You can really see the changes at the Club as we move into the holiday season. The Christmas tree looks great, the facility is decorated, and the twinkle of red lights on the boats are all around! We had one of the best Christmas parties in a long time last week. The food was exceptional, the band was incredible, and everyone had a great time. This was very evident by the last members leaving around 1:30 am! The party season finished with a bang, and many thanks to everyone who helped make it such a success. When you see Lee Jones, Brenda Blalock, or any of our Club staff, please thank them for a job well done. We could not have done it without them. Some are new faces and some are not new (but not old!). The current executive team and BOD spent a lot of time and effort to get just the right candidates to ensure the continuity of our Club. You will notice some of our current officers pulling another term to continue the momentum and to train new leaders who will carry on the success that has been achieved. Please thank each of them for their sacrifice and dedication to making our Club the best that it can be and a place that we can all meet, have fun, and be proud of. On behalf of both Lee and I, we want to thank everyone for such a great year! Everyone on the leadership team has contributed to our Club being financially stable, debt free, looking the best it has in years, and developing one of the best Club staffs that has ever been at the Club. These, along with the enthusiasm from the membership, is enabling us to recruit and retain the types of members and leaders that enable our Club to continue to grow and prosper. Board of Directors Meeting Minutes November 21, 2016 Call to order: 6:30 pm BOD Members Present: Commodore Tom Jones, Secretary Mike Sullivan, Jim Buchholz, Leonard Hobson, David Hunter, and Bob Martyn. Member/Manager Report Tim Carroll: Parties being held by members is becoming a serious issue. The number of parties is increasing. In some cases the number of participants at a given party are being under reported by the Club member in an apparent effort to reduce their cleanup cost. In one recent event, the Club member projected attendance to be 75 or less, while the actual participation was 175-200. Other similar events have occurred, but not as egregious. This is putting a strain on Club facilities as well as FLYC staff who are tasked with cleanup, both of which increase costs to the Club. The BOD will investigate options to remedy this situation and discuss at the next BOD meeting. Ongoing work projects and status
Meeting Minutes Continued Electrical upgrades required by the State is going well. Approximately 90% of the work has been completed on the west side of the Club. It is projected that work will be completed for the entire Club by the end of the year. Several members (Hartgrove and Andre) have particular issues with the upgrades and P/C Carroll will work with these members to resolve their issues. Fuel dock inspection and upgrades are completed. Additional costs were incurred by the Club to clean sludge from the bottom of the diesel and gasoline tanks ($1,966.50), and to purchase new Hydrosorb Filters ($85.52). The Club needs another motor vehicle for Club staff to use. P/C Carroll recommends the purchase of a Gator type vehicle for use on the premises. Since this vehicle will be needed on both sides of the Club it must be equipped to legally operate on county roads. P/C Carroll will investigate options and report his findings at the December BOD meeting. Commodore Tom Jones: Member parties to approve: Bud Sherrod, December 18, 6:30-10:00pm, 80people. Commodore Comments: The Commodore welcomed new Board members Justin Goins and Pat Hopper. Upcoming events at the Club are: Christmas ornament exchange: December 4, 2016 Christmas Party: December 10, 2016 The event calendar for 2017 were discussed. Event dates were finalized, and the Commodore will coordinate the dates for the annual FLYC to CYC, and CYC to FLYC parties. Resignation: Robert Thomas, a member in good standing, has resigned from the Club. David Hunter made a motion to accept Mr. Thomas resignation, 2nd by Jim Buchholz. Motion passed. Continuity of leadership (FLYC) was discussed at length. There are several issues that need to be addressed by the BOD as well as the general membership: There are no current members volunteering the fill 2017 vacancies in the executive team (Commodore, Vice Commodore or Rear Commodore). Continuity in these positions is vitally important to the future of the Club. Several suggestions were made by BOD members to fill these positions and will be discussed at the December BOD meeting. Absent a solution to this issue, the general membership of the Club will be asked to participate in finding solutions. Similar to the above situation, there are fewer members volunteering to assist
Meeting Minutes Continued with setting up and decorating the Club for social events. As often happens, the same members seem to be the only members offering to assist. Other members are needed to assist in these efforts and that has not been forthcoming. A recent request for assistance made by the Commodore received no responses. It has been suggested that a commercial party planner might be employed to plan and execute social events at the Club. If this is the only course of action available, the cost of social events will increase and be passed on to the members that attend these social functions. The next BOD meeting will be held on December 12, 2016. There being no further business, Mike Sullivan made a motion to adjourn, 2nd by Jim Buchholz. Motion approved, meeting adjourned at 8:46 PM.

An approval letter has been received from the State. There is a negative amount in the Taxes, Licenses and Fees category in the G/L account in the November Treasurers report. The Treasurer will investigate and correct as necessary. Trailer storage revenue appears to be low and a reconciliation will be conducted to ensure that all members using the storage area are being charged accordingly. Member/Manager Report Tim Carroll: Ongoing work projects and status: The Electrical upgrades program required by the State is going well. Approximately 50% of the work has been completed. Upgrade work is ongoing now on the east side of the Club. It is projected that work will be not be completed for the entire Club by the end of the year. A
Meeting Minutes Continued request for extension will be submitted to the State of TN. Approval is anticipated. Several members continue to have particular issues with the upgrades and P/C Carroll will work with these members to resolve their issues. The State inspector has placed non-compliance notices (stickers) on certain boat slips that must be brought up to State standards immediately. Underground fuel storage tank compliance audit by the State of TN is complete, and a report has been received showing that all violations have been corrected and the Club is now in compliance. The Clubhouse roof is leaking in several places. The Club Manager is getting estimates for repair, as well as estimates for replacement of the entire roof if that becomes necessary. The wood flooring in the Club party room is being refinished by our Club staff. Work should be completed the week.
