2 Your Opportunity To Influence The Future Of BUTEX BUTEX relies heavily on the enthusiasm of its members and their willingness to participate actively in its work by taking on executive roles with the Association and by nominating colleagues. Every member of BUTEX is eligible to stand for election and nominate others under the provisions set out in the constitution and listed below.* Becoming a member of the Executive is something of a commitment during the two year period of office; but it also brings considerable rewards with regard to professional development. The provisions for election and nominations, as set out in the BUTEX constitution, are as follows: Provisions for elections: 1. Positions Available Chair Treasurer Marketing Officer 2. Who may nominate and be nominated The nominated institutional representative of BUTEX full members, officers and members of the current Executive Committee are eligible to both stand for office and nominate or second others. 3. Length of Service Officers shall take office or assume Committee membership immediately after the Annual General Meeting following their election. The Chair shall be elected for a period of two years with the possibility of re-election for one further period of two years. All other Executive members shall be elected for a period of two years with the possibility of re-election.
3 4. Documentation All nominations must be submitted using the official nomination form only. The form should be signed by both proposer and seconder and counter-signed by the nominee, whose signature will indicate willingness to serve for the office indicated, as well as the nominee s line manager supporting the application. The form will be accompanied by a curriculum vitae of the nominee not exceeding two hundred words. 5. Election Rules If a single nomination is received for any office, the nominee for that office shall be declared elected. If no valid nomination is received for any office the Annual General Meeting is empowered to nominate and elect for that office from amongst those eligible for nomination. 6. Nomination of Conference Organiser The Conference Organiser shall be nominated by the representative of the Institution which has been nominated as the venue for the next Conference. 7. Nomination of Conference Organiser The Symposium Organiser shall be nominated by the representative of the Institution which has been nominated as the venue for the next Symposium. 8. Committee Vacancies Casual vacancies arising amongst the offices indicated in point 1 above shall be filled by procedures agreed by the Executive Committee.
4 BUTEX Executive Job Descriptions Chair To maintain the integrity of the organisation through its Constitution and Executive Committee To provide strategic direction of the organisation according to its stated aims and objectives To manage BUTEX presence at events overseas e.g. NAFSA conference, BUTEX reception To represent interests of organisation externally To chair OGMs and AGMs and executive meetings To set agenda for OGM, AGM and executive meetings Management of the Secretariat Vice Chair: To stand in for the Chair when necessary To 2 nd the Committee Treasurer and to stand in for the Treasurer when necessary Treasurer: To prepare the Association's accounts for each OGM and AGM and present them to AGMs and OGMs To arrange to have the Association's accounts audited as necessary Ensure transparency of accounts through either audits or executive oversight Help formulate projected spends on events with Events and Conference Officers and the Secretariat To receive payments to the Association (memberships, conference fees etc.) To make payments on behalf of the Association To manage the Association's bank account and debit cards Marketing and Communications Officer: To create and implement a marketing and communications plan annually To liaise with the Events and Conference Officers on the production of guides and advertising To co-ordinate promotional materials for BUTEX scholarships and events To develop and manage digital and social media
5 Events Officer: To co-ordinate the organisation of: The BUTEX Winter Workshops NAFSA The NAFSA Reception Other Events as necessary Work Closely with the Marketing and Communications Officer on targeted promotions Conference Officer: To organise the Biennial International Conference, with the help of the Executive and the Secretariat To produce the Conference Brochure with the help of the Secretariat To organise workshops and sessions for the Conference To work with the Treasurer to produce projected spends Work Closely with the Marketing and Communications Officer on conference marketing materials Symposium Officer: To organise the Biennial Symposium, with the help of the Executive and the Secretariat To organise workshops and sessions for the Symposium To work with the Treasurer to produce projected spends Work Closely with the Marketing and Communications Officer on symposium marketing materials
