Village of Suamico Cemetery ( Suamico Cemetery). The Sexton shall be compensated as such: 1. Cemetery Maintenance $2, 700/yr $1, 350 on/ or before June 1St 1, 350 on/ or before October 1St 2. Lawn cutting services $ 500/yr $500 on/ or before September 1St 3. Sale of lots $ 50/ lot 4. Opening and location of burial sites $50/ site The agreement shall remain in place, reviewed annually and terminated by either party with sixty (60) day notice of such intent to terminate. No sale or transfer of the above described plot, or any part thereof, shall be valid without the written consent of the Village of Suamico, This deed is made by the Village of Suamico and accepted by the Purchaser, subject to all the laws of the State of Wisconsin now in force or that may hereinafter become in force, applicable to the cemetery: also subject to the conditions, limitations, privileges, and restrictions specified in the rules, regulations, and by-laws of the cemetery now in force, or that may hereafter by enacted by it in conformity to law. This deed is subject to all municipal liability limitations including, but not limited to, those specifically set forth at Section Wis. After reviewing the Suamico Cemetery Association receipt book and Investment Income reports, we determined that the Marine Credit Union savings account should be reclassified as operating funds.
