Sample Student Organization Constitution/By-Laws Preamble Our goal is to bring together students with an interest in graphic design to form a strong design community on campus. We aim to spread good design and help give students a chance to pursue their passion. Article I Name The name of this organization shall be Graphic Design, Kennesaw at Kennesaw State University. Article II Membership All registered students, faculty, and staff at the college shall be eligible for voting membership in Graphic Design, Kennesaw at Kennesaw State University. Voting members, in addition to Section 1, shall be designated as those persons who have attended most meetings in an academic semester or participated strongly in other ways. Honorary (non-voting) memberships can be given to any Kennesaw State University Student who attend the meetings. Article III Officers The officers of the organization shall be: a. A President b. A Vice President c. A Secretary-Treasurer Section 4. Section 5. All student voting members of the organization in good academic standing shall be eligible to hold office. The term of office for the officers of Graphic Design, Kennesaw shall be from January of the regular academic year to January of the following year. The officers shall be elected by a majority of the voting members of Graphic Design, Kennesaw at the annual elections held in January. Vacancies of offices shall be (appointed or elected by) the club advisor.
Article IV Executive Board The Executive Board shall consist of the President, Vice President, and Advisor. All executive and legislative power granted herein shall be vested in the Executive Board. The Executive Board shall be empowered to recommend priorities for various projects and to plan activities. Article V Meetings The regular meetings of the voting membership shall be held at least once a month. Special meetings of the organization may be called by the President, or by the Executive Board, or upon the written request of Graphic Design, Kennesaw of Kennesaw State University members. A quorum shall be a 70% majority of the voting membership. Article VII Impeachment and Removal Section 4. Section 5. Officers may be impeached and, if convicted, removed from office by a two-thirds majority of the voting members on the basis of not fulfilling their duties as outlined in the Constitution and By-Laws. Members may be impeached and, if convicted, may be expelled from membership by a two-thirds majority of the voting members on the basis of not fulfilling the purpose of the organization. Advisors may be impeached and, if convicted, removed from their position by a two-thirds majority of the voting members on the basis of not fulfilling their duties as described in the KSU Faculty Handbook and the By-Laws of this Constitution. Any individual who is impeached shall be given full notice of the allegations against him/her and shall have an opportunity to respond to them. Any member of the organization may initiate impeachment proceedings.
Article VIII Amendments Amendments to this Constitution shall be proposed either by two-thirds of the Executive Board or by a petition submitted by ten percent of the voting members. A two-thirds majority of the voting members shall be necessary to approve amendments to this Constitution. Amendments to this Constitution shall be recommended to the Dean of Academic and Student Services for approval following approval by the Dean of Student Development. Article IX Active Status In order to maintain active status, the organization agrees to abide by those rules and regulations, including financial procedures, of NVCC which pertain to all student organizations. Article X Parliamentary Procedures Robert s Rules of Order (Revised) shall be the parliamentary authority of this organization. Should Robert s Rules of Order conflict with this Constitution, this constitution takes priority. Article I Duties of Officers The duties of the President shall be to: a. Preside over all Executive Board and regular membership meetings. b. Call all special meetings. c. Sign all financial documents of the organization. d. Represent the Graphic Design, Kennesaw at Kennesaw State University to the Student Activities Planning Board or President s Roundtable if applicable. The duties of the Vice President shall be to: a. Act as the President should the President for any reason be unable to carry out the Presidential duties. b. Assist the President in administering the business of Graphic Design, Kennesaw at Kennesaw State University.
The duties of Secretary-Treasurer shall be to: a. Take brief minutes of each meeting and take care of any major correspondence concerning the Club as a whole. b. Keep a record of all financial and historical documents. The Treasurer shall submit all financial records to the Student Activities Accountant when required for audit. c. Turn in all financial records for a re-issue to the Treasurer when required or appropriate. Article II Duties of Advisor A Faculty Advisor shall be appointed by a majority of the voting members. The Advisor shall be a member of the Executive Board. The duties of the Advisor shall be to: a. Counter-sign all administrative financial forms. b. Act as consultant for projects and special committees of Graphic Design, Kennesaw at Kennesaw State University. c. Attend social activities sponsored by the Organization. Section 4. The Advisor shall not have voting privileges in the Organization. Article III Elections Graphic Design, Kennesaw at Kennesaw State University elections shall be held during the first weeks of the second semester of each academic year. Candidates for offices shall be eligible provided they have met the requirements for that office as stated in Article III of this Constitution. Candidates running for office shall be members of Graphic Design, Kennesaw at Kennesaw State University at the time of their election and during their term of office.
Section 4. Section 5. Candidates running for office must be registered students in good standing at the time of their nomination and must maintain that status during their term of office. Other specific guidelines for the election procedure are left to the discretion of the organization. Article IV Finances Funds will be used for the operation of Graphic Design, Kennesaw at Kennesaw State University as directed by a majority vote of the voting members. All finances shall be handled in accordance with the established policy and fiscal procedures in effect for the college as outlines in the Student Activities Manual. In the event of loss of organization recognition, any funds remaining in the organization s campus account shall revert to the Student Activity Fund.
