Organised by the Japan Overseas Cooperative Association (JOCA) Application Guidelines for JENESYS 2018 1. Overview JENESYS 2018 is a people-to-people exchange programme between Japan and the Asia-Pacific region, and will succeed JENESYS 2017. Under this programme, approximately 5,300 people from the Asia-Pacific region will be invited to Japan, while Japanese people also will be sent to the region. In 2018, 224 participants from Australia, New Zealand and South Pacific nations will be invited to Japan. The JENESYS 2018 programme is organised by the Japan Overseas Cooperative Association (JOCA). JOCA is an official agent which has undertaken all the necessary arrangements for this short-term invitation programme under the guidance of the Japanese Government. 2. Objectives The objectives of JENESYS 2018 are: (1) To promote mutual trust and understanding among the peoples of Japan and the Asia-Pacific region, and to build a basis for future friendship and cooperation. (2) To encourage an understanding of Japan s economics, society, history, diverse culture, politics and diplomatic relations. 3. Outlines of Programme (1) Course Theme A : Disaster Prevention, Reconstruction from the Disaster This course focuses on disaster prevention and reconstruction from the disaster in Japan, through visits to densely-populated Tokyo and the disaster-stricken prefecture of Fukushima. Participants will be able to deepen their understanding of disaster prevention and post-disaster reconstruction through interacting with local Japanese people, exchanging ideas with Japanese students, and experiencing a homestay environment.

Course Theme B: Building Peaceful Societies, History and Culture This course focuses on building peaceful societies, along with the history and culture which shape Japanese society, through visits to historical and peace memorial sites in Tokyo and Hiroshima. Participants are expected to deepen their understanding of Japan s policies toward building peaceful societies, Japanese culture and history through interacting with local Japanese people, exchanging ideas with Japanese students, and experiencing a homestay environment. (2) Course Details Course Theme A i. Duration: 9 nights 10 days Date of arrival in Japan: Sunday 2 December, 2018 Date of departure from Japan: Tuesday 11 December, 2018 ii. Participating countries: Australia and other Pacific Island countries (Students from the University of South Pacific (USP) will participate.) iii. Number of participants: 10 (+19 from USP) iv. Language spoken during the programme: English v. Programme location: Tokyo and Fukushima Course Theme B i. Duration: 9 nights 10 days Date of arrival in Japan: Sunday 9 December, 2018 Date of departure from Japan: Tuesday 18 December, 2018 ii. Participating countries: Australia iii. Number of participants: 20 iv. Language spoken during the programme: English v. Program location: Tokyo and Hiroshima 4. Qualifications for Participations Applicants should meet the following criteria: (1) Understand and agree with the aims of JENESYS 2018; (2) Have Australian citizenship; (3) Aged between 18 and 35 at the time of participation in the course; (4) Currently enrolled as a student at university; (5) Have not participated in any programme initiated by the Japanese Government, including all kinds of JENESYS and KIZUNA programmes; and (6) In good health.

(i). Chronic Diseases In principle, applicants who suffer from chronic diseases are not allowed to participate in the programme. Chronic diseases include: Chronic lung disease (asthma, chronic obstructive lung disease etc.), immunodeficient state (T cell immunodeficiency etc.), chronic heart disease (congenital heart disease, coronary artery disease etc.), metabolic disease (diabetes), renal dysfunction, obesity, myasthenia gravis, etc. (ii). Pregnancy Pregnant applicants will not be accepted to participate in this programme in the interests of the applicant s health. (iii). Body Temperature If a participant s body temperature is 38.0 or higher on the day of departure, he/she will not be able to depart for Japan and will not be eligible to participate. Note: Additional consideration will be given to applicants who are: (i). Engaging in activities which are related to Japan or Japanese Culture, etc.; (ii). Japanese language learners; (iii). Majoring in Japan-related areas; and/or (iv). Majoring in areas which are related to the Course Theme A (Disaster Prevention, Reconstruction from the Disaster) or Course Theme B (Building Peaceful Societies, History and Culture). 5. Selection Procedure All of the following application documents should be submitted to the Consulate-General of Japan in Melbourne via email by AEST 9:00am Monday 8 October, 2018 to Miss Annie Yang (annie.yang@mb.mofa.go.jp). (1) The Application Form for JENESYS 2018 The form must be completed electronically. After completing the form, print out a copy and physically sign the form (electronic signatures are not accepted). Send back the scanned copy (in PDF format). (2) Passport Size Photo Attach a passport size photo, taken within the last 3 months, on the allocated space in the Application Form. It must be a passport style photo. Please note that selfies or photos without a plain background will not be accepted.

(3) Photocopy of the Applicant s Passport Attach a scanned copy of the photo page of the applicant s passport. If an applicant does not have a valid passport, he/she must immediately obtain a passport and submit the photocopy of the photo page as soon as he/she is selected to participate in this programme. Notes: *Applicants from universities located in Victoria, South Australia, or Tasmania must submit their applications to the Consulate-General of Japan in Melbourne. For applicants from other states, please submit your application to the Embassy/Consulate-General of Japan which has jurisdiction over your state. *Please forward all enquiries to annie.yang@mb.mofa.go.jp or phone Miss Annie Yang on (03) 9679-7824. *Please note that only successful applicants will be notified of their results by Wednesday 17 October 2018. 6. Participant s Handbook After notification of selection results, applicants will be provided with a tentative schedule for the programme and a Participant s Handbook for JENESYS 2018. The handbook will be compiled by JOCA. The Participant s Handbook contains an outline of the programme, travel information, and travel tips. The participants are strongly encouraged to read the handbook carefully. 7. Post-Arrival Orientation in Japan After the participants arrival in Japan, JOCA will hold an orientation session. Topics covered by the orientation session will include: (1) An outline of JENESYS 2018; (2) A programme schedule; (3) An introduction to Japanese culture and customs; and (4) Conducting a survey for the participants. 8. Post-Return Activities and Questionnaires One aim of the programme for participants is to share their experiences and knowledge acquired

in Japan with friends, family, and people in their local community in various ways including social media, in order to disseminate that knowledge of Japan and its culture. Participants are required to report their activities to the Embassy of Japan in Australia and/or the Consulate-General of Japan in Melbourne. Upon returning to Australia, each participant must complete and submit several questionnaires relating to their experiences on the programme. 9. Terms and Conditions (1) Arrangements and Expenses Covered by the Programme. Return economy class airfare from the designated airport (see page 7) to Tokyo * Excess baggage charge will be paid at the participant s expense. * The airports for departure and arrival will be arranged and cannot be changed. * Participants are required to cover transport expenses when travelling to and from their designated airport in Australia. Overseas travel accident insurance * Please note that the insurance does not cover various conditions including chronic diseases, dental procedures and pregnancy. Participants will be liable for such costs. Accommodation in Japan Transportation in Japan Meals in Japan. * No cash allowance will be provided to participants. * Participants are expected to cover expenses relating to matters such as passports and vaccination, as well as transport, accommodation and dining costs associated with traveling to their departure airport in Australia. Participants are advised to bring spending money for the purchase of items for personal use. (2) Prohibited Actions Participants will not be allowed to do the following: Remain in Japan after the programme s conclusion Change the flight designated by the programme Change accommodation designated by the programme Be accompanied by someone not participating in the programme Leave the programme before its conclusion Travel to a third country when flying to or from Japan

(3) The following conditions will apply in Japan: The programme schedule is to be followed strictly, therefore participants will not have time to meet friends or relatives in Japan during the programme. Participants will be accommodated in twin or triple rooms during their stay in Japan. JOCA will try to satisfy dietary requirements, however, please be advised that this may not always be possible. If a participant catches the flu during his/her stay in Japan, he/she will be quarantined for five days according to the Japanese regulation. If the quarantine period overlaps with the date of departure from Japan, the participant s return flight will be postponed. Winter Weather in Japan In Japan, it is very cold in December. Participants are strongly encouraged to bring a coat or a down jacket suitable for winter weather. Please refer to the following table that shows the average temperature in each visiting place. Any legal dispute relating to this programme between a participant and the Japanese Government and/or JOCA should be governed by and construed in accordance with the domestic laws of Japan, without regard to principles of conflicts of laws, and should be subject to the exclusive jurisdiction of the applicable courts in Japan. (5) Responsibilities of JOCA All Participants must indemnify JOCA and its staff and the Japanese Government from any and all claims, demands, and liabilities for injury or illness incurred as a result of a participant s conduct, where that conduct does not comply with any rules or warnings, or for

loss or damages to property due to accident, theft, crime or any other reason. 10. Personal Information Protection Law Personal information collected under the JENESYS 2018 programme, including photographs and videos taken by JOCA staff during the programme, shall be managed in compliance with the Personal Information Protection Law. JOCA may provide personal information to travel agencies, publishers, cooperating organisations, schools, and host families, in order to operate and report on the programme. Personal information will not be used for any other purpose. The disclosure of personal information to JOCA is at the sole discretion of the participants. If a participant does not agree to make their personal information available, please be advised that it may cause difficulties in the operation of the JENESY 2018 programme. JOCA asks for your understanding and requests your consent for the provision of personal information. 11.
