My Health Online 2017 Website Update Online Appointments What s New? June 2017 Guide simplified and updated to Vision Release DLM 510 and the updated My Health Online. September 2014 Booking Appointments - The appointment booking screens have been improved so that the Confirm Appointment button is now more visible. Previously, you had to scroll down to see the Confirm Appointment button and, as a result, many appointment bookings were not properly confirmed. See Booking an Appointment. February 2014 Bug Fix - When patient online DNA limit is reached this is now visible in Registration under the patient's record. See Online DNA Limit Reached (page 11). Bug Fix - The bug which caused online appointments which are available at branch sites displayed as being available at the main practice has now been fixed. Online Appointments now correctly shows appointments available at branch sites. 5.
DLM 440 (03/2013) Online Appointments (Practice) Allow patients to submit a reason with their booking - When this new option (in Vision 3 - Online Appointments Configuration) is selected by the practice, a warning will be displayed advising the user to ensure that the necessary processes are in place to check any messages entered by the patient. More details are in the My Health Online Configuration Guide. Gender, Role, Special Interests and Language - Set up any consented spoken, written or read languages a clinician has. This will be displayed to patients when booking an appointment online. See Add Gender, Role, Special Interests and Language (page 20) and Add Clinician Language (page 21). Online Appointments (Patient) Booking Appointment Changes Appointment Duration filter - The new Appointment Duration filter allows you to filter your search for appointments by duration. See Booking an Appointment. Clinicians' Spoken or Written Languages - Now, when booking an appointment, you can see from the list of available appointments, which spoken or written language(s) a clinician has consented to communicate in. See Booking an Appointment. Reason for Appointment - Depending on your practice setup, you may be able to add a booking reason in the 'Reason for Appointment' box when booking your appointment. See Booking an Appointment. DLM 430 Online Appointments (Patient) Other changes DLM 410 (01/07/2012) Bug Fix - The bug that caused the username limit from being picked up (max 15 chars) has been fixed. Non-Viewable Slot Type Non-viewable slot appointments can now be viewed in Consultation Manager. Patients booked into non - viewable slot appointments will not receive email/sms notifications. See Non-Viewable Slots (page 22). 6.
DLM 380 Online Appointments (Practice) Slot Type Changes Non-Viewable Can define slots as viewable or non-viewable. Non viewable slots can only be seen in Vision Appointments. See "Non-Viewable Slots (page 22)". Web Default This enables you define a slot for Web use. When added to a session these slots are updated each time the books are modified or extended and are displayed in the appointment book as Reserved for Web. See "Web Default (page 23)". Reserving Slots Changes Reserve for Web Automatic When creating or editing sessions slots can be marked as Reserved for Web. This can be done directly in slot distribution, or by using a slot type which marked as Web Default. See "Reserve for Web Automatic (page 24)". Reserve for Web All Sessions Recurring appointments can now be reserved for a specific time period. Select a start and end date, during this period slots will be marked as Reserved for Web each time the appointment book is extended or modified. See "Recurring Appointments (page 27)". Session Setup Changes Travel Clinic A session can be defined as a travel clinic, when patients select a travel clinic appointment they are prompted to select the country they are travelling too. This is then recorded and can be viewed at the practice. See "Travel Clinic (page 16)". Reporting Changes Online Appointment Report Is available which enables you to search for slots available, booked or cancelled. See "Online Appointment Report (page 28)". Did Not Attend (DNA) Report Has been updated to display DNA s where the appointment was booked online. See "Did Not Attend (DNA) Report (page 29)". Online Appointments (Patient) Booking Appointment Changes Save Filter When searching for specific appointments for example those available for a particular doctor or on a specific day, your selection can be saved and used as the default for future appointment searches. See "Booking an Appointment". New Date Search Options You can now select a specific date from a calendar, it is also possible to select a date range using the Between Dates option. See "Booking an Appointment". Clinician Details The clinicians gender and role are now displayed in the appointments details, their special clinical interests may also be displayed (if recorded). See "Booking an Appointment". Book a Travel Clinic Appointment A travel clinic appointment enables you to record which country you are travelling to, so the practice can arrange your travel vaccinations and advice. See "Booking a Travel Clinic Appointment". 7.
Viewing Appointment Changes Viewing Missed Appointments If you have missed an appointment it will be listed on the Appointments tab. See "Viewing Missed Appointments". Cancelling Appointment Changes Cancellation Cut Off Time Your practice may have set a deadline for appointment cancellations. If you attempt to cancel an appointment that occurs in the cut-off period, you are prevented from doing so. You will need to contact your practice directly to cancel the appointment. See "Cancellation Cut Off Period". Other Changes Bug Fix The error that prevented users creating a session with more than 60 slots has now been resolved. 8.
Introduction My Health Online (MHOL) has been developed to expand the services you can offer to your patients. Online Appointments gives your practice the ability to create a website accessed by patients to book appointments, check appointment and cancel appointments at any time. Your practice determines which of your appointment slots are available on the My Health Online website and can customise how your patients use the services. Your practice is responsible for registering patients to use My Health Online, this is done via Registration in Vision. You have the ability to disable Online Services for patients you feel are abusing the facility. This user guide details the use and setup of My Health Online Appointments. Flow of Information The following diagram demonstrates how the information flows between t he practice, patient and the INPS hosted server. 9.
Online Appointments (Practice) Practice Setup My Health Online is installed on your system via Down Line Manager (DLM) and then needs to be configured and setup by staff at INPS prior to using the product. Following INPS setup, you need to configure My Health Online Appointments from Control Panel, see Online Service Configuration http://www.inpshelp.co.uk/dlm510/control_panel/index.ht m#30081 for details. Note - The My Health Online website is not available 24 hours per day. It may be unavailable, for example when backup is running at the Practice, or when the website is being updated. Patient Registration Once My Health Online has been activated, an Online Service tab becomes available within the patient's Registration. Use the Online Service tab to create an Online Appointments account for your patient. This account can be disabled by the Practice if misused by the patient. See MHOL Registration http://www.inpshelp.co.uk/dlm510/registration/index.htm#44831 for details. 10.
Online DNA Limit Reached When a patient's online DNA limit is reached, their account is disabled, with 'User has exceeded the maximum number of DNAs allowed' automatically displayed in Registration - Online Services - Notes. Registration - Online Services - Appointments - Disabled Training Tip - You can reactivate the online account by replacing the tick in Enable. 11.
Configuring Vision Appointments for Online Use For appointments to be available for patients to book online, you must mark the required appointments as Reserved for Web. Before you do this, we recommend you review the following in Vision Appointments: Session Setup Session Type Session setup Review your session settings to ensure the correct details are available online, especially for branch surgery sessions. See "Session Setup (page 12)". Travel Clinic Create a Travel Clinic session, patients can select the countries they are travelling to, when booking a Travel Clinic appointment. See "Travel Clinic (page 16)". Cancellation Messages Are used in the practice and online to record a reason for cancelling an appointment. See "Cancellation Reasons (page 17)". Patient Prompt In System Constants, turn on a prompt to enable you to register patients for Online Services. See "Patient Prompt (page 19)". Appointments Refresh rate Determine how quickly Vision Appointments and Online Appointments details are updated. See "Appointment Refresh Rate (page 20)". Gender, Role, Special Interests and Language - Set up any consented spoken, written or read languages a clinician has. This will be displayed to patients when booking an appointment online. See Add Gender, Role, Special Interests and Language (page 20) and Add Clinician Language (page 21). It is useful when using Online Appointments to keep the number of session headers to a minimum, for example AM Surgery, PM Surgery. These session headers can then be used to setup numerous individual sessions for the clinicians using appointments. 1. From the Vision front screen select Appointments Plan Session Type. Plan Session Type 12.
2. If you have a branch surgery and all sites use Appointments, it is recommended that you have a set of session headers for each site. For example, AM Surgery Main Site, PM Surgery - Main Site, AM Surgery - Branch Site, PM Surgery Branch Site. (Replace Main or Branch with actual name to identify site). Adding a Session Type Session Types Add To add a new session, from Appointments - Plan - Session Type, click Add, enter a Description and click OK to save and close. Repeat this process until you have added all the required sessions. Editing a Session Type Add Session Type To edit an existing session, from Appointments - Plan - Session Type, highlight the session in Session Types and click Edit. Update the description as required and click OK to save and close. Session Types Edit 13.
Deleting a Session Type To delete an existing session, from Appointments - Plan - Session Type, highlight the session in Session Types and click Delete. You are prompted 'Are you sure you want to delete the selected session types', select Yes to confirm deletion. If the session is in use, you are prompted 'Session Type is being used in a Weekly Plan. You cannot delete this item'. You need to edit the Weekly Plan to enable the deletion of the session type. Session Types Delete Editing a Session Editing a Session may be required to change a Session Type or to change a Session Header Colour. It is recommended that you use Header colours to identify each site on the screen; you could for example give the Main Site green headers and the branch site blue headers. To edit a Session and/or change Session Header colour: 1. From the Vision front screen select Appointments Plan Edit Session. Select a session to edit 14.
2. Highlight the session to edit from the list and click OK. 3. Edit as required: Define Session Session Type - Select the correct Session Type from the list. Owner - Select if appropriate Description - Change if required Colour - Click in the coloured box, select the colour you require from the palette and click OK. Colour Palette 15.
4. Click OK to close. You may need to run modify books if already extended. Travel Clinic Sessions can be defined as travel clinics. This enables t he patient to select a country from a drop-down list, which is then added to the appointments comments and can be viewed in both Consultation Manager and Appointments. Creating a Travel Clinic Note - Create a Travel Clinic slot type so patients can identify Travel Clinic appointments. 1. From Vision Appointments Plan select New Session to create a new session, or Edit Session to change an existing session. 2. Check the existing details or add new details as required. 3. Tick the Travel Clinic box. Session Travel Clinic 4. Click Distribute Slots and change the slots to a Web Default travel clinic slot type. Click OK. 5. Click OK to save and close the session. The session is now a travel clinic and can be added to the appointment books as required. 16.
Cancellation Reasons Cancellation reasons are used by patients to record a why they are cancelling their appointments. Note - Cancellation Reason text can be edited from Management Tools - Control Panel - Online - Services - Appointments - Configure to make it more explicit to the patient. You can also define which reasons are available for patients, also cancellation reasons can be displayed in English and Welsh. To review or add further Cancellation reasons: 1. From the Vision front screen select Appointments Maintenance Cancel Reasons. Adding a Cancellation Reason Maintenance Cancel Reasons 1. To add a new cancellation reason, click Add. Cancellation Reasons - Add 2. Enter the new cancellation reason in Description and click OK. Add Cancellation Reason 17.
Editing a Cancellation Reason 1. To edit a cancellation reason, highlight the reason in Description and click Edit. 2. Make the required changes and then click OK to save and close. Cancellation Reason Edit Note - Do not delete the reason Moved to Other GP Practices/Time as this is automatically used each time an appointment is re-arranged and forms part of the audit trail. Deleting a Cancellation Reason 1. To delete a cancellation reason, highlight the reason in Description and clic k Delete. Cancellation Reason Delete 2. Click Close to close the Cancellation Reasons window. Remember - To go to Management Tools - Control Panel - Online - Services - Appointments - Configure and check the cancellation details are added to the list in both English and Welsh. 18.
Patient Prompt You can set Vision to prompt you if a patient is not registered for online bookings. To switch the prompt on: 1. From the Vision front screen select Appointments Maintenance - System Constants Bookings. System Constants Bookings 2. Tick Prompt to register patient for online booking. 3. Click OK to close. Once selected, each time you select a patient in Appointments who is not registered for Online Appointments, you are prompted "Do you wish this patient to use Online Appointments". Select: Online Appointment Prompt Yes, to open the patient s Registration screen. Complete the appointment booking then click on the Registration tab and register the patient for Online Appointments. See Patient Registration (page 10). No, to take no further action this time. You are prompted the next time this patient is selected. 19.
Appointment Refresh Rate Vision Appointments refreshes to show appointments booked at other sites and via Online Appointments. To set the frequency of refresh: 1. From the Vision front screen select Appointments Maintenance - System Constants Practice - Optimisation enter a time in minutes for refresh rate. System Constants - Practice Note - If your screen does not refresh quickly, you may find that when selecting a slot to book, the slot may appear on your screen to be free, however, if it has been selected and booked at a Branch or Online, you will not be able to proceed with the booking. Add Gender, Role, Special Interests and Language Gender, Role, special clinical interests and consented, written and spoken languages of any clinician providing online appointments is displayed online. For each clinician selected for online appointments the following should be completed: 1. From Control Panel - File Maintenance - Staff select the staff member, right click and select Edit Staff. 2. Complete each tab as follows: Personal - Click Sex and select the correct gender. Professional: Check the Role selected is correct. Set the Main and Interest Speciality from drop down lists. Language - Check the Spoken, Written and Read languages options are completed and correct where added: To add a language if required, click Add under the correct section (Spoken, Written or Read), select from the available list and click OK. 20.
3. Click OK to save. Control Panel Staff Language Tab Add Clinician Language 1. Click on Staff in the File Maintenance tab to list all staff members. 2. Right-click on the clinician and select Edit Staff to enable editing. 3. Click on the Language tab. 4. To record a spoken language, click on Add in the 'Spoken Language' section to open the Language screen. 5. Select the language from the dropdown list. 6. Click in the checkbox if the clinician is willing to speak in this language. 7. Click OK to confirm. 8. Follow the same process in the 'Written Language' section to record a written language. Note - Recorded spoken and written languages if c onsented, will be displayed to patients using online appointments. 9. To record a read language, click Add in the Read Language section. 10. Click OK to confirm. 21.
Configure Slot Type & Reserve Slots for Web Use Slot Type The following Slot Types are available for online appointment slots: Non-Bookable Non-Viewable Web Default Note - You can configure slot types to display a message to the patient when they book an appointment online. See "MHOL Configuration User Guide" for further details. Non-Bookable Slots This enables you to create a slot type which can be added and viewed in the appointment book but cannot be booked. Non-bookable slots cannot be viewed or booked elsewhere in Vision or online. Non-Viewable Slots Non-Viewable slots can be viewed from Vision Appointments, Consultation Manager, Mail Manager, and 3rd party applications, but are not displayed in My Health Online. When booked at the practice, Non-viewable slots do not generate confirmation emails to the patient. Note - All slot types apart from 'Non-Viewable', when booked, send confirmation emails to My Health Online patients - whether booked at the practice or online. Important - Practices using Appointments for internal messages should ensure that the slots used are Non-Viewable. These slots are then viewable throughout Vision and 3rd party applications, but cannot be seen by the patient in My Health Online. 22.
Web Default Defining a slot as Web Default automatically marks the slot as reserved for online booking when added to a session. Each time the session is extended these slots are automatically created and marked Reserve for Web. When used in a session the slot type warning message is displayed to the patient when booking the appointment. See "Reserve for Web Automatic (page 24)". Online Appointments Appointment Type Making a Slot Non-Viewable, Non-Bookable or Web Default To make a slot Non-viewable, Non-bookable or Web Default: 1. From the Vision front screen select Appointments Plan Slot Type, select an existing slot type and click Edit, or click Add to create a new slot type. 23.
2. Click the Non Bookable, Non-Viewable or Web Default box as required. 3. Click OK to save. Reserving Slots Slot Type Non-Bookable All appointment slots required for Online Appointments must be reserved in Vision Appointments. Only slots marked Reserved for Web are available to patients to book online. Note - Reserved for Web slots also require Staff and Session setup in Online Services before they are available to patients. See "MHOL VOS Configuration User Guide" for further details. You can define slots for web booking when adding or editing sessions. If slots are defined as Web Default in a session, each time the session is extended the Reserved for Web slots are created automatically. Reserved for Web slots can be booked by the Practice manually, this process needs to be repeated each time appointment books are extended or modified. Reserve for Web Automatic Slots can be reserved for web use in the following ways: Define slots as Web Default, then add the slot type to a session using Distribute Slots, then extend or modify the session. Each time the session is extended the slots will be reserved for web use. 24.
Or, when creating or editing a session, click Distribute Slots then double click the Web column (double click again to remove), for the required appointment slots. Slot Distribution Reserve for Web - Manual Reserving Slots can be done for: Individual Appointments Multiple appointments 25.
Recurrent Appointments - eg 11:00 appointment slot for all future matching 11:00 slots with matching session type and book owner. Reserve Web Slots Individual Appointments Individual Appointments can be reserved for use by Online Appointments: 1. From Vision Appointments, open a view and highlight the required slot. 2. Right click and select Reserve for Web. 3. The selected slot is now displayed as Reserved for web. 4. To release the slot, highlight it, right click and select Reclaim from Web. Appointment Slot Reserved 26.
Multiple Appointments Multiple Appointments can be reserved for use by Online Appointments: 1. From Vision Appointments, open a view and find a slot to add, highlight the required slots by holding the Control Key on the keyboard, then clicking on each slot required. 2. Right click and select Reserve for Web. 3. The selected slots are now shown as Reserved for Web. 4. To release these slots, highlight them, right click and select Reclaim from Web. Recurring Appointments Recurring appointments, for example, an 11:00 appointment slot and all future 11:00 slots with matching session type and book owner, within a specified time frame, can be reserved for use by online Appointments: 1. From Vision Appointments, open a view and highlight the required slot. 2. Right click and select Reserve for Web All Sessions. 3. Enter a Start and End date (double click to access the calendar) to specify when the slots are to be reserved. 4. You are prompted to "Reserve the selected slots for all instances of their session in the selected time range". Select either: Irrespective of the owner of the session instance. Only if the owner of the session instance is the same as the owner of the selected slot. Reserve For Web all sessions 27.
5. Each current slot that matches the selection is now reserved for use by online Appointments. When extending appointment books, slots are reserved for the time period specified. Important - You need to repeat this process when the time period expires to reserve new extended slots. 6. The reserved slot(s) can be released by highlighting a slot, right clicking and selecting Reclaim From Web all Sessions. Reporting To manage My Health Online Appointments, the following searches are available from Vision Appointments: Online Appointment Report this enables you to analyse online appointment usage by patients, looking at slots available, booked or cancelled, see Online Appointment Report (page 28). Did Not Attend (DNA) Report the report indicates whether the appointment was booked online, see Did Not Attend (DNA) Report (page 29). A further search tool has been added to Search and Reports to enable you to list patients at each stage of MHOL registration eg patients with an active MHOL account. See "MHOL Registration User Guide" for further details. Online Appointment Report The Online Appointments Report allows you to create the following report types: Slot available online Slots booked online Slots cancelled online 28.
To print the report: 1. From Vision Appointments, go to Search Online Appointments Report. 2. Specify the criteria you require: Online Appointments Report Owners, select those required or tick All for all clinicians Report Type, select the report required Date Range, specify the dates required Date of: Slots available online Date of Appointment only. Slots booked online Select date of Appointment, or date of Booking. Slots cancelled online Select date of Appointment, Booking or Cancelled. 3. Click Print to run and print the report. 4. To view the report on screen, click Print Preview, this report can then be printed. To print click the Print button. Click Close to finish Did Not Attend (DNA) Report The DNA report displays DNA s which have been booked online. To run the report: 1. From Vision Appointments, go to Search Did Not Attend Report. 29.
2. Complete as required: Did Not Attend Report Owners - highlight those required or All Date Range - select a date range Minimum Number of DNAs - specify a number if required Exclude Booking Information - highlight if required. 3. Click Print Preview to view the report prior to printing, then Print to print the report. 30.
Online Appointments (Patients) Overview Once your patient has registered and activated their My Health Online account, they can use the services enabled at your practice. This section of the user guide explains how the patient uses Online Appointments to book and cancel appointments. Full patient help is available from: Need Help with My Health Online? (Welsh) http://fy-iechyd-arlein.helpscoutdocs.com http://fy-iechyd-ar-lein.helpscoutdocs.com Booking and Cancelling Appointments Once you have registered for My Health Online, you can make, view and cancel your appointments at your GP practice, day or night, from anywhere with internet access. How do I Book an Appointment? 1. Log in to www.myhealthonline-inps2.wales.nhs.uk in the usual way. 2. Select My Appointments and the Appointment screen is displayed showing general appointments advice from your surgery and any appointments you already have booked. 3. To book a new appointment, click Add New Appointment. 4. The Available Appointments screen is displayed, with all available appointments in the next two weeks displayed at the bottom of the screen. If your surgery has selected different colours for different appointment types, you may see different colours here. 31.
5. If you want to fine tune the appointments displayed, you can select your appointment preferences: Available Appointments 6. If you have fine tuned the search, click Search to run the search on your selections. 7. The Slots matching your request list is displayed, select the appointment you require and click Book. Appointment List 32.
8. The Confirm your booking screen is displayed. Check the details carefully and enter a Reason for the appointment at this point should you want to. Confirm your booking screen If the appointment you have selected is a Travel Clinic appointment, you are asked to select a country. 9. Click Confirm to book the appointment. 10. The Appointment Booked Successfully screen is displayed along with your appointment details (please make a note of these). 11. (Optional) Click Save to Calendar to save the details to your electronic calendar. 12. (Optional) Click Print to print your appointment details. 13. Now, either: Select Appointments Home, or another online service from the list at the top of the screen, or Select Log Out to leave My Health Online Note - If your practice has enabled reminder emails, you will receive a reminder email before your appointment is due. If your appointment booking fails, the "Your booking was not successful, there was an error while attempting to book your chosen appointment " message is displayed. Click Add New Appointment the appointment. to reselect and book 33.
How do I Cancel an Appointment? If you no longer require an appointment, it is important that you cancel it as soon as possible. Failure to cancel an appointment before the appointment time results in it being recorded as a did not attend (DNA) appointment. To cancel an appointment: 1. Log in to www.myhealthonline-inps2.wales.nhs.uk in the usual way. 2. Select My Appointments, and your Appointments screen is displayed. 3. Any appointments you have booked, whether they were booked at the practice or online, are displayed. You can see the location, date, time, type and clinician and of the appointment(s). 4. Select the appointment you wish to cancel and click Cancel. 5. The Cancel your appointment screen is displayed. 6. Select a cancellation reason from the drop down list, this list is created by your surgery. 7. Click Confirm. 8. If successful, the Appointment Cancelled Successfully message is displayed. You may receive a cancellation confirmation email message (depending on the preferences of your practice).
