1. Introduction 1 Introduction 1.1 Audience & Learning Objectives This guide is aimed at Users of the eacademic application which is part of the student management system used at Macquarie University. The content of this guide describes what you will need to use eacademic and provides basic assistance to show how to navigate and search the application. At the end of the session, the User will be able to: Log in and log out. Search for Courses, Units and Students. Create and manage Watchlists. Set search defaults. 1.2 Preconditions to Using eacademic AMIS user account which is also used for eacademic Understanding of student management function and its terminology at Macquarie University. 1.3 eacademic Features eacademic uses the same data that is available in AMIS. However, while the User can search, drilldown on information, and create watchlists, data cannot be created or edited in eacademic. Functionality Search and view information by Course, Unit and Student. Can also set default values for your searches (eg only for 2010, only North Ryde). Save specific Courses, Units and Students as a watchlist item for easy retrieval. Search results can be exported to Excel. 1. Introduction 1.4 Conditions of Use This is a reminder to all users of the importance of the conditions of use that you signed to obtain access to the Academic Management Information System (AMIS). The details of those Conditions of Use are detailed below: I will use only those IT facilities for which I have been authorised. I understand the information on this system is to be used for University educational purposes and must comply with the provisions of the Privacy Act and Personal Information Protection Act 1988. No information about a student will be released to persons outside the University or another student, except when: o The information is a matter of public record; or o Statute law requires the information be provided; or o The student concerned has given written permission for that information to be released. The AMIS account allocated to me is for my exclusive use. I will not allow another person to use it. I will not access my student record or the student records of my family, friends or colleagues. I will not access the records of others not directly related to University business. IT facilities must not be wasted or consumed by inappropriate or irresponsible use. I must not attempt to tamper with any IT facility in any way that might alter or impede its use by others. I must not harass others, including using computing facilities to send obscene, abusive, fraudulent, threatening or unnecessarily repetitive messages. I will take every reasonable precaution to ensure that passwords, accounts and data are adequately secured. I understand the significance of user passwords as a method of system security and will undertake to change my password regularly and where directed by the System Administrator. I have read and agreed to the IT Policies and Rules governing the use of the computing and communications facilities at Macquarie University that can be found at: http://www.its.mq.edu.au/policies/index.html under the IT Policies subheading. 2. Accessing eacademic 2 Accessing eacademic Requirements: AMIS account User Name and Password. If you can access the AMIS application, you can also access eacademic. 2.1 Log In 1. Open browser (eg Mozilla Firefox) 2. Enter address: https://eacademic.mq.edu.au/ Tip: save as favourite or icon. 3. Complete the following fields (AMIS): User Name Usually based on your name. Password. 4. Click Log In. Session timeout: You will need to enter your User Name and Password again after a period of inactivity. Tabs 2.2 Logout 1. Click Logout (top right corner of page). 2.3 Change Password 1. Click Change Password (top right corner of page) and follow the on-screen steps. 3. Navigation and Searching 3 Navigation and Searching Search Criteria (text box) Your search criterion (character string) can be within the field (ie contains), not just at the beginning. You can have search criteria in more than one field. Search criterion Search result Drop-down List Select from a list of options. If the list is lengthy, click the arrow to reveal the list, then press the first letter or number of the option you are looking for. This will jump to that part of the list. Search Result with Multiple Pages Your search may retrieve many records. These are displayed over a number of pages. Bottom left of search result grid allows you to select these pages. Checkbox Select (eg Search result, Watchlists) You can select individual records by ticking the line s checkbox. You can select more than one line. To select all the records in the grid, tick the column heading s checkbox. Select all Do NOT Use Back Button on Browser eacademic does not like the back button on a web browser as it is a secure site. 5. Searches, Watchlists and Defaults My Watchlists 6 Searches, Watchlists and Defaults 6.1 My Watchlists Watchlist items are created from the search pages. A Watchlist allows you to flag courses, units or students. eg A unit convenor can keep track of their units; tutors can keep track of particular students; course co-ordinators can monitor course numbers. This is the default page for the Searches, Watchlists and Defaults tab. A course, unit or student can be saved as a watchlist item. Default criterion / criteria can be set for course and unit searches (via My Defaults). In this example: Course Watchlist No watchlist saved. Some default search criteria. Unit Watchlist One watchlist saved. Some default search criteria. Student Watchlist No watchlist saved. Searches, Watchlists and Defaults My Watchlists 6.1.1 Add Item to Watchlist (Search Select Save) Adding Courses, Units and Students to your watchlist are done via search (ie not from the My Watchlists page). See the following chapters for the step-by-step procedures. High-level process: 1. Click Search for Courses or Units or Students. 2. Search by entering criterion / criteria. 3. Select / tick the item/s (course, unit, student) you want to add. 4. Click the link to add item/s to your watchlist. 1 6.1.2 Remove Item from Watchlist Removing watchlist items (course, unit, student) is done on the My Watchlists page. 1. Click Searches, Watchlists and Defaults tab. 2. Click My Watchlists (menu on left side of page) if not selected already. 3. Tick item / items you want to remove. 4. Click eg Remove the selected items from My Course / Unit Watchlist. 1 2 3 4 This example uses the Course Watchlist. Enter search criterion / criteria to narrow your search (all optional): Course Code. eg BIT Title. eg Bachelor of Information Technology Category. eg Course, Unit, Major, Study set, Honorary award, etc. Category Type. eg 190 Bachelor Pass Degree Faculty. Only show me Courses that I have a relationship with. Stage. eg Draft, Planned, Active, Phasing out, Discontinued With Availabilities in Year. Study Period. eg First half year Attendance Mode. ie All, Internal, External, Non-supervised candidature 4. Click Search button. Search result appears in grid at bottom of page (if successful) In this example: Course Code search criterion was <bit> - which is within the field, not just at the start. More than one Course can be selected. 6. Click Add the selected courses to My Course Watchlist. If successful: A success message appears. An icon appears in the last column of the search result grid. 6.2.3 Remove Course from Watchlist Done from the My Watchlists page. Click Add the selected units to My Unit Watchlist. If successful: A success message appears. Click Searches, Watchlists and Defaults tab. 2. Click Search for Students (menu on left). 3. Enter search criterion / criteria to narrow your search (all optional): Family Name. Given Name. 5. Searches, Watchlists and Defaults Search for Students 6.4.2 Add Student to Watchlist 5. Tick the student/s you want to add to your watchlist. Skip this step if you are going to add all the students listed. 6. Under the I Want To sub-heading click either: Add the selected Students to My Student Watchlist or Add all Students to My Student Watchlist. 6.4.3 Export List The list of students can be exported to a spreadsheet. 7. Click Export button. 6.4.4 Remove Student from Watchlist Done from the My Watchlists page. 5. Searches, Watchlists and Defaults My Defaults 6.5 My Defaults Allows you to set default values for Course and Unit searches all optional. For example you can set the default year, study period, attendance mode, etc. You can, of course, alter the default value during a specific search. Set different default filters for Course and Unit searches. Setting default values is optional. Specify the sort order for Students. 1. Click Searches, Watchlists and Defaults tab. 2. Click My Defaults (menu on left side of page). 3. Enter / change the defaults you want all optional. 4.
